Changing phone settings in the Zoom Workplace app or Zoom Web App

This article lists the Zoom Phone settings available in the Zoom Workplace app (desktop and mobile) and Zoom Web App (ZWA). For example, you can change the ringtone for inbound calls and view essential information about your Zoom Phone account, like your direct and extension numbers.

How to change phone settings from the Zoom app

Windows | macOS | Linux
  1. Sign in to the Zoom desktop app.
  2. Click your profile picture then click Settings.
  3. Click the Phone tab.
    You will see the following information and options:
    • Direct Number: Displays any direct numbers assigned to you. Hover your cursor over the number, then click the copy button to copy it to your system's clipboard.
    • Company Number: Displays the main company number and your extension number. Hover your cursor over the number, then click the copy button to copy it to your system's clipboard.

      Note: To copy your direct or company number, highlight it, then right-click and select Copy.
    • Local Dialing: Displays the country code used for local calling. You can change this in your Zoom Phone settings in the web portal.
    • Area Code: Displays the area code used for local calling. If you dial a number without an area code, Zoom Phone will automatically add this area code. You can change this in your Zoom Phone settings in the web portal.
    • Emergency Address: Displays your current emergency address. Click Add or update personal location or address to manage your address if you see No Emergency Address detected, or need to update your address.
    • Shared Line Group (only visible if you're a member of a shared line group): Enable or disable call notifications for inbound calls routed from your shared line group. This setting applies to the Zoom desktop app, mobile app, and desk phones. This setting also syncs across all platforms, including the identical web portal setting.
      Note: This setting is not in the Linux client, but you can change this setting in the Zoom web portal.
    • Location Permission: Allow Zoom to access your location for emergency calling.
    • Hide incoming calls while in a meeting: Turn off notifications for incoming Zoom Phone calls while you are in a Zoom meeting.
      Note: If you are in a Zoom meeting using the desktop app, your provisioned desk phones will still ring. If you are in a Zoom meeting using the mobile app and the setting is turned off, you will still get notifications for incoming Zoom Phone calls.
    • Business hours: Click Manage to manage your business hours.
    • Ringtones: Set up ringtones in the Notifications and sounds setting.
    • Default app for click-to-dial: The default application will be used for click-to-dial and highlight-to-call. Numbers will be dialed automatically by clicking or highlighting a number in applications that support hyperlinks.
    • Default language: Select the default language for Zoom app features.
    • Call control actions: Configure your desk phone to perform call control actions from the Zoom Workplace app.
    • Launch an external app or a URL for incoming calls: Click the toggle to enable or disable it.
    • Call me on: The Zoom app will call this device first before ringing the called number. Recipients of your call will see your Zoom caller ID. Call controls will be managed by your personal device.
      Note: The Call Me On feature must be enabled for the account.
    • Automatically start live transcription in a call
    • Videomail greeting: Play a video greeting for internal callers.
      Note: Only internal callers will see this video greeting. External callers will hear your voicemail greeting.
    • Voicemail prioritization with AI Companion: Highlight important voicemails by topic.
    • Autodial Preference: If you previously allowed a third-party app to automatically make calls, click Manage to view apps that have this permission and change the duration that the permission is in effect.
      Note: This feature needs to be enabled by your admin.
    • Report problem: If requested by Zoom support, click Report problem to send diagnostic information to Zoom. You can also send diagnostic information by dialing and calling *#ZOOM# (*#9666#).
Android | iOS

View your Zoom Phone extension and direct number

  1. Sign in to the Zoom mobile app.
  2. Tap My profile.
  3. Under Contact info, view your Zoom Phone extension and direct number. Tap a number to copy it to your system's clipboard.
    • Direct number: Displays any direct numbers assigned to you.
    • Extension: Displays your extension number.

