Creating and managing meeting summary templates as an admin

Admins can customize meeting summary templates and create new meeting summary templates in AI Studio allowing users with a Custom AI Companion add-on license to efficiently review, edit, and share post-meeting content based on custom templates.Admins choose from ready-made summary templates for common meeting types, such as one-on-ones, stand-ups, brainstorms, and more, or can use the AI Studio interface to manage all aspects of custom meeting summary templates for their organization. This includes setting a default template, customizing existing ones, hiding templates from users, or creating entirely new templates tailored to organizational needs.

Creating a meeting summary template

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click AI Studio, then Custom meeting summary template tab.
  3. Under Create a template, click New template to create a template from scratch.

    Note: Click All templates to use an existing template from the ready-made template gallery.

    1. Select an Icon to represent the template.
    2. Enter a Template name.
    3. Enter a Description that summarizes the purpose or contents of the template.
    4. Under Who can use this?, configure usage permissions for the template.
    5. Click Add a section to add a new section.
    6. Hover over a section to configure an existing section:
      • Length: Click the Length drop-down menu to adjust the section length.
      • Subsection: Click to add a subsection.
    7. Click Test to generate a sample meeting transcript preview.
    8. (Optional) Click Test using your own meeting to generate a meeting transcript preview with a scheduled meeting. Search for a meeting or select from a meeting scheduled for today or yesterday.
    9. Click Generate summary.
    10. Click Publish.

Note: A meeting summary template must include at least one section to be tested or published.

Deleting a meeting summary template

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click AI Studio, then AI Skills.
  3. Click the Custom meeting templates tab, locate the template you want to delete.
  4. Click  next to the template.
  5. Click Delete, then click Yes to confirm deletion.

Note: Deleting a template will remove it from availability across all levels of the account.

Editing Meeting summary templates

Account

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Account settings, then click the AI Companion tab.
  3. Click Manage all settings, then click Manage summary templates in Zoom AI Studio.

    Note: In the top-right of the summary template preview, select the check box to set a default template for the account.

Group

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click User Management, then Groups.
  3. Click the name of the group you want to configure.
  4. Click the Custom AI Companion tab, then click Manage all settings.
  5. Click Manage summary templates in Zoom AI Studio.

    Note: In the top-right of the summary template preview, select the check box to set a default template for the group.

Configuring Meeting summary template permissions

Account

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click AI Studio, then AI Skills.
  3. Click the Custom meeting templates tab.
  4. Click  next to the template, then click Edit.
  5. Under Who can use this?, click the drop-down and select one or more groups to provide specific access to the template.
  6. (Optional) select Entire account to allow all users on the account to use the template.

Note: All templates are visible to account admins and can be edited at any time.
