Creating templates for phone settings


You can create a template to create a standard set of settings for phone users, common areas, auto receptionists, or call queues. You can then apply the template to apply these settings to several phone users, auto receptionists, or call queues at the same time. You can also apply a template when you create one of these extensions.

For example, if you want to change the business hours of a large group of call center agents, you can create a template with the new business hours, then apply the template the group of agents. This avoids the need to edit each phone user individually.

Note: You can apply modular configuration to your auto receptionist and call queue template, which means you can selectively apply any parts of the template to your target without impacting other settings.

How to create a template

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone System Management, then Company Info.
  3. Follow one of these options depending on if you have multiple sites:
    • If you enabled multiple sites: Click the name of the site you want to edit, then click the Settings tab.
    • If you disabled multiple sites: Click Account Settings.
  4. In the Template section, click Manage.
  5. Click Add.
  6. Specify the following information:
    • Template Name: Enter a display name for the template.
    • Template Type: Select the extension type for the template.
  7. Click Confirm.
  8. Click the display name of the template you created.
  9. Specify the settings for the template.

How to create a template from an existing extension

You can also create a new template by copying settings from an existing phone user, auto receptionist, or call queue.

Note: If you have multiple sites, the template will belong to the same site as the extension.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone System Management then click Users & Rooms, Auto Receptionists, or Call Queues.
  3. Locate the extension you want to create a template from.
    • If you clicked on Users & Rooms, click the Users or Common Areas tab to locate your extension.
  4. In the last table column, click the ellipses button ..., then click Save to Template.
  5. (Optional) Edit the display name for the template, then click Confirm.
  6. In the navigation menu, click Phone System Management, then Company Info.
  7. Follow one of these options depending on if you have multiple sites:
    • If you enabled multiple sites: Click the name of the site you created the template for, then click the Settings tab.
    • If you disabled multiple sites: Click Account Settings.
  8. In the Template section, click Manage.
  9. Click the template you created.
  10. Specify the settings for the template.

Phone user template settings

The following settings can only be changed in phone user templates. These can't be change in any other settings level.

How to apply a template to existing extensions

You can apply a template to existing extensions. All the settings specified in the template will be applied. You can't select which settings are applied.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone System Management then click Users & Rooms, Auto Receptionists, or Call Queues.
  3. In the first column of the table, click the check boxes to select extensions you want to apply a template to.
    • If you clicked on Users & Rooms, click the Users or Common Areas tab to select your extensions.
  4. Click Apply Template above the table.
  5. Enter the display name of the template you want to apply, then select the template in the drop-down search results.
  6. (Optional) Click View Template to confirm the settings you will be apply to the select extensions.
  7. Click Confirm.

How to apply a template when creating a new extension

You can apply a template when creating phone user, auto receptionist, or call queue. All the settings specified in the template will be applied. You can't select which settings are applied.

  1. Follow the instructions to create a phone user, common area, auto receptionist, or call queue
  2. Click the check box to apply a template. The check box will depend on the extension you are creating:
    • Specify a template to be assigned to users
    • Specify a template to be assigned to the Common Area
    • Specify a template to be assigned to Auto Receptionists
    • Specify a template to be assigned to Call Queues
  3. Enter the display name of the template you want to apply, then select the template in the drop-down search results.
  4. Click Save.

How to automatically apply a template to new SSO users

If you created a template for phone users, you can automatically apply the template to new SSO users.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone System Management then Company Info.
  3. Follow one of these options depending on if you have multiple sites:
    • If you enabled multiple sites: Click the name of the site you want to edit, then click the Settings tab.
    • If you disabled multiple sites: Click Account Settings.
  4. In the Template section, make sure to select the check box, Specify a user template to be assigned to SSO users.
  5. Enter the display name of the template to search through your existing template.
  6. Click the template you want to apply in the drop-down search results.
  7. Click Save.

How to delete a template

You can delete a template if you no longer need it. Deleted templates have no effect on the extensions you've applied the template to.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone System Management then Company Info.
  3. Follow one of these options depending on if you have multiple sites:
    • If you enabled multiple sites: Click the name of the site you want to edit, then click the Settings tab.
    • If you disabled multiple sites: Click Account Settings.
  4. In the Template section, click Manage.
  5. In the first column of the table, click the check boxes to select templates you want to delete.
  6. At the top of table, click Delete.
