Enabling Zoom Mail and Calendar


The Zoom Mail and Calendar Clients allow you to view and manage your emails, as well as schedule and manage your calendar events, directly from the Zoom desktop client, further centralizing all your meeting, phone, chat, whiteboard, email, and calendar needs in one application. Connect your existing Google or Microsoft 365 account (Exchange) to view and send emails or schedule calendar events through the Zoom client, or create a new email address through the Zoom Mail Service and manage that account’s emails and calendar.

Prerequisites for enabling Zoom Mail and Calendar

Note: Basic and Pro accounts have Zoom Mail and Calendar clients enabled by default. For Business and Enterprise accounts, Zoom Mail and Calendar clients are disabled by default.

Zoom Mail and Calendar Services 

Note: Pro accounts have the Zoom Mail and Calendar Services enabled by default. For Business and Enterprise accounts, the Zoom Mail and Calendar Services are disabled by default.

How to enable Zoom Mail and Calendar

Account

To enable or disable Zoom Mail and Calendar for all users in the account:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Mail & Calendar tab.
  4. Under General, click the Manage emails and calendar events on Zoom client toggle to enable or disable it.
  5. If a verification dialog displays, click Enable or Disable to verify the change.
  6. (Optional) Select the Allow users to manage emails checkbox to allow users to access and manage emails on the Zoom app. 
  7. (Optional) Select the Allow users to manage calendar events checkbox to allow users to access and manage their calendars on the Zoom app. 
  8. (Optional) Select the Allow users to choose Zoom as their email/calendar service provider check box to allow users to create their own Zoom Mail account.
    Note: To select this option, you need to allow users to manage emails and calendar events.
  9. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.
    After the Zoom Mail Client is enabled, users can connect their Google, Microsoft 365 (Exchange), or Zoom Mail Service account in the desktop application.

Group

To enable or disable Zoom Mail and Calendar for a group of users:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit groups.
  2. In the navigation menu, click User Management then Groups.
  3. Click the applicable group name from the list.
  4. Click the Mail & Calendar tab.
  5. Under General, click the Manage emails and calendar events on Zoom client toggle to enable or disable it.
  6. If a verification dialog displays, click Enable or Disable to verify the change.
    Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level.
  7. (Optional) Select the Allow users to manage emails checkbox to allow users to access and manage emails on the Zoom app. 
  8. (Optional) Select the Allow users to manage calendar events checkbox to allow users to access and manage their calendars on the Zoom app. 
  9. (Optional) Select the Allow users to choose Zoom as their email/calendar service provider check box to allow users to create their own Zoom Mail account.
    Note: To select this option, you need to allow users to manage emails and calendar events.
  10. (Optional) To prevent all users in the group from changing this setting, click the lock icon , and then click Lock to confirm the setting.
    After the Zoom Mail Client is enabled, users can connect their Google, Microsoft 365 (Exchange), or Zoom Mail Service account in the desktop application.
