Setting your availability in Zoom Scheduler

Hosts can set their available hours in the Zoom Scheduler Availability tab on the Zoom web portal. They can select, edit, or create a new schedule that they can apply to any event type.

Additionally, each host can have their own schedule within a group booking. For individual events, organizers can select either a created schedule or create a new one that only applies to that specific booking schedule. For team events, organizers can choose to allow each host to use their own created schedule or set the same schedule of availability for all hosts within the booking creation screen.

How to access the Zoom Scheduler Availability tab

  1. Sign in to the Zoom web portal.
  2. In the top-right corner, click the Zoom Products icon .
  3. In the Zoom Products menu, click Scheduler.
    Scheduler will open in a new browser tab.
  4. In the side menu, click the Availability tab.

How to create a schedule of availability

  1. Access the Zoom Scheduler Availability tab.
  2. Click + Create availability.
    A pop-up window will appear.
  3. In the window, enter the schedule name, then click Next.
    The schedule name will appear on the Availability dropdown.
  4. Click the Active on dropdown and select the booking schedules that you want to apply to your custom availability schedule.
  5. Under Available Hours, choose which days of the week to make available for the bookings (day, start time, end time), as well as the time frame on each day.
    By default, Saturday and Sunday are disabled, while Monday through Friday are enabled and set to 9:00 AM to 5:00 PM.
    Note: Multiple time ranges for each day can be created, which allows you to create a break for lunch or other existing meetings.
  6. Under Timezone, choose which timezone this bookable time schedule will use.
    Your profile’s timezone is chosen by default.
    Note: When booking, users, who are in a different time zone from the organizer, can select the time zone that matches their current geographic locations.
  7. (Optional) Under Add date specific hours, you can customize availability for specific dates, including setting different hours or marking a date as completely unavailable. Multiple dates can be selected, and existing overrides can be edited or deleted.
    1. Click + Add.
    2. Select the date(s) you want from the calendar.
    3. Under What hours are you available?, set the hours of your availability.
    4. (Optional) To the right of a time slot you want to remove, click the trash button .
    5. (Optional) Click the + icon to add another time slot.
    6. Click Add.
      Your date and times will appear under Add date specific hours.
    7. (Optional) To the right of a date you want to remove, click the trash button .

How to apply your schedules to other booking schedules

  1. Access the Zoom Scheduler Availability tab.
  2. Under Availability, click the dropdown and select the schedule of availability you want to manage.
  3. Click the Active on dropdown and select the booking schedules that you want to apply your custom availability schedule.
  4. Under Available Hours, select the schedules' checkboxes.
    Your custom availability schedule will be automatically applied to the selected booking schedules.

How to edit a schedule name

  1. Access the Zoom Scheduler Availability tab.
  2. Under Availability, click the dropdown and select the schedule of availability you want to manage.
  3. At the bottom of the page, click Edit Name .
    A pop-up window will appear.
  4. In the window, edit the schedule name.
  5. Click Next to save the new name.

How to duplicate a schedule

  1. Access the Zoom Scheduler Availability tab.
  2. Under Availability, click the dropdown and select the schedule of availability you want to manage.
  3. At the bottom of the page, click Duplicate .
    The duplicated schedule will appear with "Duplicate" included in its schedule name.
  4. Click Next to save the duplicate schedule.

How set a default schedule

  1. Access the Zoom Scheduler Availability tab.
  2. Under Availability, click the dropdown and select the schedule of availability you want to manage.
  3. At the bottom of the page, click Set as Default .
    A Default label will appear next to your schedule name, and your schedule will appear as the default schedule on the Availability dropdown menu.

How to delete a schedule

  1. Access the Zoom Scheduler Availability tab.
  2. Under Availability, click the dropdown and select the schedule of availability you want to manage.
  3. At the bottom of the page, click Delete .
    A confirmation window will appear.
  4. In the window, click Delete.
