Managing personal contacts

You can store personal contacts including their names, email addresses, phone numbers, and more in Zoom by uploading a CSV file or adding them individually in the Zoom web portal. Your personal contacts sync from the Zoom web portal to the Zoom desktop and mobile app, on the Contacts tab > Personal folder. If you have a Zoom Phone license, you can also call your contacts using Zoom Phone.

This feature is useful if your organization doesn’t use Outlook or Google for managing contacts, or your Zoom admin has restricted your ability to use the calendar and contacts integration to sync your contacts with Outlook or Google. If you’re using Zoom Phone on the Zoom mobile app, you can also view your phone’s contacts in the mobile app.

How to import contacts using a CSV file

To begin importing your personal contacts, you can download a CSV sample file from the Zoom web portal, then edit it with your contacts. You can bulk upload up to 1000 contacts through the CSV file.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Personal Contacts.
  3. Click Import from CSV File.
  4. Click Download CSV Sample.
  5. Open the CSV sample using spreadsheet software.
  6. Specify the following information for each contact:
    Note: All phone numbers must be in E.164 format. You can only specify one phone number in each of the 5 relevant fields.
  7. Save the file.
  8. Go back to the Zoom web portal.
  9. In the navigation menu, click Personal Contacts.
  10. Click Import.
  11. Enter a name for this contact group.
    Note: This display name will appear in the app in the Contacts tab > Personal section.
  12. Click Select CSV File and upload the CSV file you want to import.
  13. Click Upload.
    If the CSV imports successfully, you will see a list of your personal contacts.

All phone numbers in the CSV must contain the following (known as E.164 format):

How to add individual contacts

When you are done importing your personal contacts via CSV and wish to add individual contacts, you can do so by following these steps:

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Personal Contacts.
  3. Click Add Contact.
  4. Enter the contact’s name and contact details.
    Note: The phone number must be in E.164 format.
  5. Click Save.

How to replace current personal contacts

After importing your personal contacts, you can upload a new CSV file to replace existing personal contacts.

Note: Following these steps will replace all existing personal contacts. If you only need to update a contact detail, you can edit the contact.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Personal Contacts.
  3. At the top of the page, click Replace with New CSV File.
  4. Enter a name for this contact group.
  5. Click Select CSV File and upload the CSV file you want to import.
  6. Click Upload.
    If the CSV imports successfully, you will see a list of phone contacts. The previous personal contacts will be overwritten.

How to delete current personal contacts

Delete a single contact

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Personal Contacts.
  3. To the right of the contact you want to remove, click Delete.
    A confirmation window will appear.
  4. In the window, click Delete.
    The selected contact will be permanently deleted.
    Note: This action cannot be undone.

Delete multiple contacts

If you no longer want to use personal contacts, you can delete all personal contacts at once.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Personal Contacts.
  3. At the top of the page, click Delete
    All existing personal contacts will be removed.

How to edit a personal contact

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Personal Contacts.
  3. To the right of the contact you want to update, click Edit, and then make the necessary changes.
  4. Click Save.