Access Zoom Phone settings

  1. Sign in to the Zoom mobile app.
  2. Tap your profile picture, then tap Settings.
  3. Tap Phone.
    You will see the following information and options:
    • Local calling: Displays the country code used for local calling.
    • Area code: Displays the area code used for local calling. If you dial a number without an area code, Zoom Phone will automatically add this area code. You can change this in your Zoom Phone settings in the web portal.
    • Forward calls: Forward your call to a name, extension, external number, or voicemail/videomail, as well as the forwarding duration.
    • Use CallKit always: When this feature is enabled for a user or common area, their iOS/iPadOS device will always use CallKit for incoming call notifications, preventing interruptions when receiving inbound calls on the device.
    • Hide Zoom Phone calls in iOS/iPadOS device call history: Once enabled, Zoom Phone calls will stop being added to this device's Recents list.
      Note: You may not be able to change this setting if your admin locked it from the Zoom web portal.
    • Ringtones: Set up ringtones in the Notifications and sounds setting.
    • Voicemail prioritization: Voicemail prioritization with AI Companion will match and label new voicemails to the predefined topics you set.
    • Location permission: Allow Zoom to have enhanced access to your location for emergency calls and for enabling advanced features such as location-based access and call routing.
    • Emergency Calling: Add your emergency calling location.
      Emergency calls from Zoom will be redirected to your native phone application.
    • Default transcription language: Select the default transcription language.
    • Receive Queue Calls (only visible if you're a member of a call queue): Call queues (CQ) are set up by your Zoom Phone admin to route calls to a group of users. If you're a member of one or more call queues, you can enable or disable call notifications for inbound calls routed from call queues. Follow one of these options:
      • To enable/disable all calls from call queues: Click the Receive Queue Calls toggle.
        Note: If switching this toggle to on, and you previously set toggles to off for specific call queues, your previous configuration will take effect.
      • To enable/disable calls from specific call queues: Click the toggles beside each call queue name to enable or disable call notifications from specific call queues.
      • If enabled by your admin, you will have to select a reason for opting out of the call queue.
    • Receive Shared Line Group calls (only visible if you're a member of a shared line group): Enable or disable call notifications for inbound calls routed from your shared line group. This setting applies to the desktop app, mobile app, and desk phones. This setting also syncs across all platforms including the identical web portal setting.
    • Video Greeting
    • Report Problem: If you are having issues with Zoom Phone and you contacted Zoom support, click Report Problem when requested by support. You can also send diagnostic information by dialing and calling *#ZOOM# (*#9666#).
Zoom Web App
  1. Sign in to the Zoom Web App.
  2. Click your profile picture, then click Settings.
  3. Click the Phone tab.
    You will see the following information and options:
    • Direct Number: Displays any direct numbers assigned to you. Hover your cursor over the number, then click the copy button to copy it to your system's clipboard.
    • Company Number: Displays the main company number and your extension number. Hover your cursor over the number, then click the copy button to copy it to your system's clipboard.
      Note: To copy your direct or company number, highlight it, then right-click and select Copy.
    • Local Dialing: Displays the country code used for local calling. You can change this in your Zoom Phone settings in the web portal.
    • Shared Line Group (only visible if you're a member of a shared line group): Enable or disable call notifications for inbound calls routed from your shared line group. This setting applies to the desktop app, mobile app, Zoom Web App, and desk phones. This setting also syncs across all platforms including the identical web portal setting.

    • Enable click-to-dial and click-to-text: The default application will be used for click-to-dial and highlight-to-call. Numbers will be dialed automatically by clicking or highlighting a number in applications that support hyperlinks.
    • Hide incoming calls while in a meeting: When selected, you will not receive incoming call notifications while in a meeting.
  4. Location Permission: Allow Zoom to access your location for emergency calling.
  5. Emergency Address: Displays your current emergency address. Click Manage to manage your address if you see No Emergency Address detected or need to update your address.

How to enable or disable calls from call queues

Windows | macOS | Linux

Call queues are set up by your Zoom Phone admin to route calls to a group of users. If you're a member of one or more call queues, you can enable or disable call notifications for inbound calls routed from call queues. Additionally, users can enable or disable calls from call queues by manually dialing via an IP phone.

