Using Zoom Notes in a meeting

With Zoom Notes, users can create note documents while in a meeting, allowing them to track meeting minutes, important items, tasks for after the meeting, and more. In addition, these notes can be shared with participants within the meeting, as well as shared with users outside of the meeting.

Prerequisites for using notes in a Zoom meeting

How to create a new note during a Zoom meeting

  1. Start a meeting from the Zoom desktop client.
  2. On the in-meeting controls, click the Notes button.
  3. At the top right, click New.
  4. A new note will open and can be edited or shared with the meeting. 

How to edit a note during a Zoom meeting

  1. Start a meeting from the Zoom desktop client.
  2. On the in-meeting controls, click the Notes button.
  3. Click the existing note you want to edit.
    The note will open in the meeting window.
  4. Use the editing tools to update the note, or share the note in the meeting. 

How to share a note during a Zoom meeting

Sharing a note with participants in a meeting

  1. Start a meeting from the Zoom desktop client.
  2. In the meeting controls toolbar, click the Notes button.
  3. At the top right, click New or click an existing note you would like to edit.
  4. Click the Share button.
  5. Under Share with Meeting collaborators, click Share to Meeting.
  6. In the next window, select the desired permissions for the participants:
  7. (Optional) Enable Allow persistent access to verified meeting participants after closing the document to allow participants access to the note after the note has been closed or the meeting ended. 
    Note: Participants will need to be signed into a Zoom Account when joining the meeting to be given persistent access.
  8. Click Share Note.

Sharing a note with other collaborators while in a meeting

  1. Start a meeting from the Zoom desktop client.
  2. In the meeting controls toolbar, click the Notes button.
  3. At the top right, click New or click an existing note you would like to edit.
  4. Click the Share button.
  5. Enter the name of a contact, email address, or the channel you would like to share the note with and set their permissions.
  6. (Optional) Under Invite Message, enter a message that will be sent to the new collaborators. 
  7. Click Share Note.
