Importing emails to Zoom Mail
Users can import their emails from Gmail and Office 365 to their Zoom Email account. Once they have added a third-party email address (e.g. Gmail, Office 365), they can easily switch between different inboxes. Users have the option to merge any third-party email account into their Zoom Mail to view all emails from one inbox.
Notes:
- You can only add and/or merge one third-party account. Adding another third-party account will replace the current connected third-party account.
- To perform all merge-related functions (pause, resume, view details, status, etc.), you must be signed in to your Zoom Mail account. None of the information or functions will be available to view if you are using your Gmail or Office 365 account.

How to merge third-party email account into Zoom Mail
- Sign in to the Zoom desktop client.
- Click the Mail tab.
- Ensure that you are signed in and using your Zoom Mail account.
- In the top-right corner, click the Settings icon , then click Email Preferences.
- In the left navigation menu, click Accounts.

Add an external email.
Note: If you have already added an external email, continue to step 7. - On the Accounts page, click Merge Account.
A pop-up window will appear. - In the window, click Yes.
Your Zoom Mail and third-party accounts will merge. Both accounts will appear on the Accounts page, which will show their syncing status.
Pause and resume synchronization
- Sign in to the Zoom desktop client.
- Click the Mail tab.
- In the top-right corner, click the Settings icon , then click Email Preferences.
- In the left navigation menu, click Accounts.
- While your merged account is syncing, click the 3 vertical dots to the right of the merged account, then click Pause Sync.
The sync will be paused. - To resume the sync, click the 3 vertical dots to the right of the merged account, then click Resume Sync.
The sync will resume.
View details
Note: You can only access View Details when a merged account is finished syncing.
- Sign in to the Zoom desktop client.
- Click the Mail tab.
- In the top-right corner, click the Settings icon , then click Email Preferences.
- In the left navigation menu, click Accounts.
- To the right of the merged account you want to manage, click View Details.
A pop-up window will appear, displaying the following information:

Last sync time: This displays the date and time of the most recent sync.

Total # of emails: This displays the total number of emails in the merged account.

Total failed: This displays the number of failed emails that did not send. You can also view the Sender, Date, and Subject line information of failed emails in this window.

Total successful: This displays the number of successful emails that sent.

Current merge status: This displays the merged account's status.
Remove account
- Sign in to the Zoom desktop client.
- Click the Mail tab.
- In the top-right corner, click the Settings icon , then click Email Preferences.
- In the left navigation menu, click Accounts.
- To the right of the merged account, click the 3 vertical dots , then click Remove Account.
You will be directed to the Zoom web portal to remove your third-party account.
