Using the Advanced Management add-on

The Advanced Management add-on provides enterprise customers the ability to manage Basic (unlicensed) users on paid Zoom accounts with a set of security, compliance, and analytics features. While advanced management features are already included in Business and Enterprise plans to manage users on those accounts assigned a paid Zoom Workplace license, this add-on provides unlicensed users on your account the benefit of these security, compliance, and analytics features without the need to upgrade them to a paid license.

Frequently asked questions about the Advanced Management add-on

What is changing with the introduction of the Advanced Management add-on?

Specific security, compliance, and analytics features will no longer be available by default or by contacting Zoom Support to manage unlicensed Basic users on paid accounts. Customers can purchase the Advanced Management add-on if they want to apply features such as archiving, data loss prevention, information barriers, and chat etiquette policies to unlicensed users on their account.

If your account is in scope for this add-on but you do not purchase it, you will not be able to manage unlicensed users on your account with advanced management features, including specific reporting and dashboard data. The data will be blurred out on the report or dashboard.

Why is Zoom making this change?

The Advanced Management add-on allows Zoom customers to benefit from security, compliance, and analytics features without a requirement to upgrade their unlicensed users to a paid Zoom Workplace license, providing more flexibility, choice, and added value.

How do I know if my account is impacted by this change?

New customers

Starting May 24, 2024, the Advanced Management add-on is available to new customers purchasing a Zoom Workplace Business or Enterprise plan through a direct quote with Sales. By default, unlicensed users on your account cannot be managed with advanced management features unless you purchase the Advanced Management add-on.

Existing customers

Existing customers are not automatically impacted and will retain their advanced management features for unlicensed users on their account. Existing customers who have purchased one of the following plans through a direct quote with Sales and change or modify the quantity or type of services at renewal after May 24, 2024, may require the Advanced Management add-on to access the advanced management features.

What if I still need unlicensed users to be covered by these features?

Contact your dedicated Account Executive to discuss your options with the Advanced Management add-on, which allows unlicensed users on your account to be covered by these features.

How are the advanced management features applied?

Advanced management features are included at no additional cost for customers with the paid services assigned to their Zoom users. For example, advanced management features for Meetings are available to manage users provisioned with paid Meetings services. However, for a customer with paid users only provisioned with Zoom Phone services, such as paid users without paid Zoom Meetings services, advanced management features will only apply for Zoom Phone, but not for Meetings and features that don’t apply to specific products, such as certain reports. If you have users with a paid Zoom Workplace license, you get advanced management capabilities for all services included in your Zoom Workplace license.

Customers will not have access to advanced management features to manage unlicensed users. Customers can purchase the Advanced Management add-on to give these unlicensed users on available accounts access to the features. The Advanced Management add-on is an account-level entitlement that is priced based on the estimated total number of unlicensed users in the account. When purchased, your account will get access to advanced management features to manage all unlicensed users.

What is a Basic user again?

Basic users are unlicensed users on a paid account, meaning they have no paid license assigned to them by admins. Basic users have limited functionality as set by Zoom. These users have access to Zoom Team Chat, Mail, Calendar, and Meetings, but their ability to host meetings is limited to scheduling and hosting group meetings up to 40-minutes in duration, as well as not having access to other paid meeting features.
