Viewing Zoom Phone Recording Reports


Account owners and admins can use the Recording Reports to view the history of recording logs and how Zoom Phone recordings are being used, stored, and deleted. These reports allow admins to monitor recordings and understand recording usage in a comprehensive report.

How to access Zoom Phone Recording Reports

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Analytics & Reports.
  3. Click the Zoom Phone Analytics tab.
  4. Click Recording Reports.
    The recording reports will appear.

How to filter Recording Reports

Filter the Recording Reports page, the Calls report, and the Recording Types report.

  1. Access Recording Reports.
  2. Use the following options to filter data:
    • At the top of the page, specify the dates.
    • Click the dropdown group menu to filter search results by group.
    • Click the dropdown site menu to filter search results by site.

How to view analytic highlights

  1. Access Recording Reports.
  2. (Optional) At the top of the section, to the right of Refresh Frequency, click the dropdown menu and select the minutes for the refresh frequency.
  3. View the percentages and total numbers for the following:
    • Users Configured for Automatic Recording: The number of users who configured automatic call recording. It shows the number and percentage. Click the link to be directed to the Users tab on the Recording Reports page.
    • Users Configured for Ad-hoc Recording: The number of users who configured ad-hoc recording. It shows the number and percentage. Click the link to be directed to the Users tab on the Recording Reports page.
    • Recorded Calls: The number of calls that are being recorded Click the link to be directed to the Calls tab on the Recording Reports page.
    • Not Recorded Calls: The number of calls that are not being recorded. Click the link to be directed to the Calls tab on the Recording Reports page.
    • Recordings that will never be deleted: The number of recordings that disabled auto-delete and have unlimited retention duration. Click the link to be directed to the Recordings tab on the Recording Reports page.

How to view the Summary section

View the Calls report

  1. Access Recording Reports.
  2. Under Summary, view the Calls report. The Calls report displays the following analytics:
    • Recorded: The total number of calls that are recorded successfully.
    • Not Recorded: The total number of calls without recordings.
    • Success Rate: The average success rate (%) for the total recording per day. When the recording is successful, the rate is 100%.
  3. (Optional) Drill into the report in the following ways to see the details for a specific day and call log details:
    • Click the chart, then click Drill In in the pop-up window.
    • In the top-right corner of the Calls report, click the open icon .

View the Recordings Type report

  1. Under Summary, view the Recordings Type report. The Recordings Type report displays the following analytics:
    • Automatic Recording: The total number of calls that are recorded successfully.
    • Ad-hoc Recording: The total number of calls without recordings.
  2. (Optional) Drill into the report in the following ways to view the direction, recording types, recording date and time, owner, owner type, and sites:
    • Click the chart, then click Drill In in the pop-up window.
    • In the top-right corner of the Recordings Type report, click the open icon .

How to view the Details section

View the Users tab

  1. Access Recording Reports.
  2. Under Details, click the Users tab.
  3. View users' details, including their name, extension number, the number of ad-hoc/automatic recordings, total calls, total recordings, site, and group.

View the Calls tab

  1. Access Recording Reports.
  2. Under Details, click the Calls tab.
  3. At the top of the tab, filter by the following dropdown menus:
    1. Direction & Call Type
    2. Event
    3. Call Result
  4. View call details, including direction, From/To phone numbers, start time, event, call result, duration, site, and call path.
  5. (Optional) Click Call Path to view more details and manage the call path.
    A panel will appear.
    1. In the panel, to the right of the From or To phone number, click the ellipsis .
      A window will appear, displaying the phone number for the call, the extension number, the PSTN label, and the site.
    2. To the right of Client Code, click Add to enter 3-16 numbers, then click Save.
      1. To edit the Client Code, hover your mouse over the client code numbers, then click Edit.
      2. Edit the client code numbers.
      3. Click Save.
    3. Under Call Path, click the down arrow  to expand more details.
      1. To the right of Call ID, click the Show Info icon to display the call ID. Click the eye icon  to hide the call ID.
      2. To the right of the From or To phone number, click the ellipsis .
        A window will appear, displaying the phone number for the call, the extension number, the PSTN label, and the site.
      3. Click Details  to expand more information about the call path. Click Details  to hide the information about the call path.

View the Recordings tab

  1. Access Recording Reports.
  2. Under Details, click the Recordings tab.
  3. At the top of the tab, use the Recording Type dropdown menu to filter by automatic call recordings or ad-hoc call recordings.
  4. View recording details, including direction, From/To extension/phone numbers, owner, owner type, date/time, recording type, and site.
