Managing app approval and app requests

The Zoom Marketplace helps you find apps that can integrate with Zoom to enhance your experience using the software. Users can search for and browse different categories of apps and add them from the Marketplace. Requiring admin approval to add an app, setting an app as approved, and managing requests for other apps are all controlled from the Marketplace by account owners and admins.

Requirements for managing app approvals and app requests

• Account owner or admin privileges
• Zoom desktop app for Windows, macOS, or Linux: Global minimum version or higher

How to manage pre-approval of Marketplace apps

To have more control over apps used by members of the account, admins can require that all apps be approved by an admin before they can be added by users on the account. The admin can preemptively approve apps that are already cleared for use, while members of the account can request approval for apps, which will notify admins.

By default, any single-user account that has not yet accessed Marketplace has pre-approval disabled, whereas multi-user accounts that have not yet accessed Marketplace have pre-approval enabled. Single-user accounts will be reminded of pre-approval settings upon adding a user(s).

Manage admin pre-approval for published apps

Admins can manage pre-approval for published apps, which are those that have successfully completed Zoom's app review process. This category includes both listed apps (publicly available in the marketplace) and unlisted apps (accessible only via direct link).

To manage pre-approval for published apps:

1. Sign in to the Zoom Marketplace as an admin or owner.
2. In the bottom left corner of the page, click Marketplace admin.
   You will be taken to the Marketplace admin portal.
3. In the side navigation, under Marketplace Management, click Permissions.
4. Under Published apps, click the Require published apps to be approved by Marketplace admin toggle to enable or disable it.
5. (Optional) Under Exceptions, check the following checkboxes to allow their associated exemption from the need for admin approval:
   • Allow published apps built by Zoom to be added without Marketplace admin approval: Exempt Zoom-created apps from pre-approval by an admin.
   • Allow published apps built by members in your account to be added without Marketplace admin approval: Exempt apps created by a user in your organization from pre-approval by an admin. These are typically custom integrations to suit a particular organizational need.

Manage admin approval for beta apps

Beta apps are those currently in the testing phase. These include apps by a third party that have been approved by the Zoom Marketplace team for beta testing, or apps in development in your organization. If you disable this permission, your account members can add apps without your (Marketplace admin) approval. 

To manage pre-approval for beta apps:

1. Sign in to the Zoom Marketplace as an admin or owner.
2. In the bottom left corner of the page, click Marketplace admin.
   You will be taken to the Marketplace admin portal.
3. In the side navigation, under Marketplace Management, click Permissions.
4. Under Beta apps, click the Require beta apps on the Zoom App Marketplace to be approved by Marketplace admin toggle to enable or disable it.
5. (Optional) Under Exceptions, check the following checkboxes to allow their associated exemption from the need for admin approval:
   • Allow beta apps built by Zoom to be added without Marketplace admin approval: Exempt Zoom-created apps from pre-approval by an admin.
   • Allow beta apps built by members in your account to be added without Marketplace admin approval: Exempt beta apps created by a user in your organization from pre-approval by an admin. These are typically custom integrations to suit a particular organizational need.

How to configure app request settings

Admins can configure whether users can request apps that administrators have not already approved, as well as request permission to create and publish apps. 
Note: These settings do not apply to Marketplace admins.

To configure app request permissions for users on your account:

1. Sign in to the Zoom Marketplace as an admin or owner.
2. In the bottom-left corner of the page, click Marketplace admin.
   You will be taken to the Marketplace admin portal.
3. In the side navigation, under Marketplace Management, click Permissions.
4. Under App requests, disable or enable the following settings:
   • Allow users to request app approval: Users can request to add or upgrade unapproved apps. If disabled, users cannot request approval or upgrades. 
   • Allow users to request app publishing: Users can request to publish apps they created so other users in their account can discover them in Marketplace. If disabled, users cannot publish their created apps.
   • Allow users to request app creation: Users can request that a new app be built within their account. If disabled, users cannot request app creation when no existing solution is found.

