Managing Zoom Whiteboard shape libraries
Zoom Whiteboard now includes a powerful feature allowing users to create, share, and manage Shape Libraries. This feature mirrors the behavior of org templates, enabling users to submit custom shape libraries for approval by administrators, ensuring streamlined and consistent design elements across the organization.

How to create and manage shape libraries
Create a new shape library
- Create or open a whiteboard.
- In the toolbar on the left side of the screen, click the Shape icon, then click All shapes.
The Shapes panel will appear. - At the bottom of the Shapes panel, click Manage shapes.
The All shapes panel will appear. - In the left navigation panel, click + to create a new library.
- Upload icons or images (SVG or other supported formats) to your library.
- Name your library for identification.
Your uploaded shapes will now be accessible from the Shapes panel and can be used across all your whiteboards.
Submit shape libraries to your organization
- In the Manage shapes view, locate the library you want to share.
- At the top right, click the ellipsis icon
. - Click Submit to Organization to share the library to your account admin for approval.
Note: Once submitted, the library is duplicated for admin review. Changes to your library will not affect the submitted version. Admins have 14 days to approve or reject the submission.
Review and approve shape libraries
- Sign in to the Zoom web portal.
- Navigate to Account Management, then click Whiteboard Management.
- Open the Org-wide Shape libraries tab.
- Locate a submitted library and click the ellipsis icon
next to it. Select from the following options:
- Preview: View the icons and description of the library before making a decision.
- Approve: Publish the library, making it accessible to all users in the organization.
- Reject: Deny the submission and optionally send a note explaining the decision.
Note: The submitter receives an email notification with the decision.
Admin experience for managing shape libraries
Admins can manage submitted shape libraries similarly to managing org templates. Admins must have the necessary permissions to approve, reject, or manage these libraries.

- What happens when a shape library is approved?
- Approved libraries appear in the My Organization section of the Shapes panel, accessible to all users in the account.
- Can changes be made to a submitted library?
- No, submissions are static copies. Any modifications require resubmitting the updated library.
- How long do admins have to review submissions?
- Admins have 14 days to approve or reject a library. If no action is taken, the library remains pending.
