Configuring admin meeting templates

Account owners and admins can create meeting templates to specify settings, such as screen sharing and breakout rooms, for a meeting. When a host schedules a meeting with the template, all the settings are configured and then applied when the meeting starts. Admins can also create webinar templates for users.

Admin templates are managed at the account level, and admins must assign them to groups or users for them to use.

How to enable or disable meeting templates

Account

To enable and create Meeting Templates for all users in the account:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Meeting tab.
  4. Under Schedule Meeting, click the Meeting Templates toggle to enable or disable it.
  5. If a verification dialog appears, click Enable or Disable to verify the change.
  6. Follow the steps to create a template.
    Note: Admin meeting templates can only be created at the account level.
  7. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.

Group

To enable and assign Meeting Templates for a group of users:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit groups.
  2. In the navigation menu, click User Management then Groups.
  3. Click the applicable group name from the list.
  4. Click the Meeting tab.
  5. Under Schedule Meeting, click the Meeting Templates toggle to enable or disable it.
  6. If a verification dialog appears, click Enable or Disable to verify the change.
    Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level.
  7. (Optional) Click View Detail next to a template to view that template’s settings.
    Note: Admin meeting templates can only be created at the account level.
  8. If the setting is not locked at the account level, click Manage Templates to view a full list of meeting templates the group is allowed to use.
  9. Do the following as needed, then click Save:
  10. (Optional) To prevent all users in the group from changing this setting, click the lock icon , and then click Lock to confirm the setting.

User

To enable and manage Meeting Templates for your own use:

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Settings.
  3. Click the Meeting tab.
  4. Under Schedule Meeting, click the Meeting Templates toggle to enable or disable it.
  5. If a verification dialog appears, click Enable or Disable to verify the change.
    Note: If the option is grayed out, it has been locked at either the group or account level. You need to contact your Zoom admin.
  6. (Optional) Click View Detail next to a template to view that template’s settings.
    Note: Admin meeting templates can only be created and modified at the account level.
  7. If the setting is not locked at the account or group level, click Manage Templates to view a full list of meeting templates.
  8. Do the following as needed, then click Save:

How to manage admin meeting templates

With the Meeting Templates feature enabled, account owners and admins have the ability to create, modify, delete, and define the visibility of the meeting templates that are available for all users in the account.

Create an admin meeting template

You can only create admin meeting templates at the account level. Admins can create a meeting template that includes the enablement or disablement of specific settings, such as waiting room, hide participant profile pictures in a meeting, and allow participants to rename themselves. When a host schedules a meeting with the template, all the settings indicated in the template are set up and will apply to the meeting when it’s started.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Meeting tab.
  4. Under Schedule Meeting, locate the Meeting Templates setting.
  5. Do one of the following:
  6. In the Add Template dialog, enter a name for the template.
  7. Adjust meeting settings as needed.
    Notes:
  8. Click Add.

Edit an existing admin meeting template

Admin meeting template settings can only be modified at the account level. Edits that an admin makes to a template do not impact meetings already scheduled using the template before edits were made. The settings are set up when the template is applied, and get used when the meeting starts.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Meeting tab.
  4. Under Schedule Meeting, locate the Meeting Templates setting.
  5. Click View Detail next to the template you want to edit.
  6. Adjust settings as needed, then click Save.

Default meeting templates

Admins can enable default templates that come with a subset of web, scheduler, and client-level settings. Admins can use the default templates as is or customize them based on their needs. To enable the default templates for the account, 

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Meeting tab.
  4. Under Schedule Meeting, locate the Meeting Templates setting.
  5. Click Manage Templates.
  6. In the Enable for Account column, select the check box next to the template to define its visibility for the account. 
  7. Click Done.

Delete admin meeting templates

Admin meeting templates can only be deleted at the account level. If a user schedules a meeting using an admin template, and then the admin deletes the template, the user’s meeting is unaffected. The settings are set up when the template is applied, and get used when the meeting starts.

If a host edits a meeting that was scheduled using a now-deleted template, they have to remove the template, or pick a different template to be able to save the form. The host can’t make any other edits from the scheduling form because you cannot save it if the template is no longer available.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Meeting tab.
  4. Under Schedule Meeting, locate the Meeting Templates setting.
  5. Click Manage Templates.
  6. Do one of the following:
  7. Click Done.
  8. In the verification dialog, click Yes to confirm deletion.

Make a meeting template visible to the account

To define which templates are visible to all account users:

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Meeting tab.
  4. Under Schedule Meeting, locate the Meeting Templates setting.
  5. Click Manage Templates.
  6. In the Enable for Account column, select or clear the check box next to a template to define its visibility for the account.
  7. Click Done.
