Setting up speed dial and busy lamp field (BLF)
Speed dial allows you to assign any phone number to a line key on a phone. You can easily dial a number by pressing a physical line key on your phone or a line key on the phone's touch screen.
Busy lamp field (BLF) allows you to see the call status of another internal Zoom Phone user. For example, if that user in on a call, you'll usually see a red icon or indicator light.
You can also customize the order, outbound caller ID, and alias of line keys to help you identify ones that have speed dial or BLF.

Before setting up and using speed dial or BLF, take note of these limitations:
- Setting up speed dial or BLF doesn't affect the outbound caller ID of the phone number.
- You can only set up BLF to see the call status of another phone user. You can't set up BLF to see the call status of any other extension; for example, Zoom Rooms or common area phones.
- If you're setting up BLF, the phone user you're adding can't be part of a shared line group. In other words, each phone user can only belong to one of these setups: shared line group or BLF
- If a phone user changes their extension number, it will cause all devices subscribed to that phone user's BLF to reboot.
- For any devices that are in shared status, the lines for speed dial and BLF will not work. These devices will not have their speed dial and BLF settings synced from the web portal.
- The icons and light colors for BLF are defined by the desk phone manufacturer. Different models/manufacturers might have different ways of showing status. Visit the manufacturer's support website to learn more about using speed dial and BLF on your desk phone.
- If you changed speed dial or BLF settings directly on the phone, these changes will not sync to the Zoom web portal. Speed dial and BLF settings only sync from the web portal to desk phones.
- You can add pauses using commas (,) when adding speed dials on supported Yealink phones. This can be used to add a dial string to join a meeting. For example, a typical dial string may look like this: 18001231234,,,1234567908#,,123456#.
How to access line key settings
Admin
If you're an admin, you can access line key settings for any phone user or common are phone in the account.
- Sign in to the Zoom web portal.
- In the navigation menu, click Phone System Management then Users & Rooms.
- Click the Users or Common Area Phones tab.
- Click the name of the phone user or common area phone.
- Click the User Settings tab (for phone users) or Settings tab (for common area phones).
- In the Keys & Positions section, click View or Edit.
- Click Manage Key.
User
If you're a phone user, you can access your own line key settings.
- Sign in to the Zoom web portal.
- Click Phone.
- Click the Settings tab.
- In the Keys & Positions section, click View or Edit.
- Click Manage Key.
How to set up speed dial
- Access line key settings as an admin or user.
- In one of the keys, click Set Key.
- Change the following options in these columns:
- Key Type: Select Speed Dial.
- Line Subscription: Enter a phone number in E.164 format, containing the following.
- Country code
- Area code
- Phone number
- Alias (Optional): Enter an alias that is displayed on the phone. An alias can make it easier to identify lines if you have multiple shared lines or direct phone numbers. The alias is only displayed on the desk phone's screen and doesn't affect the caller ID.
Note: Entering a custom alias will replace the default alias. - (Optional) Key: Adjust the order of the line keys. Drag and drop a row, or use the arrow buttons to move each row up or down in the order.
- Click Save.
Note: Associated phones will automatically reboot to apply the changes. Phones may reboot multiple times.
How to use speed dial
Note: Make sure you set up speed dial and have a desk phone that supports it.
Polycom
- Call a speed dial line:
- VVX series with physical line keys: Tap the line key on the phone's home screen. The line key light turns solid green to indicate you're using it.
- VVX series with a touch screen: Press the physical line key on the phone.
- (Optional) Pick up the phone's headset. Press the speakerphone button (usually located to the right of the physical dial pad) to switch back to speakerphone.
Yealink
- Call a speed dial line:
- T5 and T4 series with a touchscreen: Tap the line key on the phone's home screen.
- T4 series without a touchscreen: Press the physical line key on the phone. The line key light turns solid green to indicate you're using it.
- (Optional) Pick up the phone's headset. Press the speakerphone button (usually located to the right of the physical dial pad) to switch back to speakerphone.
How to set up busy lamp field (BLF)
- Access line key settings as an admin or user.
- In one of the keys, click Set Key.
- Change the following options in these columns:
- Key Type: Select BLF.
- Line Subscription: Enter the phone user's name of extension number. The phone user must be in the same account as the phone user setting up BLF. They can belong to a different site than the phone user setting up BLF.
- Alias (Optional): Enter an alias that is displayed on the phone. An alias can make it easier to identify lines if you have multiple shared lines or direct phone numbers. The alias is only displayed on the desk phone's screen and doesn't affect the caller ID.

- Click Save.

After setting up BLF, you will notice the following indicator lights for your BLF lines:
