Saving closed captions in a meeting

The Save Captions feature allows you and your participants to save manual or automated captions of your event. Saved captions are generated as a .TXT file of the transcript and are saved locally onto your computer.

How to enable and disable save captions

Account

To enable or disable Save Captions for all users in the account:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Meeting tab.
  4. Under In Meeting (Advanced), click the Save Captions toggle to enable or disable it.
  5. If a verification dialog appears, click Enable or Disable to verify the change.
  6. (Optional) Select the Allow only the following users to save captions from the meeting check box to restrict which participants in a meeting are allowed to locally save a copy of the captioning transcript in a live meeting, then click Save:
  7. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.

Group

To enable or disable Save Captions for a group of users:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit groups.
  2. In the navigation menu, click User Management then Groups.
  3. Click the applicable group name from the list.
  4. Click the Meeting tab.
  5. Under In Meeting (Advanced), click the Save Captions toggle to enable or disable it.
  6. If a verification dialog appears, click Enable or Disable to verify the change.
    Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level.
  7. (Optional) Select the Allow only the following users to save captions from the meeting check box to restrict which participants in a meeting are allowed to locally save a copy of the captioning transcript in a live meeting, then click Save:
  8. (Optional) To prevent all users in the group from changing this setting, click the lockĀ  icon, and then click Lock to confirm the setting.

User

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Settings.
  3. Click the Meeting tab.
  4. Under In Meeting (Advanced), click the Save Captions toggle to enable or disable it.
  5. If a verification dialog appears, click Enable or Disable to verify the change.
    Note: If the option is grayed out, it has been locked at the account or group level and needs to be changed at that level.
  6. (Optional) Select the Allow only the following users to save captions from the meeting check box to restrict which participants in a meeting are allowed to locally save a copy of the captioning transcript in a live meeting, then click Save:

How to save captions during a meeting

  1. Start or join a Zoom meeting.
  2. In the meeting controls toolbar, click the Show captions icon .
  3. Next to the Show/Hide captions icon, click the up arrow icon.
  4. Click View full transcript.
    The Transcript panel will open to the right of the meeting window. As participants in the meeting speak, the transcript will populate.
  5. At the bottom of the Transcript panel, click Save transcript.
    The .TXT file will be saved to your device.
  6. Click Show in Folder or Finder to access your saved captions.
