Using the audio library to customize audio greetings


Zoom Phone users can use the audio asset library to select, record, or upload custom audio. You can also convert text to speech if you want a quick and easy method to generate audio.

Follow these instructions if you are admin and need to manage the asset library for your account.

Limitations of the audio library

Before using the audio library, take note of these limitations:

How to add an audio file from the audio asset library

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone.
  3. Click the Settings tab.
  4. In the Call Handing section, select your call handling type. If Choose from Asset Library selected,
  5. Select the desired audio file, then click Save.

How to add your audio asset manually

You can add or text audio by entering text to be converted to audio.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone.
  3. Click the Settings tab.
  4. In the Call Handing section, select your call handling type. If Add Audio selected follow the instructions below.

Add a text to speech audio asset

  1. Click the Text to speech tab.
  2. Specify the following:
    • Asset Name: Enter an internal display name for the audio asset.
    • Category: Click the drop-down arrow to select the desired category(ies).
    • Language: Click the drop-down arrow to select the desired language.
    • Voice: Select a voice for the text-to-speech engine.
    • Message to Play: Enter text to convert to speech.
      • Click Play to play the audio.
  3. Click Add.
    If you're updating an asset that's already in use, you will see a pop-up notification that the asset is in use. Click Save to confirm the update.

Upload an audio file

You can upload an existing audio file from your computer. The audio file type must be MP3 or WAV and must be less than 10MB.

  1. Click the Upload tab.
  2. Specify the following:
    • Asset Name: Enter an internal display name for the audio asset.
    • Category: Click the drop-down arrow to select the desired category(ies).
    • Language: Click the drop-down arrow to select the desired language.
  3. Under Audio upload, click Upload.
  4. Click Add.

Add an audio file recorded from your computer

You can use your computer’s microphone to record audio and then add it to the asset library.

  1. Click the Record by Computer tab.
    Note: You will be prompted by your browser to allow Zoom to use your microphone, click accept/allow to continue.
  2. Specify the following:
    • Asset Name: Enter an internal display name for the audio asset.
    • Category: Click the drop-down arrow to select the desired category(ies).
    • Language: Click the drop-down arrow to select the desired language.
  3. Under Record Audio, use these options to control the recording:
    • Click the red record icon  to start recording.
    • Click the pause icon  to pause the recording.
    • Click the stop icon to stop and save recording.
  4. (Optional) Click one of these options after recording:
    • Play icon  to play the audio you recorded.
    • Record Again to re-record if you are not happy with the result.
  5. Click Add.
    If you're updating an asset that's already in use, you will see a pop-up notification that lists where the asset is used. Click Save to confirm the update.

How to add an audio file to your hold music

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone, then Settings.
  3. Scroll down to the Others section, then to the right of Hold Music, click Edit.
  4. Select one of the following:
    • Choose from Asset Library: Select the desired audio file, then click Save.
    • Add Audio: Add manually your audio file as mentioned in section How to add an audio manually for call handling.
    • Disable: Disable this functionality.

How to edit an audio asset file

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Phone, then Settings.
  3. In the Call Handling or Others section, under your greeting or Hold Music, click Edit.
  4. Select Choose from Asset Library.
  5. To the right of the name of the asset, click the ellipse icon () , then click Edit.
  6. Make your necessary changes, then click Save.
    If you're updating an asset that's already in use, you will see a pop-up notification that lists where the asset is used. Click Continue to confirm the update.
  7. (Optional) After clicking the ellipse icon (), you can download or delete the file if necessary.
