Setting up Zoom Phone cloud paging


Paging systems are a one-way communication method used to broadcast public announcements to individuals or groups within a facility. By utilizing Zoom paging, you can deliver clear and amplified instructions throughout a space. Schools, hospitals, retail stores, and other organizations can leverage this feature to notify people of important information. As an admin, it’s possible to configure the paging system to permit some users to send announcements while others receive them.

How to set up your cloud paging system

In order to use your paging system, it’s necessary for you to configure it beforehand. The following steps can be taken to do so.

  1. Make sure to enable Paging for your account.
  2. In the navigation menu, click Phone System Management, then click Paging.
  3. Select the Paging Group tab.
  4. Click Add.
  5. If you have sites, select a site.
  6. In the Name box, enter a name for your paging system.
  7. (Optional) In the Description box, enter a description of your paging system.
  8. In the Short extension Number box, enter a short extension number or leave the default number generated.
  9. To the right of Senders, click Add.
    Note: In order to send standard or emergency paging with just one click using line keys, the sender must be assigned an IP phone, and the keys and positions configured for standard and/or emergency accordingly.
  10. Click the Users or Common Areas tab, then do the following:
    • If you have sites, select the desired site.
    • Search or select the name of the user(s) or common area(s).
    • Click OK.
  11. (Optional) Under Members, select Receivers are the same as senders if the paging senders are the same as the receivers.
    Note: Both senders and receivers have the ability to send and receive messages as needed, making it convenient for bidirectional communication when flexibility is required.
  12. To the right of Receivers, click Add.
    Note: The senders send paging messages to the receivers. In the case of IP phones, if a user is included in a receiver paging group, they will not be able to view the corresponding line keys. Instead, the phone will play the announcement automatically.
  13. Click the Users or Common Areas tab, then do the following:
    • If you have sites, select the desired site.
    • Search or select the name of the user(s) or common area(s).
    • Click OK.
  14. Click Save.

Enable or disable paging settings

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone System Management, then click Paging.
  3. Select the Settings tab, then click the toggle to enable or disable the following setting:
    • Emergency Paging: Enable this setting if you want to interrupt an ongoing paging call in emergency situations.
      Note: Supported on Yealink and AudioCodes IP phones only at this time.

Add paging to a line key

After configuring your paging system, you need to configure a line key for your senders to send paging on that line and receivers to receive them.

As an admin, follow these steps to configure your line paging key.

How to make changes to your cloud paging system after setting it up

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone System Management, then click Paging.
  3. Select the Paging Group tab.
  4. To the far right of the name of the paging system you created, click Edit to make any changes to the paging system, then do the following:
    • Site: If you have sites and want to apply the paging to a different site, select your new site.
    • Extension Number: Click Edit to change the extension number, then enter the new number and click Save.
    • Senders: Click View or Edit.
      • Click Add, to add a new member.
      • Click the more options icon to remove an existing member.
    • Receivers: Click View or Edit.
      • Click Add, to add a new member.
      • Click the more options icon to remove an existing member.
  5. (Optional) Click Delete to delete the paging system.
