Using the AI Companion panel within the Zoom Workplace desktop app
The AI Companion panel in Zoom Workplace provides users with a personal assistant within the Zoom Workplace desktop app, that helps users get more done. Users will experience having a personal Zoom assistant that helps make their workdays more productive and manageable. With the new AI diamond in Zoom Workplace, users will be able to open a right-side panel. This is where they can ask questions and receive tailored responses sourced from different data sources and contexts available to the user. This feature is designed to enhance their productivity and collaboration.

Prerequisite for using AI Companion within the Zoom Workplace desktop app
- A Zoom Workplace Pro, Zoom Workplace Pro Plus, Zoom Workplace Business, Zoom Workplace Business Plus, Zoom Workplace Enterprise, Zoom Workplace Enterprise Plus, or Enterprise Bundle account
Note: AI Companion may not be available for select verticals and select regional customers. - AI Companion panel in Zoom Workplace must be enabled
- Zoom desktop app
- Windows: 6.2.5 or higher
- macOS: 6.2.5 or higher
- Linux: 6.2.5 or higher
Limitations
- AI Companion currently supports asking questions about Meetings, Team Chat, Zoom Docs, Email, Calendar, and Contacts.
- AI Companion currently cannot respond to questions about the following Zoom data sources: Revenue Accelerator, Scheduler, Phone, Workvivo, Apps, Clips, Notes, Workspaces, and Workflows
- AI Companion responses will vary depending on prompt, product settings, and available configured data sources.
- Currently supports the following languages: Arabic, Chinese, English, French, German, Italian, Japanese, Portuguese, and Spanish languages
- AI Companion is available to customers hosted in the U.S., with certain limitations for customers in select regions that are not supported by our third-party model providers and customers in select industry verticals. See the Zoom AI Companion Security and Privacy Whitepaper for more information.
How to use the AI Companion panel within the Zoom Workplace desktop app
The AI Companion panel is accessible from the Home tab and from the supported product tabs.
Using the AI Companion panel from the Home tab
The AI Companion panel is prominently displayed in the Zoom Workplace desktop app’s Home tab.
- Sign in to the Zoom Workplace desktop app.
- Click the Home tab.
- In the Message AI Companion or type / for more field, enter keywords, phrases, or sentences.
Note: Learn more about formatting your AI Companion prompt. - (Optional) Click the hero prompts such as:
- What meetings do I have today?
- What are some meeting icebreakers?
- Brainstorm ideas for a team bonding activity.
- Write a short message to share gratitude.
- (Optional) For a more refined response, click the add button then select your preferred data source. Learn more about adding content as a data source.
- Click the send button .
- (Optional) Click the pop-out button to detach the AI Companion, allowing you to use it simultaneously with other products.
- (Optional) Click the upvote button to confirm, or downvote button to provide feedback on the accuracy of the response, or click copy button to copy the response.
Using the AI Companion panel from the supported product tabs
Regardless of the active product tab, users can access the AI Companion panel by clicking on the AI Companion diamond at the upper right-hand corner of the Zoom Workplace desktop app. Hero prompts or pre-populated prompts are available and are dynamically updated as users shift between product tabs. In the current release, AI Companion supports asking questions about Meetings, Team Chat, Zoom Docs, Email, Calendar, and Contacts. General questions can be answered if the admin has enabled Web Content. Questions about a document can be answered if the admin has enabled Local File Upload.
- Sign in to the Zoom Workplace desktop app.
- From an active product tab, click the AI Companion button .
- In the Message AI Companion or type / for more field, enter keywords, phrases, or sentences.

- Click the send button .
Here are various actions that can be performed within the AI Companion panel:
Meetings / Calendar

Click the calendar, meeting card then click Open full meeting details. From the AI Companion panel, click Prepare for my next meeting.
Users can also click a specific meeting from their calendar, then from the AI Companion panel, click or type Prepare for this meeting.
Useful prompts:

- What are some meeting icebreakers?
- When is my next meeting with (person)?

From the meeting toolbar, click AI Companion to display the AI Companion panel.
Users can also click a specific meeting from their calendar, then from the AI Companion panel, click or type Catch me up, Was my name mentioned, Are there any action items.

- What did (participant’s name) say about (topic)?
- What decisions were made in this meeting?
- Who does (participant’s name) report to?
- What department is (participant’s name) under?
- What does (acronym) mean?

Click the calendar, meeting card then click Open full meeting details.
From the AI Companion panel, click Summarize this meeting, What are this meeting’s action items, What topics were covered in this meeting, or Was my name mentioned in this meeting.

Team Chat
From a group chat or channel, users can ask AI Companion to summarize unread messages, ask if a certain topic was mentioned within a chat thread, or ask what a specific person has said in a chat.
Useful prompts:
- Summarize recent messages
- List recent action items
- Summarize new messages in this chat
- What did [person's name] say about [topic]
- Who's responsible for [topic]
- What are the action items in [topic]
- What's the status of [topic] in this chat
Zoom Docs
From the Zoom Docs dashboard or from an open Docs file, users can ask AI Companion to summarize the document, get key points, draft a blog about a certain topic, write an outline about a topic, or run a spell check.

- What are the key points in this document?
- Find misspelled words
- What topics are discussed in the document?
- Create a one-paragraph marketing announcement from this document
Mail
From the Mail tab, users can select a specific email or email thread and then select from any of the hero prompts such as Summarize this email, List actions items from this email, Was my name mentioned in this email, or Tips to sound more professional in email.
Web content
If enabled, users can ask general questions sourced from the web.
Useful prompts:
- What languages are spoken in (country)
- What does the acronym (acronym) mean?
How to add content as data source
If enabled, users can add content or use available data sources to get better responses.
- Sign in to the Zoom Workplace desktop app.
- Click the Home tab or click the AI diamond button from your active tab.
- In the Message AI Companion or type / for more field, click the / button to add data sources or click the Attach File button to add files, then select your preferred data source.
- Chats - Select a chat or a channel from the list or use the Search field to type in keywords.
- Contacts - Select one or multiple contacts from the list or use the Search field to type a contact’s name.
- Mail - Select one or multiple emails from the list or use the Search field to type in keywords.
- Meetings - Select one or multiple meetings from the list or use the Search field to type in keywords.
- Google Drive / Office 365 - Select one or multiple files from the list or use the Search field to type in keywords.
Note: Data sources must be enabled to use this feature. - Upload local file - Select a file from your computer
Note: Currently supports PDF, DOCX, XLSX, PPTS, TXT, JSON, VTT format with a maximum size of 5MB.
Note Local File Upload must be enabled to use this feature.
How to submit feedback
Upon receiving the response to a submitted prompt, users can select or under the response.
Another option is to use the Give Feedback button and selecting AI Companion as the Product Area.
How to format your AI Companion prompt
When you weave in more specificity to your prompts, you’ll find that AI Companion’s generated responses are richer, fuller, and closer to what you had in mind.
Here are the four most important components of creating a successful AI Companion prompt:
- Be specific and give context - Provide detailed context and the exact information you’re looking for. Include why you’re requesting it and what you want it to look like.
- Use clear instructions for analysis - State how you want AI Companion to think about the information you’re prompting about. You might need a summary, to extract specific points, or to receive detailed insights. The more clear you are, the better the output will be.
- Leverage background information - Include up-to-date background information about the subject to give the model the best opportunity to provide accurate information back to you.
- Ask for a specific type of output - Based on the other information you provide, frame your prompt to give AI Companion a clear task to complete.
