Managing auto-deletion for Zoom Notes

Users and administrators can set an auto-deletion period for Zoom Notes. Once the note has been deleted based on the auto-deletion policy, the note will be permanently deleted from the trash 30 days late.

How to enable auto-deletion of Zoom Notes

User

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Settings
  3. Click the Notes tab.
  4. Under Notes Retention, enable Auto-delete specified Notes.
  5. If a verification dialog displays, click Enable or Disable to verify the change.
    Note: If the option is grayed out, it has been locked at either the group or account level. You need to contact your Zoom admin.
  6. Set how long before Notes are automatically either based on the Last modified date or the Created date.
  7. (Optional) Enable Save starred notes, to exempt starred notes from the retention policy.
  8. Under Set the reminder before, select whether a reminder will be displayed to users 5, 15, or 30 days before the note will be auto-deleted. 

Account

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Account Management, then Account Settings.
  3. Click the Notes tab.
  4. Under Notes Retention, enable Auto-delete specified Notes.
  5. Set how long before Notes are automatically either based on the Last modified date or the Created date.
  6. (Optional) Enable Save starred notes, to exempt starred notes from the retention policy.
  7. Under Set the reminder before, select whether a reminder will be displayed to users 5, 15, or 30 days before the note will be auto-deleted. 
  8. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.

Group

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click User Management then Groups.
  3. Click the applicable group name from the list.
  4. Click the Notes tab.
  5. Under Notes Retention, enable Auto-delete specified Notes.
  6. Set how long before Notes are automatically either based on the Last modified date or the Created date.
  7. (Optional) Enable Save starred notes, to exempt starred notes from the retention policy.
  8. Under Set the reminder before, select whether a reminder will be displayed to users 5, 15, or 30 days before the note will be auto-deleted.
  9. (Optional) To prevent all users in the group from changing this setting, click the lock icon , and then click Lock to confirm the setting.
