Understanding Workspace Reservation Beta licenses expiration
The transition period for beta licenses for Workspace Reservation will now end on Wednesday, July 31, 2024, and no longer on July 28, 2023, as previously communicated. To maintain any workspaces you’ve created, you’ll need to purchase your Workspace Reservation subscription or ensure that Workspace Reservation is included in any Zoom bundle packages you may currently have. If you do not purchase these subscriptions by July 31, 2024, you will no longer have access to managing the workspace(s) you created during the beta program.
Upon expiration of the account's Beta license, the account admin will lose management, assignment, and reservations of their workspaces. However, the workspace data will be retained. If the account admin purchases a Workspace Reservation subscription before the Beta license expiration, Zoom will automatically replace the free Workspace Reservation Beta license with the paid subscription.
When users attempt to reserve a workspace that has an expired Beta license, they will receive an error notification that states they cannot reserve the workspace and to contact their account admin.

What happens if my Workspace Reservation Beta license expires, and I do not have Zoom Rooms, Zoom Common Area Phone, or Workspace Reservation subscriptions?
When the Workspace Reservation Beta licenses expire, and users do not have Zoom Rooms, Zoom Common Area Phone, or a Workspace Reservation subscription:
- Workspaces (desks/reservation-only rooms) will be disabled.
- The Workspaces tab disappears for these users in the Zoom web portal.
- Admins do not have access to Workspaces Management settings in the Zoom web portal.
- Additional workspaces (desks/reservation-only rooms) cannot be added until there is a valid Workspace Reservation subscription purchased.
The user must purchase a Workspace Reservation subscription to re-enable or add workspaces, or Zoom Rooms or Zoom Common Area phone to add these to maps.
What happens if my Workspace Reservation Beta license expires, and I have a Zoom Rooms and/or Zoom Common Area phone subscription, but not the Workspace Reservation subscription?
When the Workspace Reservation Beta licenses expire, and customers have Zoom Rooms and/or Zoom Common Area Phone subscriptions but not the Workspace Reservation subscription:
- Workspaces (desks/reservation-only rooms) will be disabled.
- Additional workspaces (desks/reservation-only rooms) cannot be added until the customer purchases a Workspace Reservation subscription.
- Zoom Rooms and Zoom Common Area phones are still bookable.
- Zoom Rooms and Zoom Common Area phones can still be added to the floor map on the Zoom web portal.
- Admins can still manage Workspaces Management settings.
What happens when my Workspace Reservation Beta license expires, and I have purchased a Workspace Reservation subscription that is available?
When the Workspace Reservation Beta licenses expire and the customer has purchased a Workspace Reservation subscription that is available, the Workspace Reservation subscription will automatically be consumed for the previous workspaces created under the Beta license.
- For example: A customer had 25 workspaces created under the Workspace Reservation Beta license. Then, they purchased a Workspace Reservation subscription for 100 workspaces and have not used them. Upon the expiration of the Workspace Reservation Beta license, 25 workspaces from the Workspace Reservation subscription will be used for the workspaces created under the Beta license.
What happens when my Workspace Reservation Beta license expires, and I have purchased a Workspace Reservation subscription that is available but has insufficient volume?
When the Workspace Reservation Beta licenses expire and the customer has purchased a Workspace Reservation subscription that is available but has insufficient size, the paid Workspace Reservation subscription will automatically be consumed in place of the previous Beta license, up to the available quantity of workspaces in the subscription.
- For example: A customer had 30 workspaces created under the Workspace Reservation Beta license. They purchased a Workspace Reservation subscription for 25 workspaces and have not used them. Upon expiration of the Workspace Reservation Beta license, the gap is 5 workspaces. The last 5 workspaces or desks added to the floor map will be disabled, but 25 workspaces/desks will remain available. For reservations for the 5 disabled workspaces, any user reservations will be canceled, and, if applicable, the user will receive the cancellation notification (if the cancellation email/notification settings are enabled).
