Using file sharing integrations


The file sharing integrations allows you to share your Box, Google Drive, Microsoft OneDrive, and Microsoft SharePoint files in Zoom. After connecting your Zoom account, you can easily share files in chat and during a meeting. 

You can also share a local file from your system instead of using a file sharing integration.

Note: You can also use the Dropbox integration to share files. The Dropbox integration has different features than the other file sharing integrations.

How to enable file sharing integrations

  1. Sign in to the Zoom web portal as an admin with the privilege to edit integration settings.
  2. In the navigation menu, click Advanced then Integration.
  3. Enable one or more of these toggles:
    • Box
    • Google Drive
    • Microsoft OneDrive
    • Microsoft SharePoint

How to share a file in Zoom chat 

You can share a file in Zoom chat to individual contacts, multi-users chat groups, and channels. Shared files are not directly uploaded to Zoom, but rather this will create and post a shareable link for the file. Contacts in the chat can click the file to open a browser and view the file using the 3rd-party file sharing service.

  1. Sign in to the Zoom desktop client.
  2. Click the Chat tab.
  3. Select the contact, group-chat, or channel you want to share the file with. 
  4. Click File and then click the file sharing service.
    A webpage will open for this service. 
  5. Click Connect.
  6. Follow the on-screen instructions to authorize Zoom to access your account.
    You will see a web page with your files.
  7. Select the file you want to share.
    Note: If you're sharing a SharePoint file, you need to select the SharePoint site before viewing the file directory.
  8. In the bottom panel, select one of the following sharing options:
    • Anyone in your organization: Only members in your organization can click the link to view or download the file.
      Notes:
      • If you're sharing a Google Drive file, enter your organization's domain.
      • If you're sharing a OneDrive or SharePoint file, this option is only available for work or school accounts.
    • Anyone with the link: Anyone with the link can view or download the file.
  9. Click Choose
    The file's permissions will change so that others can access it.
  10. When prompted by your browser, click the option to open Zoom.
    Zoom will post a link to the shared file. Contacts in the chat can click the link to open a browser and view the file in the 3rd-party file sharing service.

Note: By sharing the file, you are changing the file permissions in the 3rd-party file sharing service, so that the file is accessible for the entire organization. If you no longer want to share a file and need to revert permissions, sign in to your 3rd-party file sharing account.

  1. Sign in to the Zoom mobile app.
  2. Tap the Meet & Chat tab.
  3. Tap the contact, group-chat, or channel you want to share the file with. 
  4. Tap the plus button
  5. Tap Send a File and then tap the file sharing service. A webpage will open for this service. 
  6. Tap Connect.
  7. Follow the on-screen instructions to authorize Zoom to access your account.
    You will see a web page with your files.
  8. Select the file you want to share.
    Note: If you're sharing a SharePoint file, you need to select the SharePoint site before viewing the file directory.
  9. In the bottom panel, select one of the following sharing options:
    • Anyone in your organization: Only members in your organization can click the link to view or download the file.
      Note:
      • If you're sharing a Google Drive file, enter your organization's domain.
      • If you're sharing a OneDrive and SharePoint file, this option is only available for work or school accounts.

  10. Tap Choose

How to send a file through in-meeting chat

When in a meeting, files can be shared with other meeting participants through the in-meeting chat feature. 

  1. Sign in to the Zoom desktop client. 
  2. Start or join a meeting. 
  3. Click the Chat button in the meeting controls.
  4. Click the file icon and select the 3rd-party integration you want to share from. A webpage will open for this service. 
  5. Tap Connect.
  6. Follow the on-screen instructions to authorize Zoom to access your account.
    You will see a web page with your files.
  7. Select the file you want to share.
    Note: If you're sharing a SharePoint file, you need to select the SharePoint site before viewing the file directory.
  8. In the bottom panel. select one of these sharing options:
    • Anyone in your organization: Only members in your organization can click the link to view or download the file.

      • If you're sharing a Google Drive file, enter your organization's domain.
      • If you're sharing a OneDrive and SharePoint file, this option is only available for work or school accounts.

  9. Tap Choose

How to share a file during a meeting

You can also present files while in a Zoom meeting. Zoom will open the file and start a screen share.

  1. Sign in to Zoom desktop client.
  2. Start or join a meeting. 
  3. Click Share Screen in the meeting controls.
  4. Click the Files tab, select the file sharing service, then click Share.
    A web page will open for this service. 
  5. Click Connect.
  6. Follow the on-screen instructions to authorize Zoom to access your account.
    You will see a web page with your files.
  7. Select the file you want to share.
    Note: If you're sharing a SharePoint file, you need to select the SharePoint site before viewing the file directory.
  8. In the bottom panel. select one of these sharing options:
    • Anyone in your organization: Only members in your organization can click the link to view or download the file.
      Note:
      • If you're sharing a Google Drive file, enter your organization's domain.
      • If you're sharing a OneDrive and SharePoint file, this option is only available for work or school accounts.
    • Anyone with the link: Anyone with the link can view or download the file.
  9. Click Share screen.

  10. Click Resume Share if your screen share is paused.

Note: By sharing the file, you are changing the file permissions in the 3rd-party file sharing service, so that the file is accessible for the entire organization. If you no longer want to share a file and need to revert permissions, sign in to your 3rd-party file sharing account.

  1. Sign in to the Zoom mobile app.
  2. Start or join a meeting. 
  3. Tap Share in the meeting controls.
  4. Select the file sharing service you want to share from. A webpage will open for this service. 
    Note: Sharing from SharePoint is not currently supported on the mobile app.
  5. Click Connect.
  6. Follow the on-screen instructions to authorize Zoom to access your account.
