Enable Allow meeting hosts to retain and access meeting transcripts

When AI Companion Meetings features are turned on in a meeting by a host, an audio transcript is generated to provide the service. These audio transcripts for non-recorded meetings are stored temporarily in order for Zoom to provide the service and support.

However, if enabled, you can retain, access and manage the meeting transcripts generated by AI Companion Meetings features. When this setting is on, the transcripts are accessible by meeting hosts and can be downloaded as a VTT file from the list of available transcripts. Hosts, and other meeting participants within your organization, can use these transcripts with AI Companion features enabled on your account. For example, users can ask post meeting questions using the AI Companion panel, or they can generate Zoom Docs from these meeting transcripts with Docs content generation and revision with AI Companion

Note: If you meet the prerequisites above but do not see the option, submit a request to Zoom Support to enable this feature.

How to enable Allow meeting hosts to retain and access meeting transcripts

Account

To enable or disable Allow meeting hosts to retain and access meeting transcripts for all users in the account:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings
  2. In the navigation menu, click Account Management, then Account Settings.
  3. In the AI Companion tab, navigate to the General option.
  4. Click the Allow meeting hosts to retain and access meeting transcripts toggle to enable or disable it.
  5. (Optional) To prevent admins in your account from changing this setting at the group level, click the lock icon and then click Lock to confirm the setting.

Group

To enable or disable Allow meeting hosts to retain and access meeting transcripts:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit groups.
  2. In the navigation menu, click User Management, then Groups.
  3. Click the applicable group name from the list.
  4. In the AI Companion tab, navigate to the General option.
  5. Click the Allow meeting hosts to retain and access meeting transcripts toggle to enable or disable it.

These transcripts cannot be shared directly through Zoom.
