Viewing Online Fax logs
Zoom provides the ability to view fax reporting capabilities for administrators and users. Admins and users can view the fax logs and history. Additionally, they can download and read the fax.
Requirements for viewing Online Fax logs
- Account owner or admin privileges
- Zoom Phone license
- Paid user must have one of the following licensing plans:
- Zoom Workplace bundles that include Zoom Phone:
- Zoom Workplace Pro Plus
- Zoom Workplace Business Plus
- Zoom Workplace Enterprise Premier
- Zoom Workplace for Education bundles:
- Zoom Workplace for Education School and Campus Plus
- Zoom Workplace for Education Enterprise Premier
- Zoom Phone plans:
- Zoom Phone US/CA Metered Plans
- Zoom Phone US/CA Unlimited Plans (Standalone)
- Zoom Phone Pro
How to access Online Fax logs
Account
- Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
- In the navigation menu, click Phone System Management then Logs.
- Click the Fax tab.
- Use the following options to filter data:
- From/To: Specify the time period for the report.
- Search field: Enter keywords to search by name or fax number.
- Direction: Click the dropdown and select the direction (Inbound or Outbound) you want to filter.
- Status (All): Click the dropdown and select the fax status you want to filter.
- Site (All) Click the dropdown and select the site you want to filter.
- In the top-right corner, click the gear icon
to customize the columns that you want to see by default, then click Confirm. - (Optional) In the top-right corner, click Trash
to view items that may have been deleted by users or the retention policy.
User
- Sign in to the Zoom web portal.
- In the navigation menu, click Phone.
- Click the Fax tab.
- Use the following options to filter data:
- From/To: Specify the time period for the report.
- Search field: Enter keywords to search by name or fax number.
- Direction: Click the dropdown and select the direction (Inbound or Outbound) you want to filter.
- Status (All): Click the dropdown and select the fax status you want to filter.
- In the top-right corner, click the gear icon
to customize the columns that you want to see by default, then click Confirm. - (Optional) In the top-right corner, click Trash
to view items that may have been deleted.
Information in Fax logs
After accessing Online Fax logs, view the following information.
Admin
- Direction: Displays if the fax was inbound or outbound. Inbound means a user received a fax. Outbound means a user made an outbound fax.
- From/To: The caller ID number and names of the fax sender and recipient.
- Start time: Displays the date and time that the fax was sent.
- Status: Indicates the fax status.
- Fax pages: Displays the number of pages in the fax.
- Site: Displays the site.
- Path: Identify the exact path of the fax and identify the following (after clicking Path):
- Name and extension of the sender.
- Name and extension of the recipient.
- Fax path with the following information:
- Fax ID
- Date and start/end time
- Result
- Fax file: Click the file icon
to view the fax. - Number of pages
User
- Direction: Displays if the fax was inbound or outbound. Inbound means a user received a fax. Outbound means a user made an outbound fax.
- From/To: The caller ID number and names of the fax sender and recipient.
- Start time: Displays the date and time that the fax was sent.
- Status: Indicates the fax status.
- Fax pages: Displays the number of pages in the fax.
- Message: Displays the fax icon.
- Click the fax icon
to view the full fax. - At the top of the fax preview, use the following tools:
- Use the back arrow
and forward arrow
to scroll through the fax pages. - Use the minus icon
and plus icon
to zoom in/out of the fax. - Click the download button
to download the fax PDF. - Click the maximize icon
to make the fax fullscreen or minimize icon
to make the fax smaller.
- Click Close to close the message.
How to manage fax logs
Manage one fax log
- Access Online Fax logs as an admin or user.
- To the right of a fax log you want to manage, click the ellipsis
, then click from the following actions:
- Download: Download the fax log.
- Move to trash: Move the fax log to trash.
Manage multiple fax logs
- Access Online Fax logs as an admin or user.
- To the left of the fax logs you want to manage, select the checkboxes.
Note: At the top of the page, to the left of Direction, select the checkbox to select all checkboxes. - At the top of the page, click Move to trash to move the selected fax logs to Trash.
How to manage fax logs in Trash
Manage one fax log in Trash
- Access Online Fax logs as an admin or user.
- In the top-right corner, click Trash
to view items that may have been deleted by users or the retention policy. - Use the following options to filter data:
- From/To: Specify the time period for the report.
- Search field: Enter keywords to search by name or fax number.
- Direction: Click the dropdown and select the direction (Inbound or Outbound) you want to filter.
- Status (All): Click the dropdown and select the fax status you want to filter.
- Site (All) Click the dropdown and select the site you want to filter.
- In the top-right corner, click the gear icon
to customize the columns that you want to see by default, then click Confirm. - To the right of a fax log you want to manage, click the ellipsis
, then click from the following actions:
- Recover: Recover the fax log. If a confirmation window appears, click Recover to confirm.
- Delete: Permanently delete the fax log. If a confirmation window appears, click Delete to confirm.
Note: If you delete the selected faxes, they cannot be recovered.
Manage multiple fax logs in Trash
- Access Online Fax logs as an admin or user.
- In the top-right corner, click Trash
to view items that may have been deleted by users or the retention policy. - Use the following options to filter data:
- From/To: Specify the time period for the report.
- Search field: Enter keywords to search by name or fax number.
- Direction: Click the dropdown and select the direction (Inbound or Outbound) you want to filter.
- Status (All) dropdown: Click the dropdown and select the fax status you want to filter.
- Site (All) Click the dropdown and select the site you want to filter.
- In the top-right corner, click the gear icon
to customize the columns that you want to see by default, then click Confirm. - To the left of the fax logs you want to manage, select the checkboxes.
Note: At the top of the page, to the left of Direction, select the checkbox to select all checkboxes. - At the top of the page, click one of the following bulk actions:
- Recover: Recover the fax log. If a confirmation window appears, click Recover to confirm.
- Delete: Permanently delete the fax log. If a confirmation window appears, click Delete to confirm.
Note: If you delete the selected faxes, they cannot be recovered.
