Enabling or disabling Zoom Whiteboard


Enabling the Zoom Whiteboard feature allows users to collaborate on a virtual whiteboard during or outside of meetings. By default, Zoom Whiteboard is enabled for most accounts, but account owners and administrators can enable or disable them for certain users or user groups, or for the entire account.

Note: If you do not see the option to enable Zoom Whiteboards on your account, submit a request to Zoom Support.

How to enable or disable in-meeting whiteboard

Account

  1. Sign in to the Zoom web portal.
  2. Click Account Management, then Account Settings.
  3. Click the Whiteboard tab.
  4. Under the In-meeting Whiteboard section, click the Enable In-Meeting Whiteboard toggle to enable or disable the option.
  5. If a verification dialog appears, click Enable or Disable to verify the change.
    The settings below are enabled by default if Enable In-Meeting Whiteboard is enabled.
    • Allow whiteboards to be saved to cloud
      Allows users to save whiteboards to the cloud. The Allow export of whiteboard content feature must also be enabled for this to apply.
    • Allow export of whiteboard content
      Allows users to export in-meeting whiteboard content and save as PDF, PNG, or CSV formats to the Zoom folder on your device. Select the users who are allowed to save content and determine if you would like to automatically export the content when a share is stopped.
    • Allow participants to share whiteboard
      Allows users to specify who can start sharing when someone else is sharing and who can initiate new whiteboards in the meeting.
  6. (Optional) To prevent all users in your account from changing these settings, click the lock icon  , and then click Lock to confirm the setting.

Group

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click User Management then Groups.
  3. Click the applicable group name from the list.
  4. Click the Whiteboard tab.
  5. Under the In-meeting Whiteboard section, click the Enable In-Meeting Whiteboard toggle to enable or disable the option.
  6. If a verification dialog appears, click Enable or Disable to verify the change.
    The settings below are enabled by default if Enable In-Meeting Whiteboard is enabled.
    • Allow whiteboards to be saved to cloud
      Allows users to save whiteboards to the cloud. The Allow export of whiteboard content feature must also be enabled for this to apply.
    • Allow export of whiteboard content
      Allows users to export in-meeting whiteboard content and save as PDF, PNG, or CSV formats to the Zoom folder on your device. Select the users who are allowed to save content and determine if you would like to automatically export the content when a share is stopped.
  7. (Optional) To prevent all users in the group from changing these settings, click the lock icon  , and then click Lock to confirm the setting.

Disable whiteboard for meeting participants

If you're the host of a Zoom meeting and you don't want participants to be able to use the whiteboard feature, you can disable it in the meeting settings:

  1. Sign in to the Zoom web portal.
  2. Click Account Management, then click Account Settings.
  3. Click the Meeting tab.
  4. In the In Meeting (Advanced) section, under Restrict users from using selected features when they join a meeting or webinar, click Select Features to Restrict.
  5. Check the box next to Whiteboard (New).
  6. In the drop-down menu, select All Meetings or External meetings only.
  7. Click Save.

Even though the in-meeting whiteboard feature is enabled, this option allows the host to share the whiteboard while preventing participants from sharing their own whiteboards. While participants can see the Whiteboard option in the in-meeting controls, they are unable to use it.

How to enable or disable out-of-meeting whiteboard

Account

  1. Sign in to the Zoom web portal.
  2. Click Account Management, then Account Settings.
  3. Click the Whiteboard tab.
  4. Under the Out-of-Meeting Whiteboard section, click the Enable Out-of-Meeting Whiteboard toggle to enable or disable the option.
  5. If a verification dialog appears, click Enable or Disable to verify the change.
    The settings below are enabled by default if Enable Out-of-Meeting Whiteboard is enabled.
    • Allow whiteboards to be saved to cloud
      Allows users to save whiteboards to the cloud. The Allow export of whiteboard content feature must also be enabled for this to apply.
    • Allow export of whiteboard content
      Allows users to export in-meeting whiteboard content and save as PDF, PNG, or CSV formats to the Zoom folder on your device.
