Managing analog telephone adapter (ATA) devices


Account owners and admins can assign extensions to specific ATA ports, search and find extensions mapped to ports in the ports table, and bulk update assigned ports.

Account owners and admins can also import analog telephone adapters (ATA) devices in bulk by uploading a CSV file containing device details and port extension assignments. Only port numbers can be changed.

How to access the Ports & Positions tab

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Phone System Management then Phones & Devices.
  3. Click the Assigned tab.
  4. Search for or filter by analog telephone adapter devices.
  5. Click the ATA device.
  6. Click the Ports & Positions tab.

How to set ports

  1. Access the Ports & Positions tab.
  2. At the top of the page, click Add.
    A pop-up window will appear.
  3. In the window, select users or common areas to add.
    Note: Only extensions at the same site as this device can be selected.
  4. (Optional) To remove a user you do not want to add, click Delete to the right of the user.
  5. Click Save.
    The user or common area will be added to the Ports & Positions tab. After adding the user or the common area, the device will be resynced.

How to edit ports

Edit a single port

  1. Access the Ports & Positions tab.
  2. To the right of a port you want to manage, click the ellipsis , then click Edit Port.
    A pop-up window will appear.
  3. In the window, edit the following information:
    • Port: Change the order of the shared lines.
      Note: If a port number is already in use, the port assignments will be swapped. If a confirmation window appears, click Confirm.
    • Assigned to: Select the username or extension of the phone user to assign the device. If you have multiple sites, the device will belong to the same site as the phone user.
    • Port Assignment: Manage the key assignment. Assign extensions to this specific ATA port.
  4. Click Save.
    Editing the port will resync the device.

Edit multiple ports

  1. Access the Ports & Positions tab.
  2. Select multiple ports:
    • (Optional) At the top of the page, to the left of Port, click the checkbox to select all ports.
    • Select multiple ports' checkboxes.
  3. At the top of the page, click Edit Ports.
    A pop-up window will appear.
  4. In the window, edit the following information:
    • Port: Change the order of the shared lines.

    • Assigned to: Select the username or extension of the phone user to assign the device. If you have multiple sites, the device will belong to the same site as the phone user. 
    • Port Assignment: Manage the key assignment. Assign extensions to this specific ATA port.
  5. Click Save.
    Editing the port will resync the device.

Edit a port number

  1. Access the Ports & Positions tab.
  2. Under the Port column, click a port number you want to edit.
  3. Change the port number, then click Save.
    Note: If a port number is already in use, the port assignments will be swapped. If a confirmation window appears, click Confirm.

How to unassign ports

Unassign a single port

  1. Access the Ports & Positions tab.
  2. To the right of a port you want to manage, click the ellipsis , then click Unassign Port.
    A confirmation window will appear.
  3. In the window, click Unassign.
    The port will be removed from the Ports & Positions tab.

Unassign multiple ports

  1. Access the Ports & Positions tab.
  2. Select multiple ports:
    • (Optional) At the top of the page, to the left of Port, click the checkbox to select all ports.
    • Select multiple ports' checkboxes.
  3. At the top of the page, click Unassign Ports.
    A confirmation window will appear.
  4. In the window, click Unassign.

How to edit the emergency address

  1. Access the Ports & Positions tab.
  2. To the right of a port you want to manage, click the ellipsis , then click Edit Emergency Address.
    A pop-up window will appear.
  3. In the window, search for and choose an emergency address for the port owner.
    Note: Emergency addresses must be at the same site as the port owner(s).
  4. Click Save.

How to search for ports

  1. Access the Ports & Positions tab.
  2. At the top of the page, enter a port number followed by a comma in the search bar.
    You can also list multiple ports by entering the port numbers in the search bar, followed by a comma (i.e., 5, 6, 7,).

How to import a CSV file for analog telephone adapter (ATA) devices

Note: The CSV import is for updating port numbers. Users/Common Areas cannot be initially assigned via CSV import. If this is desired, it can be done by CSV through the Phone System Management Users and Rooms section by performing a CSV update specifying the device as the ATA.

  1. Access the Ports & Positions tab.
  2. At the top of the page, click Import.
    A pop-up window will appear.
  3. In the window, download the CSV sample and update port numbers for the existing extensions assigned to this ATA device.
  4. Upload the CSV file.
    After the import is complete, the port assignment will be the same as specified in the CSV file. The new ports will appear in the Ports & Positions tab.

How to export a CSV file for analog telephone adapter (ATA) devices

  1. Access the Ports & Positions tab.
  2. At the top of the page, click Export to CSV.
    A CSV file will download.
