Customizing email templates for Zoom Mail
Users can create email templates to facilitate sending repeated emails with prepared content. Templates can include images and rich-text formatting, as well as be shared with others in your account.
Users can save and name a current draft as a template, access previous templates in their compose box, and delete templates that they no longer need.

How to create email templates
- Sign in to the Zoom desktop client.
- Click the Mail tab.
- In the top-right corner, click the Settings icon , then click Email Preferences.
- In the navigation menu, click Templates.
- Click the My Templates tab.
- On the My Templates tab, click + Template.
Note: The template cannot exceed the maximum size of 1MB. - Create a new template:
- Under Template Name, enter the template name. This is also the subject line for the email.
- In the text compose box, customize a message for your template.
- (Optional) Along the bottom of the template draft, click the following options:
- Formatting options : Click to open additional formatting options for the body of the email.
- Bold icon : Bold the highlighted text.
- Italicize icon / : Italicize the highlighted text.
- Underline icon : Underline the selected text.
- Strikethrough icon : Strikethrough the highlighted text.
- Text color icon : Access both the ability to adjust the color of the text itself and/or the color highlight around the text.
- Text size icon : Adjust the size of the font, choosing from Small, Medium, and Large text sizes.
- Link icon : Insert a link for the highlighted text.
- Heading icon : Adjust the style of the text, choosing from Heading 1, Heading 2, Heading 3, and Paragraph.
- Bulleted list icon : Begin a bulleted list.
- Numbered list icon : Begin a numbered list.
- Increase indent icon : Increase the indent of the selected text.
- Decrease indent icon : Decrease the indent of the selected text.
- Quote icon : Create a quote of text.
- Eraser icon : Clear all formatting of the selected text.
- Insert image icon : Attach a file or image to the message.
- Emoji icon : Insert an emoji or GIF image into the text of the email.
- In the top-right corner, click Save when you're finished customizing your template.
The template will appear in the My Templates tab.
Note: You can create up to 100 email templates.
How to edit email templates
- Sign in to the Zoom desktop client.
- Click the Mail tab.
- In the top-right corner, click the Settings icon , then click Email Preferences.
- In the navigation menu, click Templates.
- Click the My Templates tab.
- On the My Templates tab, to the right of the template you want to edit, click the pencil icon .
You will be directed to the template page where you can edit it. - Edit the template.
- Click Save Changes.
How to delete email templates
- Sign in to the Zoom desktop client.
- Click the Mail tab.
- In the top-right corner, click the Settings icon , then click Email Preferences.
- In the navigation menu, click Templates.
- Click the My Templates tab.
- On the My Templates tab, to the right of the template you want to delete, click the trash icon .
A confirmation window will appear. - In the confirmation window, click Delete.
Note: If you delete the template, you won’t be able to recover it and anyone you’ve shared it with will lose access.
How to share email templates
After you create email templates, you can share those templates with users, groups, and/or channels.
- Sign in to the Zoom desktop client.
- Click the Mail tab.
- In the top-right corner, click the Settings icon , then click Email Preferences.
- In the navigation menu, click Templates.
- Click the My Templates tab.
- On the My Templates tab, to the right of the template you want to share, click the share button .
A pop-up window will appear. - In the window, under Share to, search for and select the name, group name, or channel that you want to share the template with.
- (Optional) To the right of the names of users, groups, or channels that you want to remove, click the X.
- Click Share.
The users, group, and/or channel that you shared the template with will receive an email notification. The shared template will also be moved to the Shared Templates tab.
Access the Shared Templates tab
- Sign in to the Zoom desktop client.
- Click the Mail tab.
- In the top-right corner, click the Settings icon , then click Email Preferences.
- In the navigation menu, click Templates.
- Click the Shared Templates tab.
All your shared templates will appear in the tab.
