Managing participants in a meeting As the host of a Zoom meeting, you can manage participants to control how they interact during the session. By default, participants can share their video, screen, and audio, but you can adjust these settings at any time during a meeting. You can mute participants, control screen sharing, assign co-hosts, manage waiting rooms, and more.

Requirements for managing participants in a Zoom meeting
Some options have additional requirements and must be enabled on the web portal or require a specific version of Zoom for full functionality. These features include giving a participant the ability to record locally , assigning a co-host , viewing the invitee status , putting a participant on-hold and using the waiting room .
Features available to hosts and co-hosts for participant management during a meeting
Hosts and co-hosts can manage participants during a meeting with the following features:
Mute participants Request that a participant mutes or unmutes their audio (with pre-approved consent ) Stop a participant's video Request that a participant start their video Prevent participants from screen sharing Rename a participant View a list of invitees' meeting statuses Put a participant on hold (if waiting room is disabled) Choose to play an enter or exit chime Lock the meeting to prevent anyone new from joining Place participants in waiting room or admit/remove participants from the waiting room (waiting room can only be enabled by the host)

Sign in to the Zoom desktop app. Start a meeting as the host, or join a meeting and be assigned the co-host role by the host. In the meeting controls toolbar, do one of the following:
Next to the Participants icon , click the up arrow icon . Then click Host tools for participants . Click the Host tools icon , then click Participants .
(Optional) To quickly stop all participant activities, click Suspend participant activities . This option will turn off all participants' video, audio, Zoom Apps, and ability to share their screen. It also locks the meeting to prevent more participants from joining. This will apply to all participants, including those joined using a Zoom Room. Under Allow all participants to , click the toggles next to the following options to enable or disable them for all meeting participants:

How to manage an individual participant

Sign in to the Zoom desktop app. Start a meeting as the host, or join a meeting and be assigned the co-host role by the host. In the meeting controls toolbar, click the Participants icon . Locate the participant you want to manage. (Optional) To manage a participant’s audio or video:
If the participant's audio is currently muted, click the muted icon to prompt the participant to unmute themselves . If the participant's audio is currently unmuted, click the mute icon to mute their audio . If the participant's video is currently off, click the video off icon to prompt the participant to start their video. If the participant's video is currently on, click the video on icon to stop their video.
Click the ellipsis icon to access the following options:
Chat : Open the chat panel to send messages directly to the participant.Stop video /Ask to start video : Stop the participant's video stream or prompt them to start their video.Pin /Remove pin : Pin this participant's video so that it is always visible on your screen, or remove the pin. When you pin someone's video, it only affects your personal view and won't change what other participants see.Spotlight for everyone : Spotlight up to 9 participants' videos , so that their videos are always visible for all participants in the meeting.Allow to multi-pin /Remove permission to multi-pin : Control the ability for participants to multi-pin up to 9 participants' videos to remain visible on their screen throughout a meeting. By default, participants can only pin 1 participant at a time.Make host (only available to the host): Assign this participant to be the host. There can only be one host.Make co-host /Revoke co-host permission (only available to the host): Assign the participant to be a co-host . You can have an unlimited number of co-hosts.Rename : Change the participant's name that is displayed to other participants. (Optional) If the participant is currently muted, tap Ask to Unmute to prompt the participant to unmute themselves , or if the participant is currently unmuted, tap Mute to mute their audio . Start a meeting on the Zoom Web App. In the meeting controls toolbar, click the Participants icon . Hover over the name of a participant you want to manage. (Optional) If the participant is currently muted, click Ask to Unmute to prompt the participant to unmute themselves , or if the participant is currently unmuted, click Mute to mute their audio . Click More for these options:
Chat : Open the chat window to send messages directly to the panelist.Stop Video : Stop the participant's video stream so they are unable to start their video. If the participant hasn't started their video, you will see the Ask For Start Video option.Spotlight for Everyone : Spotlight up to 9 participants' videos , so that their videos are always visible for all participants in the meeting.Allow to Multi-pin : Allows another participant to use the multi-pin feature. By default, participants can only pin 1 participant at a time.Make Host (only available to the host): Assign the participant to be the host. There can only be one host.Make Co-Host (only available to the host): Assign the participant to be a co-host . How to mute or unmute participants

Mute all participants
To mute all participants in the meeting:

(Optional) To prevent participants from unmuting themselves after you mute them, clear the Allow participants to unmute themselves check box in the confirmation window. Participants will not be able to unmute themselves. When they try to unmute their audio, they will receive a notification that the host is not allowing participants to unmute themselves. Click Mute all .

How to prevent participants from screen sharing
As the host or co-host, you can limit screen sharing to hosts and co-hosts only to prevent meeting participants from sharing their screens .

In the meeting controls toolbar, next to the Share icon , click the up arrow icon . Click Host tools for share . Under How many participants can share at a time , select One participant can share at a time . Under Who can share , select Host only .

Sign in to the Zoom mobile app. Start a meeting as the host. In the meeting controls toolbar, tap the More icon . Tap Host tools . Tap Participants . Tap the Share screen toggle to disable it.
Web app
Start a meeting on the Zoom Web App. In the meeting controls toolbar, next to the Share icon , click the up arrow icon . Click Advanced Sharing Options . Under How many participants can share at a time , select One participant can share at a time . Under Who can share , select Host Only . Click Close .
Order of participants listed in a Zoom meeting
Names in the Participants panel appear in the following order:
You The host (If you’re not the host) Co-hosts, if any Participants with Raised Hands, in order of first raised to last raised Unmuted online participants Unmuted dial-in participants Muted online participants Muted dial-in phones
If there are multiple participants within in a category, the participants will be sorted by their display name as follows:
Special characters (#, $, &, *, ^, ~, etc.) in ASCII order Numbers Alphabetically (regardless of capitalization)
This means that if 3 participants have the display names #Zoom , 1Zoom , and Zoom , they would be listed in that order within a given category. If they are not all in the same category (1 has their hand raised, another is co-host, and the last is just unmuted), their order would be based on the other participants in their same category.
