Signing in to Zoom Rooms


There are multiple ways to sign in to your Zoom Rooms. If a user on your account will be setting up the Zoom Room, they can sign in with their own credentials, either as the account owner or admin or by creating a role with Role Management. If you do not want to provide the person setting up the Zoom Room login credentials for your account, you can have them setup the Zoom Room with an activation code. For Hardware as a Service (HaaS) devices, you can also provide the installer a deployment code to deploy multiple Zoom Rooms at a time. 

An activation code is generated after setting up the Zoom Room on the web portal and will be emailed to the user who created the room and also be viewable in the web portal. The activation code is active for 10 days, after which a new activation code will need to be generated. Using the activation code is ideal when the person deploying Zoom Rooms is not the administrator.

For Hardware as a Service devices, a deployment code is a 4 digit string of numbers or characters that can be used to sign in to different Zoom Rooms on the same account. This is ideal when an installer is setting up multiple Zoom Rooms. Deployment codes can be randomly generated for the entire account or a location (country, city, campus, building, or floor).

Note: Deployment codes can only be used on Hardware as a Service (HaaS) devices. 

How to sign in as the owner, admin, or user

  1. Open the Zoom Rooms application on the computer.
  2. Open the Zoom Rooms app on the Zoom Rooms Controller.
    The computer will display a pairing code.
  3. Enter this code on the controller.
  4. On the Zoom Rooms Controller, tap Sign In.
  5. Sign in as the account owner, admin, or user with access to Zoom Rooms.
  6. Tap the name of this Zoom Room or add a new room from the controller.
    The computer and controller will now be signed in.

How to use an activation code

  1. Sign in to the Zoom web portal as the account owner, admin, or user with access to Zoom Rooms.
  2. Create the Zoom Room in the web portal.
  3. (Optional) If you want to delegate the room setup to other users, create an activation code role. These users can follow steps 4-11 to complete the process.  
  4. If the Zoom Room has already been created, in the navigation panel, click Room Management, then Zoom Rooms.
  5. (Optional) If you want to delegate the sign in process to other users, create an activation code role. 
  6. Find the Activation Code column for the Zoom Room and take note of the number.
    Note: An email will be sent to the Account Owner, with the Activation Code as well.
  7. Open the Zoom Rooms app on the Zoom Rooms Controller.
    The computer will display a pairing code.
  8. Enter this code on the controller.
  9. On the Zoom Rooms Controller, tap Enter Activation Code.
  10. Enter the Activation Code, found on your web portal or emailed to you.
  11. The computer and controller will now be signed in.

Note: If the Zoom Room devices are disassociated from a specific Zoom Room, you can use the same activation code to link the devices to the room again, provided that the activation code is still displayed on the web.

How to add a new role for Zoom Rooms

  1. Sign in to the Zoom web portal.
  2. In the navigation panel, click User Management, then Role Management.
  3. Click Add Role
  4. Enter a Role Name, such as Zoom Rooms Administrator or Activation Code role. 
  5. Check View for Zoom Rooms
    If you are creating and activation code role, check Edit next to the Activation Code row. 
  6. Click Save Changes at the bottom.
    You now have the new role for Zoom Room access, but you will need to assign it to the appropriate users. 
  7. In the navigation panel, click User Management, then Users.
  8. Locate the user you want to assign the role to, then click Edit to the right of the user listing.
  9. From the User Role dropdown, select the Role Name that you created.
  10. Click Save.
    Users with the new role will now be able to login to Zoom Rooms. 

How to configure and use a deployment code

  1. Sign in to the Zoom web portal as an account owner or admin.
  2. In the navigation panel, click Room Management, then Zoom Rooms.
  3. Choose the location you would like to configure a deployment code for:
    • To configure a deployment code for your entire account, click Account Settings.
    • To configure a deployment code for a location (country, city, campus, building, or floor), click on the corresponding tab, then click Edit next to the applicable location.
  4. Under the Basic heading, scroll to Deployment Code and click the  to enable the feature.
  5. Click Enable, and click the  icon to view your deployment code.
  6. If necessary, click Regenerate to create a different deployment code.
  7. On the Zoom Rooms device, tap Deployment Code at the bottom of the screen.
  8. Enter the 4 digit code. 
  9. Tap the room associated with this device or tap Create a Room.
