Managing conversation meeting recording access and disclaimers


Zoom Revenue Accelerator needs recording data to analyze and provide metrics and feedback. Access to recordings of Zoom Revenue Accelerator users must be authorized by an account admin, who can also configure which meetings or Zoom Phone calls (if applicable) are blocked or ignored from automatic analytics.

Note: This feature is compatible with meetings using a personal meeting ID (PMI) when the host is on Zoom app version 5.16.0 or higher.

How to manage meeting recording access and auto-analyze settings

The following settings allow you to control the meeting recordings that Zoom Revenue Accelerator analyzes. Analyzed meeting recordings are accessible on the Conversations page.

Enable or disable automatic recordings for scheduled meetings with external participants

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Revenue Accelerator tab.
  4. Under Conversations - Meetings, click the Automatic recording for scheduled meetings with external participants toggle to enable or disable it.
    Notes:
    • If enabled, scheduled meetings hosted by Zoom Revenue Accelerator licensed users with invited external participants will be automatically recorded into the cloud. Recordings will still be subject to meeting analyze settings before being sent to Zoom Revenue Accelerator for analysis.
    • This setting will be enabled for all groups and users. Settings that had been previously changed for groups or users will not be affected.
  5. If a verification dialog displays, click Enable or Disable to verify the change.
  6. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.
  7. (Optional)Under Do not start automatic recording if, select one or both checkboxes:
    • Anyone on the calendar invite has the specified email address
      1. Click Manage Email Addresses.
      2. Input email addresses separated by a comma or click Import from CSV.
      3. Click Save.
    • All external participants on the calendar invite have the specified domain
      1. Click Manage Domains.
      2. Input domains separated by a comma or click Import from CSV.
      3. Click Save.

Enable or disable meeting recording notifications for Zoom Revenue Accelerator

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Revenue Accelerator tab.
  4. Under Conversations - Meetings, under the Meeting Recording Notifications for Zoom Revenue Accelerator section, set up the following:
    Note: This setting is available for the Zoom desktop and mobile apps.
    • Play voice prompt for
      • All participants
      • Guest only: A user who is not signed in or not in your account.
      • No one
  5. (Optional) Select the Ask host to confirm before starting a recording checkbox to enable it.
    1. (Optional) Click Customize Disclaimer to add a disclaimer title, description, link URL, and link text, and select the disclaimer language.
    2. (Optional) Click Restore to Default to restore the settings to the default web portal settings.
  6. Click Save.

How to manage Zoom Revenue Accelerator meeting recording analysis

These configurations prevent Zoom Revenue Accelerator from automatically analyzing specified meeting recordings.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Revenue Accelerator tab.
  4. Under Conversations - Meetings, under the Meeting Recording Analysis - Exclusion Criteria section, select the checkboxes that apply to your organization:
    • Only analyze meeting recordings that exceed a specific time duration: Select the number of minutes using the dropdown.
    • Only analyze meetings with external participants: Click Save after selecting this checkbox.
    • Exclude meetings when at least one participant has a public domain: Participants who are signed in to an account with a public domain, such as Gmail, Yahoo, etc., will exclude the entire recording from Zoom Revenue Accelerator analysis.
      1. Click Manage Public Domains to select public domains that will be excluded from being analyzed by Zoom Revenue Accelerator.
      2. Click Save.
    • Exclude meetings when at least one external meeting participant has the specified domain: When at least one external participant is signed in to an account with one or more specified domains, Zoom Revenue Accelerator will exclude the entire recording from Zoom Revenue Accelerator analysis.
      1. Click Edit to add domain names separated by a comma.
      2. Click Save.
    • Exclude meetings when all external meeting participants have the specified domain: When all external participants are signed in to an account with one or more specified domains, Zoom Revenue Accelerator will exclude the entire recording from Zoom Revenue Accelerator analysis.
      1. Click Edit to add domain names separated by a comma.
      2. Click Save.
  5. Click Save.
