Managing Zoom Docs
To manage your Zoom Docs, you can search through multiple documents and see which ones you own and which ones were shared with you. You can add documents to your favorites list, view your recent activities and updates on comments, and view documents that are in the trash.

Prerequisites for managing Zoom Docs
- Basic, Pro, Pro Plus, Business, Business Plus, Education, or Enterprise account
- Zoom desktop client for Windows, macOS, or Linux: 6.1.6 or higher
- Zoom mobile app for Android or iOS: 6.1.6 or higher
- Zoom Web App
- Zoom Docs enabled by admin
How to access your Zoom Docs
- Sign in to the Zoom web portal or your Zoom app, then do one of the following:
- From the Zoom app, on the top menu bar, click Docs.
- From the Zoom web portal, on the left, in the navigation menu, under PERSONAL, click Docs.
- On the left of the page, follow the steps in the sections below according to what you want to do.
How to search for a Zoom Docs
You can search Zoom Docs using keywords, by title, or author.
- Click the Search box.
A search window will display. - In Search, enter keywords or the title of the Zoom Docs you are looking for, and/or do the following:
- Date: Select a date range for your search.
- Owner: Select or search the name of the author of the document.
- Title only: Select this option if you want to search using title only.
- Identify the related Zoom Docs, then click on it.
The content of the Zoom Docs will be displayed. - (Optional) While on your doc, on the top left of the page, hover over Back to view your recently accessed documents, then click on the desired one to open it.
How to view comments on Zoom Docs
- Click Notifications, then in the new windows do one of the following:
- Click the All tab, to view all comments on a document, as well as any documents where you’ve been invited to leave comments.
- Click the Unread tab, to view unread comments on the document.
- Click the Mentions tab, to view all comments you were tagged on the document.
- (Optional) On the top right, click one of the following:
- Mark all as read icon : Mark all messages as read.
- The setting icon : Access the Zoom Docs settings in the Zoom web portal to make any changes.
How to view recent activities in Zoom Docs
- Click Recent, then view the following:
- Name: Title of the doc.
- Owner: Name of the author of the doc.
- Last viewed: Minute, hour, day, week, month, or year ago the doc was last viewed.
- (Optional) Highlight the doc, then click the following icon:
- Star : Add or remove the doc from your favorite list.
- Link : Manually share the link with others.
- Open : Open the doc to edit it.
- On the far right of a doc, click the more icon to:
- Copy the link, to manually share the link with others.
- Open, to edit it.
- Add or Remove it to/from your favorite list.
- Hide from recent list, to hide it from your recent list.
- Delete it if you are the author.
How to access your meeting templates
You can use your meeting templates to generate content with AI Companion. Follow these steps to access your meeting templates.

- Click My meetings, then click a filter for the following:
- All meetings: Filter All meetings you joined or Meetings you hosted.
- Date: Filter the meeting date.
- On the far right of the meeting, identify the Create doc for the meeting template.

- Click My Docs, then view the following:
- Name: Title of the doc.
- Last viewed: Minute, hour, day, week, month, or year the doc was last viewed.
- (Optional) Highlight the doc, then click the following icon:
- Star : Add or remove the doc from your favorite list.
- Link : Manually share the link with others.
- Open : Open the doc to edit it.
- On the far right of a doc, click the more icon to:
- Copy the link, to manually share the link with others.
- Open the doc, to edit it.
- Add or Remove it to/from your favorite list.
- Delete it if you are the author.
How to access Zoom Docs shared with you

- Click Shared with me, then view the following:
- Name: Title of the doc.
- Shared by: Name of the person who shared the doc with you.
- Shared time: Minute, hour, day, week, month, or year ago the doc was shared with you.
- (Optional) Highlight the doc, then click the following icon:
- Star : Add or remove the doc from your favorite list.
- Link : Manually share the link with others.
- Open : Open the doc to edit it.
- On the far right of a doc, click the more icon to:
- Copy the link, to manually share the link with others.
- Open, to edit it.
- Add or Remove it to/from your favorite list.
- Delete it if you are the author.
How to view the list of your favorite Zoom Docs

- Click Starred, then view the following:
- Name: Title of the doc.
- Owner: Name of the doc’s author.
- Last modified: Minute, hour, day, week, month, or year ago the doc was updated.
- (Optional) Highlight the doc, then click the following icon:
- Star : Add or remove the doc from your favorite list.
- Link : Manually share the link with others.
- Open : Open the doc to edit it.
- On the far right of a doc, click the more icon to:
- Copy the link, to manually share the link with others.
- Open in browser, to edit it.
- Remove it from your favorite list.
- Delete it if you are the author.
How to access deleted Zoom Docs
Note: Deleted docs are permanently deleted after 30 days and cannot be recovered.

- At the bottom left of the page, click the trash icon , then view the following:
- Title: The title of the document.
- Deleted by: The name of the person who deleted the document.
- Deleted at: The time the document was deleted.
- (Optional) On the far right, click one of the following icons:
- Restore : To remove the deleted list.
- Trash : To permanently delete the doc before the 30 days period.
