Enable task creation and management with AI Companion

Account owners and admins can control the use of AI to provide predictive suggestions for managing and completing tasks. This feature uses AI technology, which may include third-party models and can be enabled at the account and group levels.

Requirements for enabling Task creation and management with AI Companion

• User on a Zoom Workplace Pro, Zoom Workplace Pro Plus, Zoom Workplace Business, Zoom Workplace Business Plus, Zoom Workplace Enterprise, Zoom Workplace Enterprise Plus, or Enterprise Bundle account
  Note: Basic accounts may see the option to enable AI features, but these features will not be accessible until the account is upgraded to a Pro account.
• Account owner or admin privileges
• Zoom Tasks enabled
• For Zoom Phone voicemail task generation:
  • Either a Zoom Workplace license with Phone included, or a standalone Zoom Phone calling plan
  • Voicemail Prioritization with AI Companion enabled
  • Voicemail Transcription enabled
• For Zoom Phone call summary task generation: 
  • Call summary with AI Companion enabled

Note: AI Companion features may not be available for all regions and industry verticals.

Limitations for enabling Task creation and management with AI Companion

Task creation and management with AI Companion has the following limitations:

• The Automatically generate tasks from phone call summary and Automatically generate tasks from voicemail transcription features must be enabled by Zoom.

How to enable Task creation and management with AI Companion

Account

To enable or disable Task creation and management with AI Companion for all users in the account:

1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
2. In the navigation menu, click Account Management, then Account Settings.
3. Click the AI Companion tab.
4. Click Manage all settings.
5. Under Tasks, enable Task creation and management with AI Companion.
6. If a verification dialog appears, click Enable or Disable to verify the change.
7. (Optional) Enable Automatically generate recommended actions to complete tasks for AI Companion to suggest actions for completing a task.
8. (Optional) Enable Automatically generate tasks from meeting summaries for tasks to be created for Meeting Summaries after they have been generated.
   1. Under Automatically add meeting participants as task collaborators, select who will be automatically be added as task collaborators:
      • Meeting host only: Only the meeting host will be added as a collaborator.
      • Meeting host and participants from your account who are assigned tasks: The meeting host and all internal participants assigned tasks will be added as collaborators to the tasks.
      • Meeting host and participants from your account: The meeting host and all internal participants will be added as collaborators, whether they were assigned or not assigned a task.
   2. (Optional) Enable Automatically assign tasks generated from the meeting summaries to eligible collaborators to have the generated tasks assigned automatically.
9. (Optional) Enable Automatically generate tasks from phone call summary to allow automatic Zoom Task creation from AI Companion call summaries, with options to configure collaborator settings for call participants.
   1. Under this setting, select who will automatically be added as task collaborators:
      • Automatically add phone call participants from your organization as task collaborators: The phone call participants from your organization will be added as collaborators.
      • Automatically assign tasks generated from the phone call summary to eligible collaborators: Have the generated tasks assigned automatically.
10. (Optional) Enable Automatically generate tasks from voicemail transcription to enable automatic Zoom task creation from AI Companion voicemail transcription.
    Note: This feature currently supports English transcriptions only.
11. (Optional) To prevent all users in your account from changing this setting, click the lock icon, and then click Lock to confirm the setting.

Group

To enable or disable Task creation and management with AI Companion for a group of users:

1. Sign in to the Zoom web portal as an admin with the privilege to edit groups.
2. In the navigation menu, click User Management, then Groups.
3. Click the applicable group name from the list.
4. Click the AI Companion tab.
5. Click Manage all settings.
6. Under Tasks, enable Task creation and management with AI Companion.
7. If a verification dialog appears, click Enable or Disable to verify the change.
8. (Optional) enable Automatically generate recommended actions to complete tasks for AI Companion to suggest actions for completing a task.
9. (Optional) enable Automatically generate tasks from meeting summaries for tasks to be created for Meeting Summaries after they have been generated.

User

1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
2. In the navigation menu, click Settings.
3. Click the AI Companion tab.
4. Click Manage all settings.
5. Under Tasks, enable Task creation and management with AI Companion.
6. If a verification dialog appears, click Enable or Disable to verify the change.
   Note: If the option is grayed out, it has been locked at either the group or account level. You need to contact your Zoom admin.
7. (Optional) enable Automatically generate recommended actions to complete tasks for AI Companion to suggest actions for completing a task.
8. (Optional) enable Automatically generate tasks from meeting summaries for tasks to be created for Meeting Summaries after they have been generated.
