Using VIP Delegation


If your admin enabled Delegation for your account and you have a power pack license, you can set up VIP Delegation to be contacted by phone only by users on your VIP list. This is particularly useful if you’re an executive that doesn’t want to be accessible by everyone unless you have explicitly allowed it.

If delegation privileges are disabled and locked by your admin, you won’t be able to make any changes to your account. You can contact your admin for assistance.

If you didn’t assign a delegate to your account, any calls addressed to you will reach you automatically by default.

Note: In the August 2023 update, your delegate(s) will not be automatically added to your VIP contacts. If you wish to receive calls directly from your delegate(s) or allow them to perform warm transfers to you, you must manually add them to your VIP Contacts list.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone, then the Settings tab.
  3. Under Delegation & Assistant, to the right of VIP Delegation click the toggle to enable or disable it. If enabled, select the following:
    Note: Make sure you have assigned a delegate(s) and grant Answer Calls privilege to be able to use VIP delegation.
  4. Under VIP Contacts, select one of the following:
    • Ring me only: Contacts on the list can directly contact you.
    • Ring me first, my delegate(s) next: Contacts in the list can ring you first, then your delegate(s) if you’re unavailable.
      Note: Ring me first, my delegate(s) next option is only available if you’ve assigned at least one delegate and granted Answer Calls privilege.
  5. Under Everybody Else, select one of the following:
    Note: If you haven't designated at least one delegate with the Answer Calls privilege, your routing options will be restricted to Ring me only and Send to voicemail/ videomail (if enabled).
    • Ring me and my delegate(s) simultaneously: People not on the VIP list, can ring both the user and their delegate(s).
    • Ring my delegate(s) first, me next: People not on the VIP list, can ring the delegate(s) and then the delegator.
    • Ring me first, my delegate(s) next: People not on the VIP list, can ring the delegator first and then their delegate(s).
    • Ring my delegate(s) only: People not on the VIP list can ring the delegate(s) only.
    • Ring me only: People not on the VIP list can ring the delegator only.
    • Send to voicemail/videomail: People not on the VIP list are sent to voicemail/videomail if voicemail/videomail is enabled.
  6. To the right of Assign delegation privileges to, click Set.
  7. Under User, select User or Common Area, then in the search box enter the name of the user or common area.
  8. Click Invite.
    An email notification will be sent to the user to inform them they’ve been assigned delegation privileges for your account. The delegation will be pending until they accept the invitation.
  9. (Optional) Click Delete Delegation, to remove the delegation.
  10. (Optional) Select Manage VIP Contacts privilege, then click Save if you’d like to allow your delegate(s) to manage your VIP contacts on your behalf.
    Note: VIP contacts can only be managed directly on the Zoom client under Contacts. Follow the steps in the section below.

Add a contact to your VIP Contacts list

Adding VIP contacts to your phone contacts allows you to prioritize and easily access essential individuals through the VIP Contact section. You can also remove any contact from the list as you see fit. If the contact still needs to be added to your directory, follow these steps.

Note: You won’t be able to add contacts to your VIP Contacts list if VIP Delegation is disabled for your account.

To add a contact to your VIP list, follow these steps.

  1. Sign in to the Zoom client.
  2. Click the Contacts tab  , Team Chat tab  , or Phone  tab as applicable.
    Note: If adding contacts from the phone tab, select the History, Voicemail, or SMS tab to select your contact.
  3. Click the contact you want to add to VIP Contacts.
  4. To the right of the contact’s name, click the more icon (  ).
  5. Click Add to VIP Contacts.
    The contact will appear in the VIP Contacts under the Contacts tab.
  6. If you are directly adding a number from the History tab to VIP Contacts, first enter the following information to create a VIP contact:
    • First Name.
    • Last Name.
    • Company.
    • Email.
    • Location of the phone number.
  7. (Optional) Click Remove from VIP Contacts to remove the contact from the VIP Contacts list.

How to use VIP Delegation as a delegate

Accept or decline a delegation request and manage your delegator VIP contacts list

Once you accept a delegation request, provided that your delegator has granted Manage VIP contacts privileges to you, you can add and remove contacts from your delegators’ VIP Contacts lists. You can also manage multiple VIP Contacts lists and identify them with the name of the delegators.

Add a contact to your delegator VIP Contacts list

  1. Click the Contacts tab  , Team Chat tab  , or Phone  tab.
    Note: If adding contacts from the phone tab, select the History, Voicemail, or SMS tab to select your contact.
  2. Click the contact you want to add to the delegator’s VIP Contacts.
  3. To the right of the contact’s name, click the more icon (  ).
  4. Click Add to VIP Contacts.
    The contact will appear in the VIP Contacts sections under the Contacts tabs.
  5. If you are directly adding a number from the history to the VIP Contacts, first enter the following information to create a VIP contact:
    • First Name.
    • Last Name.
    • Company.
    • Email.
    • Location of the phone number.

Remove a contact from your delegator VIP Contacts list

    1. Sign in to the Zoom client.
    2. Click the Contacts tab  .
      Your delegator’s VIP Contacts list(s) will appear.
    3. Click the delegator’s VIP Contacts list to view the names of the contacts.
    4. (Optional) To the right of the name of the VIP contact, click the more icon, then click Remove from VIP Contacts to remove a contact from the list.
