Embedding passcode in shareable links

You can embed your cloud recording passcode in shareable links, using the Embed passcode in the shareable link for one-click access setting.  When enabled, passcodes are encrypted and included in your shareable link so viewers can access the recording in a single click. This setting is available at the account, group, and user level, and it is disabled by default for existing users.

Prerequisites for embedding cloud recording passcode in shareable links

• Account owner or administrator privileges (required for managing account and group level settings)
• Cloud recording enabled
• Cloud recording sharing enabled

How to enable embed cloud recording passcode in shareable links

Note: Once the setting is turned on, Passcode will no longer appear under the shareable link section.

Account

To enable or disable embedded passcode in cloud recording links for all users in the account:

1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
2. In the navigation menu, click Account Management, then Account Settings.
3. Click the Recording & Transcript tab.
4. Under Recording, ensure that the Require passcode to access shared cloud recordings is enabled.
5. Select the Embed passcode in the shareable link for one-click access checkbox   to turn the setting on.
6. Click Save.
7. (Optional) If you want to make this setting mandatory for all users in your account, click the lock icon  for Require passcode to access shared cloud recordings, and then click Lock to confirm the setting.

Group

To enable or disable embedded passcode in cloud recording links for a group of users:

1. Sign in to the Zoom web portal as an admin with the privilege to edit group settings.
2. In the navigation menu, click User Management, then Groups.
3. Click the applicable group name from the list, then click the Recording & Transcript tab.
4. Under Recording, ensure that the Require passcode to access shared cloud recordings is enabled.
5. Select Embed passcode in the shareable link for one-click access checkbox to turn the setting on.
   Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level.
6. Click Save.
7. (Optional) If you want to make this setting mandatory for all users in the group, click the lock icon  for Require passcode to access shared cloud recordings, and then click Lock to confirm the setting.

User

To enable or disable embedded passcode in cloud recording links for your own use:

1. Sign in to the Zoom web portal.
2. In the navigation menu, click Settings.
3. Click the Recordings & Transcripts tab.
4. Under Recording, ensure that the Require passcode to access shared cloud recordings is enabled.
5. Select Embed passcode in the shareable link for one-click access checkbox to turn the setting on.
   Note: If the option is grayed out, it has been locked at either the group or account level. Contact your Zoom admin.
6. Click Save.
