Using workspace reservation schedule privilege

Workspace Reservation scheduling privilege is designed for a user to delegate a user or multiple users in their account to schedule and manage reservations on their behalf.

You can also reserve workspaces on behalf of a user (or multiple users) who has assigned you workspace reservation scheduling privileges.

How to set up workspace reservation schedule privilege

  1. Sign in to the Zoom web portal.
  2. In the top-right corner, click your profile picture or initials, then click My account.
  3. In the side menu, click Settings .
  4. Click Workspaces.
  5. Under Workspaces, locate Workspace Reservation Schedule Privilege.
  6. Next to Assign reserve privilege to, click Add.
  7. Under Allowed Users, enter a username or email address in the text box. You can add multiple users.
    Note: To remove users, click the X by their names.
  8. Under Allowed Groups, enter a group name in the text box. You can add multiple groups.
    Note: To remove groups, click the X by their names.
  9. (Optional) Click Edit to add or remove users to assign scheduling privilege.
  10. Click Save.

If the user was assigned successfully, they will appear under Assign reserve privilege to.

If workspace reservation privilege cannot be assigned because the user is not on your account, you will receive an error message.

Under I can reserve for, you can view who assigned you workspace reservation scheduling privileges.

How to reserve a desk for another user

Windows | macOS

The user given workspace reservation scheduling privilege must sign out of the Zoom desktop app and sign in again for the workspace reservation scheduling privilege option to appear.

  1. Sign in to the Zoom desktop app.
  2. Click the Workspaces tab.
  3. After you enter your workspace criteria, select the workspace you want to reserve.
    A panel will appear, displaying the workspace’s information.
  4. In the upper right corner, click My reservations.
  5. To the right of My reservations, click the down arrow and select the user you want to schedule for the desk.
  6. Adjust other workspace or room settings as needed.
  7. Click Reserve to complete the reservation.
Android | iOS

The user given workspace reservation scheduling privilege must sign out of the Zoom mobile app and sign in again for the workspace reservation scheduling privilege option to appear.

  1. Access Workspace Reservation on the Zoom mobile app.
  2. On the floor map, find and tap an available workspace.
  3. After you enter your workspace criteria, select the workspace you want to reserve.
    A window will appear, displaying the workspace’s information.
  4. In the workspace’s window, to the right of Reserve for, tap the down arrow and select the user you want to schedule for the desk.
  5. Adjust other workspace or room settings as needed.
  6. Tap Reserve to complete the reservation.
Web
  1. Sign in to the Zoom web portal.
  2. In the top-right corner, click the Zoom Products icon  .
  3. Click Workspaces .
    Workspaces will open in a new browser tab.
  4. After you enter your workspace criteria, select the workspace you want to reserve.
    A panel will appear, displaying the workspace’s information.
  5. In the upper right corner, click My reservations.
  6. To the right of My reservations, click the down arrow and select the user you want to schedule for the desk.
  7. Adjust other workspace or room settings as needed.
  8. Click Reserve to complete the reservation.