Notes:

  1. Sign in to the Zoom desktop app.
  2. In the top-right corner, click your profile picture.
  3. Click Receive Shared Calls.
  4. Follow one of these options:
    • To enable or disable all calls from call queues, click the Call Queues toggle.
      Note: If switching this toggle to on, and you previously set toggles to off for specific call queues, your previous configuration will take effect.
    • To enable or disable calls from specific call queues, click the toggles beside each call queue name to enable or disable call notifications from specific call queues.
    • If enabled by your admin, select a reason for opting out of call queues from the following:
      • Break
      • Meal
      • Training
      • End Shift

How to enable or disable calls from shared line groups

Notes:

  1. Sign in to the Zoom desktop app.
  2. Click your profile picture, then click Settings.
  3. Click Receive Shared Calls.
    A pop-up window will appear.
  4. In the window, follow one of these options:
    • To enable or disable all calls from shared line groups, click the Shared Line Groups toggle.
      Note: If switching this toggle to on, and you previously set toggles to off for specific shared line groups, your previous configuration will take effect.
    • To enable or disable calls from specific shared line groups, click the toggles beside each shared line group name to enable or disable call notifications from specific groups.

How to change the ringtone

Zoom uses the same ringtone for incoming meeting invites and phone calls. Additionally, users can set distinctive ringtones for their call queue, shared line group, and shared line appearance (assistant) numbers through their audio settings. When calls are received through these channels, the configured ringtone plays consistently regardless of the call's routing path, including direct calls, transfers, forwards, or overflow scenarios. The feature works whether calls are directly dialed, internally forwarded, transferred, or overflowed to these numbers. Access your audio settings to change your ringtone.

  1. Sign in to the Zoom desktop app.
  2. Click your profile picture, then click Settings.
  3. Click the Notification & sounds tab.
  4. In the Volume section, complete the following actions:
    • Click the Ringtone Volume control bar to adjust the volume as desired.
    • Click the Call Waiting Volume control bar to adjust the volume as desired.
  5. In the Ringtones section, click the dropdown menu, click the play button to preview a ringtone, and then select a ringtone for the following:
    Note: If the Silent ringtone is selected, the incoming call will be silent.
    • Default ringtone: The selected ringtone applies to all incoming calls except those with specific ringtones you assigned.
    • Extension: The selected ringtone applies to calls to your extension number.
    • Direct Number: The selected ringtone applies to calls to your direct number.
    • Shared line groups: The selected ringtone applies to all incoming SLG calls except those with specific ringtones you assigned.
    • Call queues: The selected ringtone applies to all incoming CQ calls except those with specific ringtones you assigned.
    • Shared line appearances: The selected ringtone applies to all incoming SLA calls except those with specific ringtones you assigned.
    • Custom contact ringtones: The selected ringtone applies to all incoming contact calls except those with specific ringtones you assigned.
  6. In the Notification sounds section, click the Play new chat message sound toggle to enable or disable it.
Android | iOS
  1. Sign in to the Zoom mobile app.
  2. Tap your profile picture, then tap Settings.
  3. Tap Notifications & sounds.
  4. In the Calls section, complete the following actions:
    • Tap Ringtones to select the ringtone for meetings and phone calls.
      1. Under Ringtone Volume, use the control bar to adjust the volume as desired.
      2. Under Call Waiting Volume, use the control bar to adjust the volume as desired.
      3. Select a ringtone for the following:
        • Meetings: Tap Meetings, then select a ringtone.
        • Phone: Tap Phone, then select a ringtone for the following:
          • Extension: Tap Extension, then select a ringtone.
          • Direct number: Tap Direct number, then select a ringtone.
          • Shared line groups: Tap Shared line groups, then select a ringtone for the shared line group.
          • Call queues: Tap Call queues, then select a ringtone for the call queue, the CQ direct numbers, and/or the CQ extension.
          • Shared line appearances: Tap Shared line appearances, then select a ringtone for the shared line appearance.
        • Contacts: Tap Contacts, then select a ringtone for the contact.
          • Tap Add contact to select and add a contact.
    • Tap the Hide incoming calls while in a meeting toggle to enable or disable it. When enabled, notifications are turned off for incoming Zoom Phone calls while you are in a Zoom meeting.
      Note: If you are in a Zoom meeting using the mobile app, your provisioned desk phones will still ring. If you are in a Zoom meeting using the desktop app and the setting is turned off, you will still get notifications for incoming Zoom Phone calls.
    • Tap the Use callkit to receive calls when not on Zoom Workplace toggle to enable or disable it.
      When enabled, meeting and phone calls are answered through callkit when you are not on Zoom Workplace. These calls will be included in your device's call history. You cannot use other recording apps when a call is in progress.
