Importing Zoom Auto Dialer prospects and managing call lists
Zoom Auto Dialer enables users to easily access contact lists created in their CRM or Sales Engagement platforms, allowing them to run their daily dial sessions more efficiently. Auto Dialer automatically dials multiple numbers simultaneously from a predefined list and automates several key tasks to improve productivity.
When a call goes unanswered, the system automatically leaves voicemails, ensuring no opportunity is missed. If a prospect answers, the call is instantly transferred to the sales representative, providing a seamless handoff. Once a call is completed, the call list is updated in real time, ensuring accurate records. The system also logs the call, assigns a disposition based on the configured call case mapping, and helps facilitate follow-up actions such as sending calendar invites and follow-up emails. Afterward, the system places the sales representative in "ready mode," allowing them to begin the next call immediately.
In the top-left corner of the page, under Call list, click the dropdown and select + Create new from CRM. Note: For the first time using ZRA Dialer, click Import from CRM on the page. A pop-up window will appear.
In the window, enter information to import your CRM prospects to create a call list:
Name: Enter a call list name.
Prospect type: Select either Contact or Lead.
Fields: Select the CRM fields to display.
Filters: Choose the scope of prospects to import. AND logic is used across filters, and OR logic is used within each filter.
(Optional) Click the Auto-sync new CRM prospects that match the filters toggle to enable or disable it. When enabled, a new sync will occur every 4 hours from the time of the last auto-sync.
Click Import. Your CRM call list will be imported.
Import from CSV
Access Zoom Auto Dialer.
In the top-left corner of the page, under Call list, click the dropdown and select + Create new from CSV. Note: For the first time using ZRA Dialer, click Import from CSV on the page. A pop-up window will appear.
In the window, enter information to import your CSV prospects to create a call list:
Name: Enter the call list’s name.
Prospect type: Select either Contact or Lead.
Click the Upload icon to upload or drop a file in the window. Notes:
You can only upload a CSV file, up to 20 MB.
Click CSV sample for contacts to download and a CSV sample file you can use as a template.
Click Import. Your CSV file will be imported.
How to manage call lists
Access call lists
Access Zoom Auto Dialer.
In the top-left corner of the page, under Call list, click the dropdown and select the call list name that you want to access.
Upload CSV to call list
Note: You can only upload a CSV file, up to 20 MB.
Upload CSV to add prospects
Access the call list that you want to add prospects to.
To the right of the Call list dropdown, click the upload icon , then click Upload CSV to add prospects. A pop-up window will appear.
In the window, upload your CSV file containing prospect information. Notes:
Click CSV sample for leads to download a sample CSV file.
Ensure that it includes all required fields, along with any optional fields you want to add.
Click Import.
Upload CSV to reset call list
Access the call list that you want to reset.
To the right of the Call list dropdown, click the upload icon , then click Upload CSV to reset call list. A pop-up window will appear.
In the window, enter a name for the call list.
For the Prospect type, select either the Contact or Lead option.
Upload your CSV file containing prospect information. Notes:
Click CSV sample for leads to download a sample CSV file.
Ensure that it includes all required fields, along with any optional fields you want to add.
Click Import.
Delete call list
Access the call list that you want to delete.
To the right of the Call list dropdown, click the trash icon to delete the call list. A confirmation window will appear.
In the window, click Delete. Note: The call list will be permanently deleted and this action cannot be undone.
How to input prospect insights
Access Zoom Auto Dialer.
At the top of the page, click the Upcoming, Called, Skipped, or Snoozed tab.
To the right of the prospect you want to manage, hover your cursor under the Prospect insights column and click the pencil icon . A pop-up window will appear.
In the window, enter key information about the prospect. Note: You can enter a description up to 1000 characters in length.
