Managing the Lobby tab for recurring sessions events
After accessing the Lobby tab in the recurring sessions event creation flow, you can manage the event lobby.
The Lobby Configuration tab helps hosts customize their content. They can manage a centralized control panel for event visibility settings. The Lobby Controls tab helps hosts manage a centralized control panel for their lobby opening and closing settings.

How to access the Lobby tab for recurring sessions events
- Create a recurring sessions event.
You can also edit an upcoming event to access event setup. - In the navigation menu, click Event Experience then click Lobby.
The Lobby page will appear.
How to manage the Lobby Configuration tab
The lobby is divided into distinct sections, each offering you the ability to customize your content. Explore the sections below.
Manage the Agenda section
Lobby Agenda visibility
Control which sessions will be visible in your event lobby (lobby home and session list). Each session's title, date, and time are displayed for each session, distinguishing the event's unique sessions.
- Access the Lobby tab in the event creation flow.
- Click the Lobby Configuration tab.
- On the Lobby Agenda card, click Edit Lobby Agenda.
A panel will appear. - Choose from the following options to show specific sessions in the event lobby:
- All Sessions: All sessions will be visible in the lobby.
- Specific Sessions: Specific sessions will be visible in the lobby.
- Sort your sessions by alphabetical order, recently created, or a search.
- None: No sessions will be visible in the lobby.
- Click Save.
Manage the Speakers section
Speaker Visibility
Show all speakers, no speakers, or specific speakers. These speakers will be shown under the Speakers tab.
- Access the Lobby tab in the event creation flow.
- Click the Lobby Configuration tab.
- In the Speaker Visibility card, click Edit Speaker Visibility.
- Choose from the following options to show specific speakers in the event lobby:
- All Speakers: All speakers will be visible in the lobby.
- Specific Speakers: Specific speakers will be visible in the lobby.
- Sort your speakers by alphabetical order, recently created, or a search.
- None: No speakers will be visible in the lobby.
- Click Save.
Featured Speakers
Feature specific speakers in your event lobby. This is dependent on speakers being visible.
- Access the Lobby tab in the event creation flow.
- Click the Lobby Configuration tab.
- In the Featured Speaker card, click Edit Feature Speakers.
- Choose from the following options to feature specific speakers on the event detail page:
- All Speakers: All speakers will be featured.
- Specific Speakers: Specific speakers will be featured.
- Sort your speakers by alphabetical order, recently created, or a search.
- None: No speakers will be featured.
- Click Save.
How to manage the Lobby Controls tab
Manage lobby opening and closing time
Once the event is published, attendees can join your event lobby after the specified lobby start time. Special roles will be able to access the lobby as soon as the event is published.
- Access the Lobby tab in the event creation flow.
- Click the Lobby Controls tab.
- In the Lobby Opening Time section, edit lobby times:
- Edit the start time:
- Under Start Date and time, click the pencil icon

A pop-up window will appear. - In the pop-up window, select the opening date and time for the lobby.
- Edit the end time:
Note: You can also edit the lobby close time in the Post Event tab.
- Under End Date and time, click the pencil icon

A pop-up window will appear. - In the pop-up window, select the ending date and time for the lobby.
- Click Save.
Notes:
- The event lobby can be available to attendees 365 days before the event date, but will be set to the date and time specifically chosen by the host.
- Hosts and co-editors can edit the lobby closing time even if the lobby has ended. The lobby can be extended to any time that's within Zoom Events' maximum allowed time range, regardless of its event status or lobby status. As long as the lobby is open, all information in the lobby is available (i.e., recordings and session resources are available). Hosts can edit the lobby closing time to a maximum of 2 years after the event ends.