How to manage app visibility

Admins can limit the apps users can see to only pre-approved apps. While users will only be able to see and add pre-approved apps, admins can still view and manage apps that are not pre-approved. To manage app visibility:

1. Sign in to the Zoom Marketplace as an admin or owner.
2. In the bottom-left corner of the page, click Marketplace admin.
   You will be taken to the Marketplace admin portal.
3. In the side navigation, under Marketplace Management, click Permissions.
4. Under App requests, click the Show only approved apps toggle to enable or disable it.

How to manage pre-approval of individual apps

If owners or admins require pre-approval, they can search for apps on the Marketplace and individually pre-approve them. Once an app is pre-approved, it can be installed by other users on the account.

If you have not approved an app in the Marketplace, users on your account can request to install the app. If this occurs, you will receive an email from noreply@zoom.us with further details.

Notes:

• A combination of individual users and user groups can be given access to a pre-approved app.
• When a Zoom App is pre-approved for users and/or groups of users, they will be notified of the pre-approval to use this Zoom App.

Pre-approve an app on the Zoom Marketplace web portal

1. Sign in to the Zoom Marketplace as an admin or owner.
2. Search for an app and click the desired app.
3. Next to Add, click the dropdown icon  .
4. Click Manage approvals.
5. Select one of the following: 
   • All users on this account: Approves the app for all users in the account.
   • Specific users or user groups: Allows admins to pre-approve the app for certain users or groups.
6. (Optional) If available, click the checkbox I'd like to authorize this app on behalf of some or all of these approved users to complete OAuth authorization for the approved users after pre-approving.
7. Click Save.

Pre-approve within the Zoom Workplace app

1. Sign in to the Zoom Workplace desktop app.
2. In the navigation bar, click the Marketplace tab .
   Note: If you do not see the Marketplace tab , click the More tab , then click Marketplace tab .
3. Search for an app and click on it.
   The app information is displayed. Admins will see an additional box at the top of the page with pre-approval information.
4. Under the App permissions section, click the Approve use of this app toggle to approve use of this app.
5. Under Approve use of this app, select one of the following options: 
   • All users on this account: Approves the app for all users in the account.
   • Specific users or user groups: Allows admins to pre-approve the app for certain users or groups.
6. Click Save.

How to manage app requests

Approve or decline app requests

Admins and owners can manage all open pre-approval requests. Each request emails admins from noreply@zoom.us with more details.

1. Sign in to the Zoom Marketplace as an admin or owner.
2. In the bottom-left corner of the page, click Marketplace admin.
   You will be taken to the Marketplace admin portal.
3. In the side navigation, under Marketplace Management, click App requests.
4. Select the Active requests tab to view all pending app requests.
5. Find and select the app to approve.
6. Under the Select how you want to manage the app requests section of the Requests tab for that app, select one of the following:
   • Manage for all users on the account: This approves the app for use by all users on the account.
   • Manage for requesters: Allows admins to approve the app for the current requesters, or only specific requesters.
7. (Optional) If available, click the checkbox I'd like to authorize this app on behalf of some or all of these approved users to complete OAuth authorization for the approved users after pre-approving.
8. Click Approve or Decline.

Review existing app approvals

Admins can review already pre-approved apps for the account. To view all apps that have accessed data in the past 30 days, use the Active Apps Notifier Report to review recently active apps.

1. Sign in to the Zoom Marketplace as an admin or owner.
2. In the bottom-left corner of the page, click Marketplace admin.
   You will be taken to the Marketplace admin portal.
3. In the side navigation, under Marketplace Management, click App on the account.
4. Click the Approved Apps tab to review a list of apps you have pre-approved.
5. (Optional) If you want to change the permissions on who can install the app, click the pencil icon  to make the change.
6. (Optional) To disable the app for your users, click the toggle under Action for that app.

How to manage who can remove admin-authorized apps

Admins can control whether admin-authorized apps require admin permission to be removed by users. 

1. Sign in to the Zoom Marketplace as an admin or owner.
2. In the bottom-left corner of the page, click Marketplace admin.
   You will be taken to the Marketplace admin portal.
3. In the side navigation, under Marketplace Management, click Permissions.
4. Under Admin authorized apps, click the Require admin authorized apps to be removed by an admin toggle to enable or disable it.
5. (Optional) If the setting is enabled, under Exceptions, search for and select apps that users do not need authorization to remove.
6. Click Save.
