Setting Zoom Phone Appliances as workspaces


Account owners and admins can set a Zoom Phone Appliance (ZPA) as a workspace by assigning the ZPA to a common area, then enabling hot desking and allowing users to sign in via a QR code. Additionally, the common area must be assigned a calendar and location.

How to set a Zoom Phone Appliance as a workspace

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Device Management then Device List.
  3. In the list, find a Zoom Phone Appliance (ZPA).
  4. To the right of the ZPA, click the ellipsis , then click Assign to Common Area.
    A pop-up window will appear.
  5. In the window, search for and select the common area you want to assign the device to, then click Assign.
  6. In the device list, to the right of the ZPA you assigned a Common Area, click Edit.
  7. Click the General tab.
  8. Under General, click the Hot Desking toggle to enable or disable it.
  9. Select the Allow users to sign in via a QR code checkbox.
    Note: You must have the Zoom app version 5.10.0 or higher to use this option.

How to modify the calendar and location of the common area

When a common area is assigned to ZPA and hot desking is enabled, account owners and admins can view and modify the calendar and location of the common area on the device settings page. They can also use Phone System Management to manage the settings page of the corresponding common area to modify the calendar and location.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Phone System Management then Users & Rooms.
  3. Click the Common Areas tab.
  4. Click a common area to manage.
  5. Click the Settings tab.
  6. In the Zoom Phone Appliance section, manage the Calendar settings in the following ways:
    • Click Assign.
      You will be directed to the Device List page, where you can modify the calendar and location of the common area on the device setting page.
    • Under Calendar, select to use a different calendar type from the following options:
      • Use Zoom Calendar Service
      • Use External Calendar Service
      • No Calendar Service
    • Under Location (Optional), click Assign Location, then assign the device to a floor.
      The device will appear as a workspace on the floor map.
