Managing Zoom Revenue Accelerator recording access and disclaimers


Zoom Revenue Accelerator needs recording data to analyze and provide metrics and feedback. Access to recordings of Zoom Revenue Accelerator users must be authorized by an account admin, who can also configure which meetings or Zoom Phone calls (if applicable) are blocked or ignored from automatic analytics.

The following settings allow you to control the meeting recordings that Zoom Revenue Accelerator analyzes.
Analyzed meeting recordings are accessible on the Zoom Revenue Accelerator Conversations page.

Automatic Recording for External Meetings

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Revenue Accelerator tab.
  4. Under Conversations - Meetings, click Automatic Recording for External Meetings toggle to enable or disable it.
    Note:
    • If enabled, scheduled meetings hosted by Zoom Revenue Accelerator licensed users with invited external participants will be automatically recorded into the cloud. Recordings will still be subject to meeting analyze settings before being sent to Zoom Revenue Accelerator for analysis.
    • This setting will be enabled for all groups and users. Settings that had been previously changed for groups or users will not be affected.
  5. If a verification dialog displays, click Enable or Disable to verify the change.
  6. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.
  7. Select Everyone in my account or Specific teams or users.
    If Specific teams or users is selected, click Add to add the team or users. This setting will be valid for only the specified teams and users. All other Zoom Revenue Accelerator users not specified here will have this setting turned off by default. The Lock function will be valid for the entire account and enforce each team and user's corresponding setting.
  8. (Optional)Under Do not start automatic recording if, select one or both checkboxes:
    • Anyone on the calendar invite has the specified email address
      1. Click Manage Email Addresses.
      2. Input email addresses separated by a comma or click Import from CSV.
      3. Click Save.
    • All external participants on the calendar invite have the specified domain
      1. Click Manage Domains.
      2. Input domains separated by a comma or click Import from CSV.
      3. Click Save.

Meeting Recording Notifications for Zoom Revenue Accelerator

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Revenue Accelerator tab then Conversations - Meetings.
  4. Under Meeting Recording Notifications for Zoom Revenue Accelerator, set up the following:
    • Show a disclaimer to participants when a Zoom Revenue Accelerator meeting starts recording
      • All participants
      • Guest only
      • Customize Disclaimer
        Note:
        The customized disclaimer does not apply to OnZoom or Zoom Events on version 5.8.6 (Windows) and 5.8.6 (Mac OS) or later.
    • Play voice prompt for
      • All participants
      • Guest only
      • No one
  5. (Optional) Select the checkbox to enable Ask host to confirm before starting a recording.
  6. (Optional) Click Customize Disclaimer to add a disclaimer title, description, link URL and link text.  
  7. Click Save.

Meeting Recording Analysis - Exclusion Criteria

These configurations prevent Zoom Revenue Accelerator from automatically analyzing specified meeting recordings.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Revenue Accelerator tab then Conversations - Meetings.
  4. Under Meeting Recording Analysis - Exclusion Criteria, select the checkboxes that are applicable to your organization.
    • Only analyze meeting recordings that exceed a specific time duration: Select the number of minutes using the dropdown.
    • Only analyze meetings with external participants
    • Exclude meetings when at least one participant has a public domain: Participants who are signed in to an account with a public domain, such as Gmail, Yahoo, etc., will exclude the entire recording from Zoom Revenue Accelerator analysis.
      1. Click Manage Public Domains to select public domains that will be excluded from being analyzed by Zoom Revenue Accelerator.
      2. Click Save.
    • Exclude meetings when at least one external meeting participant has the specified domain: When at least one external participant is signed in to an account with one or more specified domains, Zoom Revenue Accelerator will exclude the entire recording from Zoom Revenue Accelerator analysis.
      1. Click Edit to add domain names separated by a comma.
      2. Click Save.
    • Exclude meetings when all external meeting participants have the specified domain: When all external participants are signed in to an account with one or more specified domains, Zoom Revenue Accelerator will exclude the entire recording from Zoom Revenue Accelerator analysis.
      1. Click Edit to add domain names separated by a comma.
      2. Click Save.
  5. Click Save.

How to manage Zoom Phone recording access and auto-analyze settings

Zoom Revenue Accelerator can also analyze and provide metrics and feedback for recorded Zoom Phone calls. Access to phone recordings of Zoom Revenue Accelerator users must be authorized by an account admin, who can also configure which calls are automatically analyzed.

Analyzed Zoom Phone call recordings are accessible on the Zoom Revenue Accelerator Conversations page.

Zoom Revenue Accelerator Analysis of Zoom Phone Recordings

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Revenue Accelerator tab.
  4. In the Conversations - Phone section, click the Revenue Accelerator Analysis of Zoom Phone Recordings toggle to enable or disable it.
    Note: This setting will be enabled for all groups and users. Settings that had been previously changed for groups or users will not be affected.
  5. If a verification dialog displays, click Enable or Disable to verify the change.
  6. (Optional) Select the Analyze calls originating from call queues checkbox then click Save.
    Note: Zoom Revenue Accelerator permissions will override call queue recording permissions. Zoom Revenue Accelerator users can access call queue recordings according to their conversation permissions.

Zoom Revenue Accelerator Analysis - Call Types

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Revenue Accelerator tab.
  4. In the Conversations - Phone section, select the call type that Zoom Revenue Accelerator will analyze:
    • All
    • Inbound only
    • Outbound only
  5. Click Save.

Phone Recording Analysis - Exclusion Criteria

These configurations will prevent Zoom Revenue Accelerators from automatically analyzing specified phone recordings.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Revenue Accelerator tab.
  4. In the Conversations - Phone section, select the checkboxes that are applicable to your organization.
    • Only analyze phone recordings that exceed a specific time duration: Select the number of minutes or seconds using the dropdown.
    • Only analyze phone recordings with external participants 
    • Exclude phone calls with specified number: Click Add, specify the country code and the phone number.
    • Exclude phone calls with specified number prefix:  Click Add, specify the country code and the phone number prefix.
  5. Click Save.
