Cloud Recording in Zoom Rooms

Cloud recording in Zoom Rooms allows you to record meeting video and audio to the Zoom Cloud where the recording file can then be downloaded and/or streamed in your browser. When the recording is started, you will be prompted to claim and save the recording with a QR code, or enter the email address where the cloud recording link will be sent. The recording can also be accessed on the Zoom web portal.

Note: The QR code option is only available on Zoom Rooms version 6.4.5 or greater.

How to enable cloud recordings for scheduled meetings in Zoom Rooms

Scheduled meetings are created from a calendar application. After creation, the meetings are listed on the Zoom Rooms controller or touch display.

Enabling for the entire account

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the top-right corner, click your profile picture or initials, then click Admin Center.
  3. In the side menu, click Settings .
  4. Click Recording & Transcript.
  5. Under General, click the Cloud Recording toggle to enable or disable it.
  6. If a verification dialog appears, click Enable or Disable to verify the change.
  7. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.

Enabling for a specific Zoom Room

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the top-right corner, click your profile picture or initials, then click Admin Center.
  3. In the side menu, click Product configuration .
  4. Click Rooms, then click Zoom Rooms.
  5. Click Edit next to the room you wish to enable the setting for.
  6. Click the Meeting tab.
  7. Under Recording, click the Cloud Recording toggle to enable or disable it.
  8. If a verification dialog appears, click Enable or Disable to verify the change.
    Note: If the option is grayed out, it has been locked at the account level and must be changed at that level.

How to enable cloud recordings for instant meetings in Zoom Rooms

Meetings started by tapping New Meeting on the Zoom Rooms controller or touch display are considered instant meetings.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the top-right corner, click your profile picture or initials, then click Admin Center.
  3. In the side menu, click Product configuration .
  4. Click Rooms, then click Zoom Rooms.
  5. You can use the location hierarchy to enable this setting for individual rooms or for the entire account. To enable the setting for the entire account, click Account Settings.
  6. Click the Meeting tab.
  7. Under Zoom Rooms, click the Cloud recording for instant meetings toggle to enable or disable it.
  8. If a verification dialog appears, click Enable or Disable to verify the change.
  9. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.

How to enable automatic cloud recording for Zoom Rooms

Enabling for the entire account

How to record a Zoom Room meeting to the cloud

  1. Tap Home on your Zoom Room controller, then tap New Meeting to begin an instant meeting, or tap Start to begin a scheduled meeting.
  2. Tap Record  on your controller or touch screen display:
  3. To stop the recording, tap Stop Recording or tap End and then tap End meeting for all.

How to view a cloud recording as the meeting host

Viewing cloud recordings for scheduled meetings

  1. Sign in to the Zoom web portal.
  2. In the top-right corner, click your profile picture or initials, then click My account.
  3. In the side menu, click Recordings and Transcripts .
  4. Click on the topic of the meeting to view the cloud recording files.
    Note: The host receives an email notification when the recording file is ready to view or download.

Viewing cloud recordings for instant meetings

The cloud recording can be claimed and accessed from the Zoom Workplace app if a QR code was used, or sent to the email address that was entered when the recording was started. This email includes a link to view or download the recording file.

Note: The QR code option is only available on Zoom Rooms version 6.4.5 or greater.

How to view a cloud recording as an administrator

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the top-right corner, click your profile picture or initials, then click Admin Center.
  3. In the side menu, click Content management .
  4. Click Recording & Transcript.
  5. Click the Topic of the meeting to view the recording files. You can also perform other recording management actions from this page.

Note: There will be a Processing Recording... message displayed in the list if the recording is still being converted. The recording has to finish processing before being accessed.
