Changing personal voicemail and videomail settings
Account owners and admins can enable or disable the ability for users to access, share, download, and delete their voicemail and videomail. Admins can also allow them to use a virtual background for their videomails or greetings.
Additionally, account owners and admins can enable conversational voicemails, allowing users to broadcast voice or video messages to multiple recipients simultaneously through admin-defined groups or company-wide distribution, with automatic encryption through Customer Managed Keys (CMK) when enabled. The feature integrates with existing Zoom Phone (ZP) security controls, including Personally Identifiable Information (PII) redaction, Bring Your Own Storage (BYOS) compatibility, and voicemail task extraction capabilities. Messages automatically save as drafts when network issues occur during recording, and deleted voicemails follow existing trash folder policies. Admins can monitor all conversational voicemails through the Phone System Management logs interface.
Requirements for changing personal voicemail and videomail
- Either a Zoom Workplace license (with Phone included), or a standalone Zoom Phone calling plan
- Account owner or admin privileges
- Zoom Phone setup
How to enable or disable personal voicemail and videomail
Account, group, site, and phone user levels
- Access the personal voicemail and videomail policy setting at one of the available levels. Select the following:
- Allow videomail: When enabled, this allows users to send a videomail as a message.
- Allow conversational voicemail: When enabled, this allows users to broadcast voice or video messages to multiple recipients simultaneously through admin-defined groups or company-wide distribution, with automatic encryption through Customer Managed Keys (CMK).
- Only allow private conversational voicemails: When enabled, only private conversational voicemails are allowed.
Note: Private voicemails cannot be shared by using any modalities or downloaded to any local devices.
- Allow user to download their own voicemail/videomail: When enabled, this allows users to download their voicemail and videomail.
- Allow user to delete their own voicemail/videomail: When enabled, this allows users to delete their voicemail and videomail.
- Allow user to share their own voicemail: When enabled, this allows users to share their voicemail.
- Allow virtual background for videomail/video greeting: When enabled, this allows users to select a virtual background for their videomail and video greeting.
- (Optional) Click Manage virtual background(s), to add/remove virtual background files.
- Click Save.
- (Optional) To prevent all users in the account, group, or site from changing this setting, click the lock icon
