Customizing Zoom Webinars waiting room


Hosts and account admins can customize the waiting room experience for webinars, allowing customization of the image, text, and other waiting room assets that attendees see before joining each session and providing a more engaging and branded joining experience for attendees.

How to customize Webinar Waiting Rooms

Account

To customize Webinar Waiting Rooms for all users in the account:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Meeting tab.
  4. In the Security section under the Webinar Waiting Room setting, click Customize Waiting Room Layout.
    A window will appear with the following options and a preview of the customized waiting room to the right:
    • Host message: Enter a message visible to attendees from the host. Admins can click the lock icon  to prevent all users in your account from changing this selection.
    • Participants in waiting room will see: Choose one of the following options, with each having additional customization options appearing when selected. Admins can also click the lock icon  to prevent all users in your account from changing this selection.
      • An image: If this is selected, image options will be provided below, with some default images and the option to Upload my own image. Admins can also click the lock icon to prevent all users in your account from changing this selection.
      • A logo with description: If this is selected, the ability to upload a logo will be provided, with a field for a brief text description (max 400 characters). Admins can also click the lock icon to prevent all users in your account from changing this selection.
      • A video: If this is selected, video options will be provided below, with some default videos and the option to Upload my own video. Admins can also click the lock icon to prevent all users in your account from changing this selection.
  5. Click Save to confirm the current customizations.
  6. Click the Allow host to upload an image or a video toggle checkbox to allow individual webinar hosts to customize their Webinar waiting rooms.
  7. (Optional) To prevent all users in your account from changing this setting, click the lock icon  , and then click Lock to confirm the setting.

Group

To customize Webinar Waiting Rooms for a group of users:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click User Management then Groups.
  3. Click the applicable group name from the list.
  4. Click the Meeting tab.
  5. In the Security section under the Webinar Waiting Room setting, click Customize Waiting Room Layout.
    A window will appear with the following options and a preview of the customized waiting room to the right:
    • Host message: Enter a message visible to attendees from the host. Admins can click the lock icon  to prevent all users in your account from changing this selection.
    • Participants in waiting room will see: Choose one of the following options, with each having additional customization options appearing when selected. Admins can also click the lock icon  to prevent all users in your account from changing this selection.
      • An image: If this is selected, image options will be provided below, with some default images and the option to Upload my own image. Admins can also click the lock icon to prevent all users in your account from changing this selection.
      • A logo with description: If this is selected, the ability to upload a logo will be provided, with a field for a brief text description (max 400 characters). Admins can also click the lock icon to prevent all users in your account from changing this selection.
      • A video: If this is selected, video options will be provided below, with some default videos and the option to Upload my own video. Admins can also click the lock icon to prevent all users in your account from changing this selection.
  6. Click Save to confirm the current customizations.
  7. Click the Allow host to upload an image or a video toggle checkbox to allow individual webinar hosts to customize their Webinar waiting rooms. Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level.
  8. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.

User

To customize Webinar Waiting Rooms for your own use:

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Settings.
  3. Click the Meeting tab.
  4. In the Security section under the Webinar Waiting Room setting, click Customize Waiting Room Layout.
    Note: If the option is grayed out, it has been locked at either the group or account level. You need to contact your Zoom admin.
    A window will appear with the following options and a preview of the customized waiting room to the right:
    1. Host message: Enter a message visible to attendees from the host.
    2. Participants in waiting room will see: Choose one of the following options, with each having additional customization options appearing when selected.
      1. An image: If this is selected, image options will be provided below, with some default images and the option to Upload my own image.
      2. A logo with description: If this is selected, the ability to upload a logo will be provided, with a field for a brief text description (max 400 characters).
      3. A video: If this is selected, video options will be provided below, with some default videos and the option to Upload my own video.
  5. Click Save to confirm the current customizations.

Individual webinars

Webinar hosts can also customize individual webinars with custom branding. If no customization is set for the individual webinar, the defaults set at the account, group, or user level will be applied.

  1. After you have scheduled a webinar, click the Waiting Room tab.
  2. Click Customize Waiting Room Layout.
    Note: If the option is grayed out, it has been locked at either the group or account level. You need to contact your Zoom admin.
    A window will appear with the following options and a preview of the customized waiting room to the right:
    • Host message: Enter a message visible to attendees from the host.
    • Participants in waiting room will see: Choose one of the following options, with each having additional customization options appearing when selected.
