Modifying recording notification prompts
Zoom will always notify meeting participants that a meeting is being recorded. For participants joining by desktop app or mobile app, the screen will display a recording consent disclaimer. For participants that join audio by phone, they will hear an audio prompt when they first join the meeting if it is already being recorded or at the time the recording is started.
Based on the type of account you have, you can modify some recording notification settings.
- For Basic, Pro, Business, and Free Trial accounts with less than 100 licenses, the recording consent disclaimer is enabled for all users on a Zoom client by default and can't be disabled or customized, but voice prompts (audio notifications) can be disabled. For participants that join by phone, you have the option to require participants to press 1 to consent to being recorded and enable multiple audio notifications in which users will hear a notification each time the recording is started, paused, resumed from being paused, or stopped.
- For Enterprise, API, Education, or Business accounts with 100+ licenses, account owners and admins can disable the disclaimer for internal participants and customize the recording consent disclaimer. The recording consent disclaimer is required for all guest participants.
Notes:
- All account types can disable the voice prompts (audio notifications) for participants who join on a Zoom client. Participants who join audio by phone will always hear a voice prompt when a meeting is being recorded.
- If enabled by Zoom, you can automatically have participants' microphones muted and video off when they join a meeting with recording or live streaming in progress. Once the participant consents to being recorded, their settings will revert back to the default for that meeting or specific user. This does not apply to participants who are already in the meeting when the recording starts.

Prerequisites for modifying recording notifications
- Account owner or admin privileges to enable and/or lock for a group or your account
- Pro, Enterprise, API, Education, or Business accounts with 100+ licenses plan to disable the recording consent dialog for internal users

How to modify recording notifications for your entire account
Recording notifications - Zoom clients
Account owners and admins can modify the Recording notifications - Zoom clients setting for all users in the account who have meeting participants joining on Zoom clients. Zoom clients include the Zoom desktop app, Zoom mobile app, web client, Zoom Rooms, and VDI.
- Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
- In the navigation menu, click Account Management then Account Settings.
- Click the Recording & Transcript tab.
- Scroll down to Recording notifications - Zoom clients.
- Under Show a disclaimer to participants when a recording starts, choose either All participants or Guest only.
- (Optional) Click Customize Disclaimer if you want to edit the recording consent disclaimer text.
Note: Basic, Pro, Business and Free Trial accounts with less than 100 licenses cannot customize the recording consent disclaimer text. - Under Play voice prompt for, choose if you want All participants, Guest only, or No One to hear the audio recording notification.
- (Optional) Select the check box next to Ask host to confirm before starting a recording to enable and customize a disclaimer for the host when starting a recording.
- (Optional) Select the check box next to Allow users to suppress disclaimer notification to allow users to choose not to show the notification that appears when recording is turned on in meetings hosted by other users.
Note: This feature will not appear for disclaimers that have been set up with a custom disclaimer. - Click Save.
- (Optional) If you want to prevent all users in your account from changing this setting, click the lock icon, and then click Lock to confirm the setting.
Recording notifications - Phone users
Account owners and admins can modify the Recording notifications - Phone users setting for all users in the account who have meeting participants that join by phone. By default, participants who join by phone will hear one audio notification indicating that a recording has started, but you can also enable multiple notifications for participants that join by phone.
- Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
- In the navigation menu, click Account Management then Account Settings.
- Click the Recording & Transcript tab.
- Scroll down to Recording notifications - Phone users.
- (Optional) Update the following settings as needed:
- Require phone-only users to press 1 to consent to being recorded. If you select this check box, phone-only users will be asked to press 1 to provide consent. If users do not press 1, another voice prompt is provided. Even if users do not press 1 after the second voice prompt has been provided, the meeting will still be recorded.
- Multiple notifications for phone users. If you select this check box, phone users will hear audio notifications play each time the recording starts or restarts, informing participants that the meeting is being recorded.
- Click Save.
- (Optional) If you want to prevent all users in your account from changing this setting, click the lock icon, and then click Lock to confirm the setting.
How to modify recording notifications for a specific group
Recording notifications - Zoom clients
Account owners and admins can modify the Recording notifications - Zoom clients setting for a group of users in the account who have meeting participants joining on Zoom clients. Zoom clients include the Zoom desktop app, Zoom mobile app, web client, Zoom Rooms, and VDI.
- Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
- In the navigation menu, click User Management then Groups.
- Click the applicable group name from the list, then click the Recording & Transcript tab.
- Scroll down to Recording notifications - Zoom clients.
Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level. - Under Show a disclaimer to participants when a recording starts, choose either All participants or Guest only.
- (Optional) Click Customize Disclaimer if you want to edit the recording consent disclaimer text.

How to change recording notifications for your own use
Recording notifications - Zoom clients
You can modify the Recording notifications - Zoom clients setting for your meeting participants joining on Zoom clients. Zoom clients include the Zoom desktop app, mobile app, web client, Zoom Rooms, and VDI.
- Sign in to the Zoom web portal.
- In the navigation panel, click Settings.
- Click the Recording tab.
- Scroll down to Recording notifications - Zoom clients.
Note: If the option says Locked by admin, it has been locked at either the account or group level. You need to contact your Zoom admin. - Under Show a disclaimer to participants when a recording starts, choose either All participants or Guest only.
- Under Play voice prompt for, choose if you want All participants, Guest only, or No One to hear the audio recording notification.
- (Optional) Select the check box next to Ask host to confirm before starting a recording to enable and customize a disclaimer for the host when starting a recording.
- (Optional) Click the Suppress recording notifications in meetings hosted by other users toggle to disable the disclaimer recording notifications.
- Click Save.
