Managing meeting passcodes in Zoom Rooms


Meetings can require passcodes for an added layer of security. When a Zoom Room manually joins a passcode protected meeting without an invite, the participants in the room must input the passcode to enter the session. To facilitate this process, administrators can configure several settings in the Zoom web portal.

How to create an alert for failed passcode entry attempts

Enable the alert

  1. Log in to the Zoom web portal.
  2. Click on Room Management then click on Zoom Rooms.
  3. You can use the Zoom Rooms location hierarchy to set this as default for the account, location, or room. For this example, click Account Settings.
  4. Click the Alert tab and scroll down to Zoom Room meeting passcode alert, then click the toggle.
  5. Click Enable.
  6. (Optional) If you want to make this setting mandatory for all users, click the lock icon , and then click Lock to confirm the setting.
  7. (Optional) Click Add New under Notification Email Recipients if you do not have the required recipients already or need to add another. 

Unlock the room via email alert

If a meeting passcode is entered incorrectly 10 times, the Zoom Room will display this message: Joining meetings with a passcode on this device will be locked for 30 mins. Please try again later or contact an administrator. If you have setup an alert for this scenario, emails will be sent to the designated recipients. Any one of those recipients can open the email and click Unlock Room to override the 30 minute lockout period. 

How to set the numeric keypad as the default when joining meetings

Some organizations use numeric passcodes for meetings and do not need a lettered keypad to appear by default when manually joining. Administrators can toggle the type of keypad that is shown by default, so switching is not necessary when inputting passcodes.

Note: This feature is currently supported on Android Zoom Rooms controllers running version 5.14.5 or higher.

  1. Log in to the Zoom web portal.
  2. Click on Room Management then click on Zoom Rooms.
  3. You can use the Zoom Rooms location hierarchy to set this as default for the account, location, or room. For this example, click Account Settings.
  4. Click the Meeting tab and scroll down to Show numeric keypad by default when entering, then click the toggle.
