Configuring Zoom and Microsoft presence synchronization

Zoom Presence Interoperability keeps your Zoom and Microsoft Teams presence statuses up to date in real time. It uses Microsoft Delegated Permissions to synchronize real‑time status between both applications. It can operate independently or with other application permissions your organization has. • Authentication and authorization: Users must authorize this integration through Zoom's Web Portal with their Microsoft account to enable this feature. This ensures that the presence status is directly tied to the user's authenticated identity. The type of access depends on what the organization has configured with Microsoft. Users can revoke this authentication at any time by disabling presence interoperability at the user level, which will discontinue the synchronization of presence between Zoom and Microsoft.
• Seamless integration: Presence syncs bidirectionally (Zoom to Microsoft Teams and vice versa) regardless of whether users use Delegated Permissions (recommended) or Bundled Permissions (Legacy, coupled with calendar and contacts). The underlying sync behavior is the same; the only difference is how your organization manages authorization.
• Hybrid: This feature is particularly beneficial for users who utilize both Zoom and Microsoft Teams.

Note: If you previously configured Zoom Presence Interoperability with your profile's calendar and contacts integration (legacy app-level permissions) and your admin enables it, Zoom recommends switching to the User Delegated Permissions configuration for a smoother experience.

Limitations for configuring Zoom and Microsoft presence synchronization

• Duplicate or out‑of‑sequence updates may occasionally occur due to Microsoft Graph latency or sequencing. Users can click Reset status in either client if presence statuses are out of sync.

How to configure Zoom and Microsoft presence interoperability

There are different ways to configure Zoom and Microsoft presence interoperability depending on what permissions your organization has configured. Follow the steps below based on what your organization uses.

How to fix the presence already connected in user profile warning

Microsoft allows only one active presence connection per user. If you received Presence already connected in User Profile, you might have already allowed presence in the calendar and contacts integration. If you see this message:

1. Sign in to the Zoom web portal.
2. In the top-right corner, click your profile picture or initials, then click Profile.
3. Under Others, in the Calendar and Contact Integration section, click Delete.
4. Confirm you want to delete the integration by clicking Delete.
5. Reconfigure the calendar and contacts integration with Office 365 without the Read and Write permissions for Presence.
6. Proceed with the steps in configuring Zoom and Microsoft presence synchronization.

How to verify presence interoperability

1. Sign in to your Zoom desktop app and Microsoft Teams app.
2. In the top-right corner of the Zoom desktop app, click your initials or profile picture, then select your preferred status.
3. Check the Microsoft Teams app to confirm the status is synchronized.
4. On the top right of your Microsoft Teams app, click your initials or profile picture, then select your preferred status.
5. Check your Zoom desktop app to confirm the status is synchronized. If the status for both apps is synchronized, the Presence Interoperability is successfully configured.

Presence mapping

When a user joins a Zoom Meeting, for instance, they will see their presence in Zoom as In a Zoom Meeting, and it will be reflected as In a Call in Microsoft Teams and other Microsoft 365 applications like Outlook, SharePoint, and more. Zoom and Microsoft presence synchronization is also supported in Zoom Web App, Personal Zoom Room, and Zoom Phone Appliances. See the table below for the status mappings for each application.
