Managing a hub's content library


You can upload images or videos in a hub’s content library to share with other hub users and the hub owner.  Hub users can organize and store their assets (images, files, and videos) in the content library so that their assets can be used/shared for their events. Co-editors can also view, manage, upload, and select content library media. The hub’s content library allows event organizers to have quick access to shared media throughout a hub. Additionally, hub owners can add and remove media from their content library. They can also categorize their assets by creating folders.

The content library and image crop tool are available across the entire Zoom Events platform and will appear whenever you upload media to Zoom Events.

The media uploaded to the content library is moderated immediately. There are 3 states of moderation: Passing Moderation, Pending Moderation, or Failed Moderation.

Prerequisites for managing a hub’s content library

Note: For access to the latest Zoom Events and Webinar features, we strongly recommend hosts to update to the latest version of the Zoom desktop client/mobile application.

How to access a hub’s content library

  1. Sign in to Zoom Events.
  2. In the left navigation menu, click the top dropdown arrow  and select the hub you want to manage.
  3. Under the hub you want to manage, click Resources, then click Content Library.
    Your hub's images and/or videos will be displayed in the content library. You can view the media's last modified date, file type, file size, and other information at a glance.

Search the content library

  1. Access the hub’s content library.
  2. In the search box, enter an image’s or video’s name.
    Note: The search is also a fuzzy search, which matches an entered term closely instead of exactly. You can search by a partial name. Additionally, if you enter a few letters of the media’s name, you can view all results that include those letters.

Filter the content library

  1. Access the hub’s content library.

  2. To the right of the search box, click the Sort by dropdown menu to filter your content.
    You can filter by Recently Added, A to Z, or Z to A.

Once you choose your filter, the list of contents will be filtered accordingly.

How to add media to the content library

When users upload a new photo to the content library, the image crop tool will immediately launch to ensure that the photo fits the correct image dimensions; the original image will be saved to the content library, but the cropped image will save only to where it’s being uploaded. Hosts can use the same image from the content library in any of the different upload image options across the Zoom Events platform.

The image crop tool also appears for images that have previously been entered into the content library when selected; this ensures that users can format uploaded images to their preference for each image option (that has different sizes).

Note: Media uploaded to the content library may be accessed by other members of your hub.

When users upload the videos within the hub's content library or event setup, the user can choose to upload from local files, and the uploaded recording from the hub listing can be re-used for event setup. The Content Library’s video formats include .mp4, .mov, .avi, .wmv, and H.264 files. The content library's recordings and videos can be used for the event detail page or video gallery.

Add images or videos to the content library

  1. Access the hub’s content library.

  2. In the top-right corner, click Upload images & videos , then click Files .
  3. Select the media that you want to upload, then click Open.
    The upload progress will appear in a window. 
    • (Optional) In the upload window, click the following actions:
      • Click the down arrow  to minimize the window. Click the up arrow to maximize the window.
        Note: Minimizing the window will not affect the upload.
      • Click the icon to cancel the upload. If a confirmation window appears, click Cancel Upload.
      • Click Add more, then select Images or Videos or Folder to complete more uploads.

When the upload is finished, the media will appear in your content library.

Add folders to the content library

Upload a folder

  1. Access the hub’s content library.
  2. In the top-right corner, click Upload images & videos , then click Folder .
  3. Select the folder that you want to upload. 
    The upload progress will appear in a window.
    • (Optional) In the upload window, click the following actions:
      • Click the down arrow to minimize the window. Click the up arrow to maximize the window.
        Note: Minimizing the window will not affect the upload.
      • Click the icon to cancel the upload. If a confirmation window appears, click Cancel Upload.
      • Click Add more, then select Images or Videos or Folder to complete more uploads.

When the upload is finished, the folder will appear in the content library.

Create a folder

  1. Access the hub’s content library.
  2. In the top-right corner, click New Folder
    A pop-up window will appear.
  3. In the window, enter the folder's Name, then click Create.
    The folder will appear in the content library.

Add hub profile media to the content library

While uploading and changing your hub’s media (profile image, logo, masthead, and video), you can add newly uploaded media to the content library.

Add media during event creation

Notes:

  1. Create an event.
  2. In the event creation flow, add media.
    A Select Image or Select Video pop-up window will appear.
  3. In the window, click + Upload Image.
    If you’re uploading a video, click + Upload Video.
  4. Select the image or video that you want to upload, then click Open.
  5. Crop the image, then click Save
    An uploader window will appear.
  6. In the uploader window, click the Store uploaded files in Content Library toggle to enable or disable it.
    Note: If you enable this toggle, your image or video will automatically be saved to the content library after you upload it. If you disable this toggle, your image or video will not be saved to the content library after you upload it.

Your image and video will be uploaded.

How to manage folders in the content library

Hub users can name, delete, and upload multiple files into a folder. The hub owner and hub hosts can move and organize multiple items into a folder. They can check the folder modification time, the folder creator, and who modified it last.

Upload media to folders

  1. Access the hub’s content library.
  2. Click the folder that you want to manage.
  3. Add media to the folder in the following ways:
    • Upload images or videos to the folder:
      1. In the top-right corner, click Upload images & videos , then click Files .
      2. Select the media that you want to upload, then click Open
    • Drag and drop images or videos from your computer into the folder.

Move media to folders

  1. Access the hub’s content library.
  2. To the right of the media you want to manage, click the Move to folder icon .
  3. Select the folder that the media is moving to, then click Move.
    The media will move into the selected folder.

How to preview media in the content library

Hub users can use a full preview page for images and videos. The preview page includes recommended image dimensions and file types for images and a video player for videos. Hub users can preview all files, except for folders.

  1. Access the hub’s content library.
  2. To the right of the media you want to preview, click Preview
    Your media will appear on the preview page.

How to use additional actions in the content library

Rename media

  1. Access the hub’s content library.
  2. To the right of the folder or media you want to manage, click the ellipsis , then click Rename.
    A pop-up window will appear.
  3. In the window, enter a name for the media, then click Save.

Delete media from the content library

Note: Users can only remove the images and videos that they’ve uploaded. The delete icon only appears by their content.

Delete from the hub's Content Library tab

  1. Access the hub’s content library.

  2. To the right of the folder or media you want to manage, click the ellipsis , then click Delete.
  3. In the verification dialog box, click Delete to confirm.
    Your media will be removed from the content library.

Delete media from the event creation flow

You can also delete uploaded media from the content library in the Select Image or Select Video pop-up window.

  1. Add media during the event creation workflow or the hub profile workflow.
  2. In the Select Image or Select Video pop-up window, find the image or video that you want to delete.
  3. To the right of the media, click the delete icon .
  4. In the verification dialog box, click Delete to confirm.
    Your media will be removed from the content library.
