Using smart name tags for voice in Zoom Rooms
Zoom smart name tags for voice allows you to highlight speakers in a Zoom Rooms meeting. The resulting name tag can be used to provide attribution in meeting-related features like captions, transcripts, and meeting summaries. This enhancement helps make meetings more productive and inclusive by making it easier for other participants to know who is in the room. Both automatic and manual smart name tags can be edited during a meeting via the Zoom Rooms controller.
Requirements for using smart name tags for voice
- Feature enabled by administrator or role with access to Zoom Rooms
- Zoom Rooms:
- Windows version 6.3.0 or higher
- Mac version 6.3.0 or higher
- Appliances version 6.3.0 or higher
- Zoom Rooms controller version 6.3.0 or higher
- Zoom Room and enrolled users included on the meeting invite for automatic smart name tags for voice.
- Zoom Workplace desktop or mobile client version 6.1.10 or higher (needed to view smart name tags)
Note: Zoom recommends disabling Zoom noise suppression and Voice Commands when using smart name tags for voice on appliances.

Limitations
- Smart name tags for voice are not supported in CRC or third-party meetings joined from a Zoom Room.
- Smart name tags for voice perform best when applied to 1-16 in-room participants.
- Automatic smart name tags for voice are not supported in webinar, or meetings with over 100+ invited participants.
- For automatic smart name tags for voice, enrolled users must be included on the meeting invite before the meeting begins. The Zoom Room must also be included on the meeting invite before the meeting begins, or the enrolled user on the meeting invite must pair to the Zoom Room using their Zoom Workplace desktop/mobile app before the Zoom Room joins the meeting.
How smart name tags for voice handles data
When automatic name tags for voice are enabled and users enroll and consent through their Zoom account to use this feature, the Zoom Room will compare the audio of in-meeting participants in the Zoom Room against the reference audio data of enrolled users who are on the meeting invitation or paired to the Zoom Room. The audio data from the Zoom Room is only processed locally on the equipment in the Zoom Room. All audio data from the participants in the Zoom Room and from the reference audio data used for the smart name tags feature is deleted from the equipment in the Zoom Room when the meeting ends.
Enrolled users’ reference audio data is stored in the Zoom cloud in accordance with Zoom data storage policies. By default, the enrolled users’ reference audio data is stored in the same cluster as the users’ Zoom account itself. The admin will be able to set Data & Storage options under Account Settings to determine where the enrolled users’ reference audio data will be stored.

How to enable smart name tags for voice
- Sign in to the Zoom web portal.
- Click Room Management, then click Zoom Rooms.
- You can use the Zoom Rooms location hierarchy to enable smart name tags from the account, location, or room settings. For this example, click Account Settings.
- Click the Meeting tab, then click the toggle
next to Smart name tags.
This enables manual smart name tags. - (Optional): Check the box
next to Automatic smart name tags for voice, if desired. - (Optional): Check the box
to Enable for external users, if desired. - (Optional): Uncheck the box Enable by default when a Zoom Room joins a Zoom meeting, if desired.
How to enable the in-meeting transcript
To edit smart name tags for voice in a meeting, you will need to be able to access the in-meeting transcript. If you intend to use smart name tags for voice, Zoom recommends you enable this feature.
- Sign in to the Zoom web portal.
- Click Account Management, then click Account Settings.
- Click the Meeting tab, then click the toggle
next to Manual captions and Automated captions.
These features must be enabled to use the in-meeting transcript. - Click the toggle
next to Full Transcript.
How to use manual smart name tags for voice
- Start or join a meeting.
- (Optional): If smart name tags for voice are not enabled by default, tap Participants, then tap More, then tap Enable smart name tags for voice.
- By default, manual smart name tags will display a generic name tag (e.g. Speaker 1) for participants in the Zoom Room.
- (Optional): Tap More, then tap Transcript, then tap the toggle
next to Show Full Transcript. Tap Edit smart name tags, then tap a user to assign them to a name tag. If smart name tags for video are enabled, tap Next, then tap a user to link the voice tag with the video tag. Tap Save to finish. - (Optional): To remove a smart name tag, tap Edit smart name tags on the transcript menu, then tap the
icon next to the user’s name. Tap Save to finish.
Note: Step 4 must be completed before this option is available.
Note: Manual smart name tags are not saved when the meeting ends.
How to use automatic smart name tags for voice
If enabled, Zoom will analyze enrolled users’ reference audio data and the Zoom Rooms audio to identify enrolled users in a Zoom Room during a meeting. Each user must also separately enroll and consent through their Zoom account to use automatic smart name tags for video. Admins can disable this feature at any time from the Zoom Rooms settings, and users can disable this feature or delete their reference audio data from their profile at any time.
Note: For automatic smart name tags for voice, the Zoom Room must be included on the meeting invite. Enrolled users must also be included on the meeting invite before the meeting begins, or they are paired to the Zoom Room using their Zoom Workplace desktop/mobile app.
Allow users to enroll
- Sign in to the Zoom web portal.
- Click Account Settings.
- Under the General tab, click the toggle
next to Allow users to enroll in automatic smart name tags. - Check the box
next to Allow users to enroll in automatic smart name tags for voice. - (Optional) Check the box
next to Allow Zoom to send an enrollment email to users in your account. When an unenrolled participant associates a manual smart name tag with their name during a meeting, Zoom will send them an email encouraging them to enroll in automatic smart name tags. - (Optional) Check the box
next to Allow external Zoom Rooms to identify users. Choosing this option allows your enrolled users to use their reference audio data with Zoom Rooms outside your organization that use automatic smart name tags.
User enrollment
- Sign in to the Zoom web portal.
- Click Profile.
- Click Enroll next to Automatic smart name tags.
- Follow the on-screen prompts to complete the enrollment process.
- (Optional): Check the box
next to Allow external Zoom Rooms to identify you if you want Zoom Rooms outside your organization to be able to identify your smart name tag. This option must be enabled by your administrator and the administrator for the external Zoom Room. - (Optional) Check the box
next to Notify me when a smart name tag for voice is attributed to my account if you want to receive an email when a meeting host attributes a smart name tag to you after a meeting. This attribution occurs when a host edits a smart name tag from the cloud recording transcript.
Using automatic smart name tags for voice in-meeting
- Start or join a meeting.
- (Optional): If smart name tags for voice are not enabled by default, tap Participants, then tap More, then tap Enable smart name tags for voice.
- By default, manual smart name tags will display a generic name tag (e.g. Participant 1) for participants in the Zoom Room.
- If your admin has enabled automatic smart name tags for voice, then the name tags of the participants in the Zoom Room who have enrolled in automatic smart name tags will automatically display.
- (Optional): To edit a smart name tag, tap More, then tap Transcript, then tap the toggle
next to Show Full Transcript. Tap Edit smart name tags, then tap a user to assign them to a name tag. If smart name tags for video are enabled, tap Next, then tap a user to link the voice tag with the video tag. Tap Save to finish.
How smart name tags for voice work with smart name tags for video
When both smart name tags for voice and smart name tags for video are enabled, the Zoom Room can also provide active speaker indication for in-room participants, by highlighting the smart name tag of the speaker in the room when they are speaking in a meeting.
Note: Smart name tags for voice may not be visible on the video or display unless combined with smart name tags for video and may only show up in related meeting features like transcripts and summaries.
