Limitations of Zoom AI Companion

While AI-powered features can be valuable tools to help us be more productive, it’s important to understand the limitations of AI outputs or generated content. Put simply, AI outputs are not perfect, for a number of reasons. The performance of AI-powered systems is based on the data they have been trained on, which can lead to errors or inaccuracies when presented with new or unexpected situations. Zoom AI Companion utilizes developing AI technology, and AI Companion features may provide incorrect, inaccurate, misleading, or offensive responses. It is important for you to check AI-generated content for accuracy and to follow Zoom’s Acceptable Use Guidelines when editing or directing generated content.

Zoom is committed to reducing the negative impact of AI limitations by focusing on building AI responsibly, meaning privacy, security, inclusion, trust, and safety are central to what we do.

* Audio transcripts for non-recorded meetings are stored temporarily, in order for Zoom to provide the service and support to customers, unless the option to allow meeting hosts to retain transcripts is enabled. Zoom uses Twilio Sendgrid as its email provider to deliver the meeting summary or link to the meeting summary (depending on the customer’s settings). Twilio Sendgrid uses a process that takes random content samples of emails and retains the information for 7 days for anti-fraud purposes and troubleshooting.

** Virtual backgrounds generated by the service are stored on the user’s personal device. Zoom uses AWS (Amazon Rekognition) to provide moderation services on the generated images. Moderation occurs within AWS data centers in the US.

***When using the AI Companion panel, access to data sources is determined by account settings and the user’s underlying permissions. The system leverages data across your Zoom account, as well as any other enabled data sources, to answer user prompts, based on the user’s underlying permissions. Zoom uses Perplexity.ai to provide web content search results for AI Companion.

Note: AI Companion may not be available for select verticals and select regional customers.

How Zoom uses data to provide Zoom AI Companion features

Data from users’ interactions with the AI Companion features may be accessed, processed, and used by Zoom to provide and maintain the services, troubleshoot issues, and provide support. Zoom does not use any of your audio, video, chat, screen sharing, attachments or other communications-like customer content (such as poll results, whiteboard and reactions) to train Zoom’s or its third-party artificial intelligence models. This commitment includes the content mentioned in the chart above, such as audio transcripts, used to provide the service.
Zoom’s unique federated approach to AI is designed to deliver high-quality results by dynamically incorporating Zoom’s own large language models (LLMs) in addition to OpenAI and Anthropic. We evaluate and update our models periodically and models used to support Zoom AI Companion features may change from time to time. Features in AI Companion may use third-party AI-model providers, and we will share relevant data with those third-parties when you use the feature.

For example, if you use Chat Compose to help draft responses in Team Chat, the content used to provide the service as described in the section above — the selected chat thread, chat participant names, and your draft response — will be sent to the relevant model to provide the service. Similarly, AI Companion features used in Zoom Meetings that provide summaries or answer questions generate a temporary meeting transcript that will be sent to the relevant model to provide the service.

Zoom AI Companion can use data from Microsoft and/or Google to provide additional context to respond to user prompts. When enabled by account owners and admins and connected by users, content will be indexed and stored by Zoom, which allows AI Companion to find relevant content when answering user prompts. Zoom will store content that has been viewed or edited within the last 30 days for authenticated users, so only recent content is used when providing responses.

We do not allow third-party AI models to use your data to improve or train their models. Your data may be temporarily retained by those third-parties for Trust and Safety purposes or to comply with legal obligations. Data processed by Zoom AI Companion may be processed within U.S.-based data centers.
