Using Zoom Mail Email Compose with Zoom AI Companion

Sometimes finding the right words can be challenging. Email Compose with AI Companion for Zoom Mail leverages AI technology, which may include third-party models, to help you generate an email, using information from the thread and/or a more specific inputted prompt. AI Companion can assist when drafting a new email or responding to an email thread.

How to compose an email using Email Compose with Zoom AI Companion

Compose a new email using Email Compose with Zoom AI Companion.

  1. Sign in to the Zoom desktop app.
  2. Click the Mail tab .
  3. In the top-left corner, click the Compose icon , or click to open an email you want to reply to or forward.
    Drafting a new email will open a new email window in the bottom-right corner, while replying to or forwarding an email will open the compose box below the received email.
  4. At the bottom of the email window, click the icon. A Compose with Zoom AI window will open to generate a message.
  5. In the window, provide a draft of what you want your response to look like, or enter a command in the Tell Zoom IQ to... box.
    This gives additional context and a sample of your writing style for Zoom AI Companion to mimic in its generated reply. This can be up to 1000 characters.
  6. Click Generate. Your generated response will appear.
  7. (Optional) If you do not want the generated response, click Try another to generate a new response.
  8. (Optional) Reconfigure the response with the Make Longer, Make Shorter, or Change Tone to... options.
  9. When you are satisfied with the generated response, click Insert or Replace. Insert will copy the generated response into the reply compose box without changing any previous drafts you have created. Replace will copy the generated response into the reply compose box and overwrite the current draft.
  10. Press Enter or click the send icon .

How to reply to an email using Email Compose with Zoom AI Companion

  1. Sign in to the Zoom desktop app.
  2. Click the Mail tab .
  3. Open an email you want to reply to or forward, then click Reply or Reply All .
    Replying to or forwarding an email will open the compose box below the received email. The message you are responding to will be the basis for the generated reply.
  4. At the bottom of the email window, click the icon to generate a follow-up email with Zoom AI.
  5. (Optional) In the Tell Zoom IQ to... box, provide a draft of your response, or enter a command for Zoom AI Companion.
    This will give additional context and a sample of your writing style for Zoom AI Companion to mimic in its generated reply. This can be up to 1000 characters.
  6. Click Generate.
    Your generated response will appear.
  7. (Optional) Click Try another to have a new response generated.
  8. (Optional) Reconfigure the response with the Make Longer, Make Shorter, or Change Tone to... options.
  9. When you are satisfied with the generated response, click Insert or Replace.

How to refine emails using Email Compose with Zoom AI Companion

  1. Sign in to the Zoom desktop app.
  2. Click the Mail tab .
  3. In the top-left corner, click the Compose icon , or click to open an email you want to reply to or forward.
    Drafting a new email will open a new email window in the bottom-right corner, while replying to or forwarding an email will open the compose box below the received email.
  4. In the email, write a message.
  5. Select all the text or a portion (that you want to refine) of your email message.
  6. At the bottom of the email window, click the icon.
    A Refine with Zoom AI window will appear.
  7. Refine your message with Zoom AI Companion:
  8. Click Generate. Your generated response will appear.
  9. (Optional) If you do not want the generated response, click Try another to generate a new response.
  10. When you are satisfied with the generated response, click Replace.
    Replace will copy the generated response into the reply compose box and overwrite the current draft.
  11. Press Enter or click the send icon .

How to use generated subject lines

Once the editor has content, subject suggestions are visible in the subject line.

  1. Create or draft a reply to an email using Zoom AI Companion.
  2. In the subject line, view the Suggestion for the subject line, then choose from the following actions:

How to discard generated responses

  1. Create or refine an email with Zoom AI Companion.
  2. In the top-right corner of the Zoom AI window, click the close icon .
    A confirmation window will appear.
  3. In the window, click Discard.

How to request enablement of the Email Compose feature

  1. Create a new email or respond to an email.
  2. At the bottom of the email window, click the icon .
  3. Under Email Compose with Zoom AI, click Request to Enable.
    A pop-up window will appear.
  4. In the window, click Send Request.
    A request to enable Email Compose with Zoom AI Companion will be sent to your account admin.
