Using Zoom Whiteboard in a Zoom meeting


Zoom Whiteboard allows you to collaborate with your team by launching a virtual whiteboard from within a Zoom meeting. You can share your whiteboard with meeting participants and use the editing tools to start brainstorming and visualizing ideas.

When a whiteboard is shared in a meeting, there is no set limit on the number of individuals who can edit it. However, certain limitations are applied if the amount of network traffic surpasses a particular threshold. These limitations are dynamic and depend on the level of activity or traffic that is happening in real time. As a result, it can automatically adjust the number of individuals who can simultaneously edit the board. Suppose there are 100 participants in a meeting, only 30 people can edit the whiteboard simultaneously. However, as the traffic increases, the number of people who can edit the whiteboard decreases.

Note: If you do not see Zoom Whiteboard in the desktop client, please contact an account admin to have this feature enabled.

How to create a whiteboard during a Zoom meeting

  1. Start a meeting from the Zoom desktop client.
  2. On the in-meeting controls, click the Whiteboards button  .
  3. Click New Whiteboard.
    The whiteboard will open in the meeting window.

Note: Meeting hosts have control over who and when attendees can create new whiteboards while in a meeting. Any whiteboards created during the meeting are owned by the host.

How to edit a whiteboard during a Zoom meeting

  1. Start a meeting from the Zoom desktop client.
  2. On the in-meeting controls, click the Whiteboards button  .
  3. Click Existing Whiteboards.
  4. In the pop-up window, you will be asked to select from the following:
    • How do you want to open the board?
      • Collaborating: Users are granted edit access.
      • Presenting: Board opens in presentation mode and users are granted view access.
      • Allow persistent access to verified meeting participants after closing the whiteboard.
  5. Click Open Board.
    The whiteboard will open in the meeting window.
  6. Use the editing tools to create and manipulate objects on the whiteboard.
  7. (Optional) When you are done, click Close Whiteboard at the top of the screen.

How to share a whiteboard during a Zoom meeting

  1. Start a meeting or a webinar from the Zoom desktop client.
  2. In the meeting controls toolbar, click the Whiteboards button  .
  3. At the top right, click New Whiteboard or Existing Whiteboards.
    The new whiteboard will open in the meeting window.
  4. If you selected Existing Whiteboards, you will be asked to select from the following:
    • How do you want to open the board?
      • Collaborating: Users are granted edit access.
      • Presenting: Board opens in presentation mode and users are granted view access.
      • Allow persistent access to verified meeting participants after closing the whiteboard.
  5. At the top right, click Share to send the whiteboard to other users outside the meeting.
    • Enter the contact names, Zoom Team Chat channel, or email addresses of the users you would like to share the whiteboard with and set their permissions with the drop-down arrow to the right of the entry box.
    • Add an optional message to help recipients understand why this project was shared with them in the email that will be sent to them.
  6. Click Share Whiteboard.
