Enable task creation and management with AI

Account owners and admins can control the use of AI to provide predictive suggestions for managing and completing tasks. This feature uses AI technology, which may include third-party models and can be enabled at the account and group levels.

How to enable Task creation and management with AI 

Enable or disable Task creation and management with AI for the entire account

This setting allows account owners or admins to enable or disable Task creation and management with AI for all users in the account.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the top-right corner, click your profile picture or initials, then click Admin Center.
  3. In the side menu, click .
  4. Click Zoom AI.
  5. Under Tasks, enable Task creation and management with AI.
  6. If a verification dialog appears, click Enable or Disable to verify the change.
  7. (Optional) Enable Automatically generate recommended actions to complete tasks for AI to suggest actions for completing a task.
  8. (Optional) Enable Automatically generate tasks from meeting summaries for tasks to be created for Meeting Summaries after they have been generated.
    1. Under Automatically add meeting participants as task collaborators, select who will be automatically added as task collaborators:
      • Meeting host only: Only the meeting host will be added as a collaborator.
      • Meeting host and participants from your account who are assigned tasks: The meeting host and all internal participants assigned tasks will be added as collaborators to the tasks.
      • Meeting host and participants from your account: The meeting host and all internal participants will be added as collaborators, whether they were assigned or not assigned a task.
    2. (Optional) Enable Automatically assign tasks generated from the meeting summaries to eligible collaborators to have the generated tasks assigned automatically.
  9. (Optional) Enable Automatically generate tasks from phone call summary to allow automatic Zoom Task creation from AI-generated call summaries, with options to configure collaborator settings for call participants.
    1. Under this setting, select who will automatically be added as task collaborators:
      • Automatically add phone call participants from your organization as task collaborators: The phone call participants from your organization will be added as collaborators.
      • Automatically assign tasks generated from the phone call summary to eligible collaborators: Have the generated tasks assigned automatically.
  10. (Optional) Enable Automatically generate tasks from voicemail transcription to enable automatic Zoom task creation from AI-generated voicemail transcription.
    Note: This feature currently supports English transcriptions only.
  11. (Optional) To prevent all users in your account from changing this setting, click the lock icon, and then click Lock to confirm the setting.

Enable or disable Task creation and management with AI  for a group of users

This setting allows account owners or admins to enable or disable Task creation and management with AI for a specific group of users. Changes apply only to users in the selected group.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit groups.
  2. In the top-right corner, click your profile picture or initials, then click Admin Center.
  3. In the side menu, click Users .
  4. Click Groups.
  5. Click the applicable group name from the list.
  6. In the General configuration section, click Edit product settings.
  7. Click the Zoom AI tab.
  8. Under Tasks, enable Task creation and management with AI.
  9. If a verification dialog appears, click Enable or Disable to verify the change.
  10. (Optional) Enable Automatically generate recommended actions to complete tasks for AI to suggest actions for completing a task.
  11. (Optional) Enable Automatically generate tasks from meeting summaries for tasks to be created for Meeting Summaries after they have been generated.

  14. (Optional) To prevent all users in the group from changing this setting, click the lock icon, and then click Lock to confirm the setting.

Enable or disable Task creation and management with AI for your personal account

This setting allows individual users to enable or disable Task creation and management with AI for their personal account. You do not need admin permissions to change the setting, unless it is locked by an admin for the entire account or a group of users.

  1. Sign in to the Zoom web portal.
  2. In the top-right corner, click your profile picture or initials, then click My account.
  3. In the side menu, click Settings .
  4. Click Zoom AI.
  5. Under Tasks, enable Task creation and management with AI.
  6. If a verification dialog appears, click Enable or Disable to verify the change.
    Note: If the option is grayed out, it has been locked at either the group or account level. You need to contact your Zoom admin.
  7. (Optional) Enable Automatically generate recommended actions to complete tasks for AI to suggest actions for completing a task.
  8. (Optional) Enable Automatically generate tasks from meeting summaries for tasks to be created for Meeting Summaries after they have been generated.
