Using Shared Spaces in Team Chat


 

Shared spaces provide a focused and productive collaboration environment, ideal for large projects, departments, small groups, education, communities, and more. They include a shared grouping of channels to help organize conversations, improve discoverability of relevant topics, and streamline access to topics within a project or team.

How to create Shared Spaces in Team Chat

Creating and managing Shared Spaces is currently only available through the Zoom desktop app. 

  1. Sign-in to the Zoom desktop app.
  2. Click the Team Chat tab .
  3. At the top of the left sidebar, click the + plus option.
  4. Select Shared Space.
    Note: This option is visible only to users with permission to create Shared Spaces.
  5. Provide the following details:
    • Shared space name: Provide a name for the new Shared Space.
    • Shared space type: The Shared Space type is set to private by default.
      Note: Currently this is only one type of shared space. These spaces are exclusively visible to members and are not discoverable, so individuals must be manually added.
    • Add members: Search for contacts to add them to the shared space upon creation.
    • Advanced permissions: Additional options including Who can add members, Who can create channels in Shared Space, or Who can add external users.
  6. Click Create Share Space.

    Upon creating the Shared Space, a General channel will automatically be generated.
    Note: The general channel is synced to the space’s membership and cannot be deleted or renamed. It serves as the main channel for discussions with space members.

Create channels in a Shared Space in Team Chat

  1. Find an existing Shared Space where you want to create the channel.
  2. On left sidebar, to the right of the name of the Shared Space, click the ellipsis .
    Additional options will appear.
  3. Click Add a Channel.
    A window will appear.
  4. Select Create a New Channel and click Next.
  5. Provide the following information:
    • Channel Name: Enter a display name to help others identify your channel.
    • Description: Enter a brief description of what this channel is about and its intended purpose.
    • Channel Type: Select the channel type.
    • Advanced Permissions: Click to view additional channel permissions.
      • Who can add members:
        • Everyone: Any channel members can add additional users.
        • Owner and admins only: Only the channel owner and any designated channel admins can add additional users.
      • Who can send messages: Select which channel members are allowed to post in the channel.
        • Everyone: All channel members can post in the channel.
        • Owner and admins, plus specific people: Only the channel owner, designated admins, and specified members can post in the channel.
        • Owner and admins only: Only the channel owner and designated admin can post in the channel.
      • Who can use @all: Select which channel members are allowed to use the @all mention in the channel.
        • Everyone: All channel members can use the @all mention in the channel.
        • Owner and admins only: Only the channel owner and designated admin can use the @all mention in the channel.
        • Disable @all for this channel: Disable the use of the @all mention for this channel. Use of @ mentions for specific users or defined mention groups, are unaffected.
  6. Click Create channel.

Move channel to a Shared Space in Team Chat

  1. Find an existing Shared Space where you want to create the channel.
  2. On left sidebar, to the right of the name of the Shared Space, click the ellipsis .
    Additional options will appear.
  3. Click Add a Channel.
    A window will appear.
  4. Select Move a Channel and click Next.
    Notes:
    • The channels you intend to move must be private channels owned by you.
    • Only members of the shared space with channel creation permissions can move channels into the space.
  5. Select the channel you want to move.
    Notes: When moving channels, you cannot choose the channel type; they will move as private channels by default. Members that are in the private channel but aren’t in the shared space will not be added to the shared space upon moving the channel.
  6. Click Move.

View channels in Shared Spaces

  1. Find an existing Shared Space where you want to create the channel.
  2. On left sidebar, to the right of the name of the Shared Space, click the ellipsis .
    Additional options will appear.
  3. Click View Channels.

    Space members can see a list of all public to member channels in the space and can choose to preview or join those channels. Additionally, a View more link will be visible on the sidebar to quickly view channels that are available for you to join.

How to use Shared Spaces in Team Chat

  1. Sign in to the desktop client.
  2. Click the Team Chat tab .
  3. From the left sidebar, select the Shared Space where you want to participate or view discussions.
  4. Choose the channel you want to view or join.
  5. Send and reply to messages as any other channel.

Note: Zoom mobile app users can only read and reply within spaces; they cannot create them.

  1. Sign in to the Zoom mobile app.
  2. Tap the Team Chat tab .
  3. From the top horizontal navigation, select the Shared Space icon, then select the Shared Space where you want to participate or view discussions.
  4. Choose the channel you want to view or join.
    Active channels in the shared space will appear in the recent messages view on the mobile app.
  5. Send and reply to messages as any other channel.
