Using the Zoom Phone for Bullhorn integration

What to watch out for when using the Zoom Phone widget in Bullhorn app
Any changes to your Zoom account, such as assigning or removing a direct number, will require a refresh of your browser page to reflect that change. Make note of the following when using Zoom Phone in Bullhorn:
- After a call, you will see a pop-up for the consent to allow calls to pass through your Zoom client.
- You will see the Allow Zoom Phone for Bullhorn to manage call control actions on your behalf dialog box, asking you to make the following selection to manage your call control:
Note: You can change your selection at any time to the following:
- Always: This applies to all subsequent calls and the dialog box will stop displaying.
- Now: This applies to your current call and will need to be selected again for your subsequent calls.
- Never: This option will not allow call control actions.
How to access the Zoom Phone for Bullhorn app
Make sure you are signed in to the Zoom app as the Zoom Phone for Bullhorn integration uses the Zoom app to route calls.
- From your Bullhorn app, at the bottom left, click the Zoom Phone app to open it.
- Click Sign in.
- In the Signing window, enter your Zoom Phone credentials.
The required Authorization dialog box will display the first time you log in. - Click Authorize to grant permission to the Zoom app to make API calls on your behalf.
The dial panel for the app will appear after logging in.
Note: Any subsequent logins will go directly to the login page and you won’t need to grant permission to the app anymore.
How to make a call using the Zoom Phone widget within Bullhorn
Use the dial pad in the Zoom Phone Widget
- Sign in to your Bullhorn and Zoom app.
- Open the Zoom Phone widget within the Bullhorn app and sign in using your Zoom credentials.
- From the dial pad, click the numbers you wish to dial.
- Click the phone button to place the call.
Use a contact within the Zoom Phone Widget
- Sign in to your Bullhorn, Zoom Client, and your Zoom Phone Widget within Bullhorn.
- In the box, enter a contact name.
The widget will display the list of customers with matching names from your Bullhorn Contacts. - Click on the phone button to place the call.
Call from a Bullhorn contact, candidate, or lead record
- Access your contacts/candidates/leads in Bullhorn.
- Click on the phone number.
The phone number of the contact will be dialed out.
How to use call controls on the Zoom Phone Widget within Bullhorn
You can place a call on hold, mute, record, or take notes while on a call as described in the sections below.
Hold or un-hold a call
While in a conversation, you can place the call on hold. You can place up to 4 calls on hold.
- While on a call, click the Hold button.
The call will be placed on hold and the Hold button will change to Unhold. - Click the Unhold button to resume the call.
- (Optional) If you have several calls on hold, on the top of the Zoom Phone widget, select the call you wish to resume.
Mute or unmute a call
- While on a call, click the Mute button.
Your call will be muted and the mute button will change to Unmute. - Click the Unmute button to resume the call.
Record a call conversation
- While on a call, click the Record button.
Your call will start recording and the Record button will change to Stop Recording. - Click Stop Recording to end the recording.
Take Notes during a call
Notes:
- Customers are identified by their caller number in case of an incoming call and by the callee number in case of an outbound call.
- During missed calls, the Note is automatically created with the Missed call from the customer/phone number title and the call log details.
While on a call, you can take notes to identify action items related to the call. Follow these instructions:
- While on a call, the notes screen will display.
- Under Add Note, in the Comments box, enter your note as desired.
- Under About, enter or search the name of the person the note relates to.
- Under Action, select Phone Call.
- (Optional) Under Copy Note, select Yes or No.
- Click Save.
How to use SMS or text messages from the Zoom Phone widget within Bullhorn
Notes:
- The SMS tab in the Zoom Phone Widget within Bullhorn allows you to send and receive text messages (SMS) if you are assigned this privilege by your admin. If you don't have this function, please contact your Zoom admin.
- Any changes to your Zoom account, such as assigning or removing a direct number, will require a refresh of your browser page to reflect that change.
- If you have multiple direct numbers, you will have to choose one number to send your SMS from.
- You can send SMS to up to 10 recipients at a time.
- You can send a message to an existing SMS thread.
- SMS messages are not logged inside Bullhorn and are only available within the Zoom Phone widget.
Send a text message to a phone number or contact/lead using Bullhorn
- Access the Zoom Phone widget in your Bullhorn app.
- From the phone dial pad, select the SMS tab.
- Click the pencil icon to start writing your new text message.
- In the To: box, type the phone number or the name of the contact/lead to send the text message.
- In the Text... box, type your message.
- Click the send icon to send your message.
Your message will be sent.
Note: If sending the message fails, click Retry to send the message again, or click Delete to delete it. - Click the file icon to send images.
Read a text message using Zoom phone for Bullhorn
- Access the Zoom Phone widget in your Bullhorn app.
- From the phone dial pad, select the SMS tab.
- Click the text message you desire to read.
How to view voicemails in the Zoom Phone for Bullhorn app
- In your Zoom Phone widget, click the Voicemail tab.
Note: Voicemail messages are displayed in reverse chronological order with the most recent messages at the top with the name or number of the caller that left the message. - (Optional) Click the refresh icon to view the latest voicemail messages.
- Hover over a voicemail entry for these options:
- Click the phone icon to call the selected number.
- Click the play icon to play the associated voicemail.
The voicemail will display as you play it and you can click the pause icon to pause it. - Click on the more icon , then select Copy Number to copy the phone number or Delete to delete the voicemail.
How to view call history in the Zoom Phone for Bullhorn app
- In your softphone dialer widget, click the History tab.
Your call history will be displayed showing the name, or the number of the users you called with the date and time. The most recent call history will be displayed at the top. - Click a call history entry to view the details.
- To the right of All History, click the drop-down arrow , then select the following:
The calls will be filtered and will display your selection.
- All: To view the entire call history.
- Missed: To view only missed calls.
- Recording: To view recorded calls only.
- Hover over a call history entry for the following options:
- Click the phone icon to call the selected number.
- If the call was recorded, click the play icon to play the associated recording.
Note: While playing a recording, you can click the pause icon to pause it. - Click on the more icon , then select Copy Number to copy the phone number or Delete to delete the call entry.
How to view details of the Zoom Phone call log available in Bullhorn
You can access your Zoom Phone call log straight from your Bullhorn account.
- Click your Bullhorn ACTIVITY tab, then the Notes tab.
- Under Comments, view the following:
- Call Type: Inbound, outbound, or missed call.
- Call Duration: Duration of the call.
- Call Start Time: Time when the call started.
- Voicemail URL: Voicemail link if there is any.
- References: Shows the name of the caller or callee who is a candidate.
Note: Missed calls are only logged if the missed call setting is enabled by your admin in the app settings.
How to view details of the Zoom Phone SMS log available in Bullhorn
You can access your Zoom Phone SMS log straight from your Bullhorn account.
- Click your Bullhorn ACTIVITY tab, then the Notes tab.

How to sign out of Zoom Phone for Bullhorn app
- Open the Zoom Phone widget.
- On the top right corner, click your profile icon.
- Click Sign Out.
